Gmail calls folders labels. To move an email out of your Inbox, select it, choose Move to, and select the destination label. On Android, use More → Move to; on iPhone or iPad, use More → Change labels and adjust the selected labels.
Move email in Gmail on a computer
You can move a message without opening it. Gmail’s toolbar includes the Move to command for filing messages under a label. Google’s toolbar guide describes the available message actions.
- Open Gmail and find the message in your inbox or search results.
- Check the box beside the message. To move several messages together, check each one.
- Click Move to in the toolbar. If you do not see it, check the toolbar’s More menu.
- Select the destination label. Gmail removes the message from the Inbox in the normal move workflow and shows it under that label.
If the label does not exist yet, create it first: in the left sidebar, beside Labels, click Create new, enter a name, and click Create. You can then select the message and move it to that label. Google’s label instructions cover label creation and management.

The controls differ between Android and iPhone or iPad. Google’s current help instructions are available for Android and iPhone and iPad.

Android
- Open the Gmail app and touch and hold a message to select it.
- Select any other messages you want to file.
- Tap More, then Move to.
- Choose the destination label.
iPhone and iPad
- Open the Gmail app and touch and hold a message. Select any additional messages to include.
- Tap More, then Change labels.
- To move rather than simply add a label, uncheck the current label you want removed and select the destination label.
- Tap Done.
Move to, label, or archive?
These actions affect a message differently. Gmail labels are organizational markers: a message can have several, and adding one does not necessarily remove the message from the Inbox. A move is the better choice when you want to file a message out of the Inbox. Archive clears the Inbox without assigning a custom destination label. Google explains how labels differ from traditional folders.

A label is not private to one location: for example, the same email can have Receipts, 2026, and Taxes labels. By contrast, a traditional folder model usually implies one location. Gmail’s labels are not visible to the email’s recipients.
Create and find labels
On a computer, create a label from the left sidebar using Labels → Create new. You can optionally nest a label under another one. Gmail also supports creating labels in its mobile apps, though the route varies by platform. Google documents label creation and settings in its label guide.

Google’s help documentation states a limit of 5,000 labels; that figure is from the documentation checked on August 18, 2026. You can choose whether labels are shown in the web sidebar through Gmail settings. If a label is not visible, expand the sidebar or click More to reveal hidden entries.
Find a message after moving it
A moved email is not deleted. It may simply no longer appear in the Inbox, which can make it seem to have vanished. Look in the destination label, search for it, or check All Mail. Search operators can narrow the results:
in:allsearches all mail.in:archivefinds archived messages.label:Receiptsfinds messages with the label named Receipts.from:[email protected]searches by sender.subject:invoicesearches subject lines.
Replace Receipts with your actual label name. If a label name has spaces, use Gmail’s search suggestions or put the name in quotation marks. If the message is still missing, check Trash and Spam, then consider whether a filter moved or archived it. Gmail says messages in Trash are automatically deleted after 30 days. Google’s organization guide distinguishes deleting from organizing with labels.

Move messages automatically with a filter
Filters can apply a label to messages that match criteria such as sender, recipient, subject, or keywords. Create and manage them in Gmail on a computer; the standard mobile app is not generally where you create filters. Google’s filter guide explains filter actions.
- On a computer, open Gmail and click Show search options in the search box.
- Enter the criteria that identify the messages you want to organize—for example, a sender address or a subject phrase.
- Run or inspect the search results first to make sure the criteria are not too broad.
- Click Create filter and choose the label action. If you also want matching messages to leave the Inbox, choose the option to skip the Inbox.
- Click Create filter to save it. If Gmail offers an option to apply it to matching existing conversations, select it only if you want the filter to act on those older messages too.
A filter normally applies to future matching mail. A reply is affected only if it also matches the filter criteria.
Move a message back to the Inbox
Find the message through its label, All Mail, or search; select it; then choose Move to Inbox. In the Gmail apps, this option may be under More. Google provides restoration instructions for Gmail on the web, Android, and iPhone and iPad. Moving a message to the Inbox does not necessarily remove its other labels.

Troubleshoot common problems
The message is still in the Inbox
You may have applied a label instead of moving the message. Applying a label can leave it in the Inbox; use Move to when you want it filed out of the Inbox.
The label or Move to command is missing
Expand the left sidebar or click More to find a hidden label. For the command, select a message first and check the toolbar’s More menu. Mobile wording differs: Android uses Move to, while iPhone and iPad use Change labels. An organization-managed account may also have interface or account restrictions.

If Gmail’s confirmation notice is still on screen, use Undo promptly; it is not an indefinite recovery option. Otherwise, locate the message through search or All Mail and move it back to the Inbox or correct its labels. Google’s category guidance describes Undo after certain organizational actions.

Only one message in a thread should move
With Conversation view enabled, Gmail may display related messages as one conversation, and label behavior can depend on the view and action. Open the conversation and inspect its individual messages if you need to reorganize only one message. Google’s label guidance notes that behavior can vary with Conversation view.
You dragged a message to a tab instead of a label
Primary, Social, Promotions, Updates, and similar tabs are Inbox categories, not custom labels. Moving a message between category tabs changes how Gmail categorizes it; it does not create or select a custom folder. Google’s category instructions explain category behavior.
