To make WordPress email reliable, connect wp_mail() to the mail service that actually sends your domain’s messages, use an address that exists on that domain, authenticate the domain with SPF, DKIM and DMARC as required by the provider, then test delivery in a real external inbox. There is no universal SMTP host, port or authentication setting: those values depend on your mailbox or transactional-mail provider and, sometimes, your web host.
How WordPress email is sent
WordPress-generated messages—password resets, contact-form alerts, order notices and similar mail—normally pass through WordPress’s wp_mail() wrapper. The wrapper hands the message to the configured mail method; it does not itself guarantee that a recipient’s server accepts or delivers the message.
Managed hosting may provide a working relay automatically. A self-managed server without a correctly configured mail-transfer agent often needs a remote SMTP service or a provider API. An SMTP plugin can route wp_mail() through that remote service.

1. Identify the service that sends your mail
Find the domain’s mailbox provider
Start with the service where you read mail for an address such as [email protected]. That provider’s documentation determines the SMTP server, port, encryption, username, password or OAuth flow, API credentials and DNS records. WordPress.com support likewise recommends identifying this provider before installing or configuring a mail plugin.
Check what your host permits
Ask the web host whether it supplies a relay, blocks outbound SMTP, limits ports, or requires its own authenticated server. A generic setting copied from another account can fail because of firewall rules or provider-specific authentication.
2. Choose SMTP or a direct provider API
Use a maintained SMTP plugin or an integration supplied by your mail provider. Configure the provider’s current connection details or authorize its API exactly as documented; do not assume that a setting works across providers or plans.

Plugin listings for products such as WP Mail SMTP and Post SMTP show different provider integrations. Availability, diagnostics and limits can vary by plugin edition and provider plan, so verify the current compatibility before committing.

3. Set a deliberate sender and reply path
Use a real From address
Set From to a valid mailbox on the domain authorized by your sending service. WordPress otherwise derives a domain-based address. The mailbox should exist if recipients are expected to reply; a nonexistent or unrelated sender can damage trust and authentication alignment.
Keep the visitor’s address in Reply-To
For a contact form, keep the site’s authenticated address in From and put the visitor’s submitted address in Reply-To. This preserves a consistent sender identity while allowing the recipient to answer the person who made the enquiry. Do not place an arbitrary visitor address in From.
Match the plugin and provider
Enter the sender address and any required “force from” settings consistently in the plugin and in the provider’s verified-sender configuration. If the provider requires a separate domain or mailbox verification, complete it before testing.
4. Authenticate the sending domain in DNS
SPF
Publish an SPF record that authorizes every service actually sending mail for the domain. Consolidate senders in the domain’s permitted SPF policy rather than creating conflicting SPF records. Use the exact include or mechanism supplied by your provider.

DKIM
Enable DKIM signing for the sending domain and publish the provider’s selector and public key records. The selector and record value are provider-specific; copy them exactly and allow DNS time to update.
DMARC
Publish a DMARC policy that states how receiving servers should handle messages that fail authentication. Ensure that at least one of SPF or DKIM passes with alignment to the domain in the visible From address. Start with a monitoring-oriented policy when appropriate, review reports, and tighten enforcement only after legitimate senders are accounted for.
Google’s sender guidance labels its baseline as “All senders: SPF or DKIM” and its bulk-sender requirement as “Bulk senders: SPF, DKIM, and DMARC.” These labels do not replace the exact records and alignment rules required by your provider and recipients.

- Save the mailer, sender and authentication settings in the plugin.
- Use the plugin’s test-email tool, or trigger a password reset from a separate account.
- Send to an external mailbox hosted by a different provider from your website.
- Confirm arrival, the visible From and Reply-To values, and whether the message landed in spam or junk.
- Open the plugin’s delivery log or failure details, if available, and record the provider response.
Do not finish setup merely because the test screen reports success or wp_mail() returns true; inspect the recipient mailbox and any available logs.

Troubleshoot missing or rejected messages
Authentication or authorization errors
- Recheck the selected mailer, username, password, application password or OAuth authorization.
- Reauthorize expired API tokens and verify that the account is permitted to send from the configured address.
- Use the provider’s current encryption and port requirements instead of legacy values.
DNS and spam failures
- Compare SPF with the provider’s current sender list and make sure all legitimate senders are included.
- Confirm that DKIM is enabled for the exact sending domain and that its public key is published under the correct selector.
- Check DMARC alignment: SPF or DKIM must authenticate with the domain relationship required by the recipient.
- Allow for DNS propagation, then repeat an external-inbox test.
Host and network restrictions
If SMTP connections time out or are refused, ask the host whether outbound ports are blocked or a relay is mandatory. Switching to the provider’s API integration may avoid port restrictions, but it still requires valid authorization.
No useful error appears
Enable the plugin’s logging or email-failure alerts where available, reproduce the failure once, and inspect the recorded response. A successful handoff from WordPress can still be followed by rejection, throttling or spam filtering at later stages.

Choose the option that fits your provider, host and diagnostic needs—not a supposedly universal port number or a plugin’s install count.
