Use Canva to create the visual part of your Gmail signature, then add your name and important contact details as live, clickable text in Gmail. That hybrid approach keeps the signature branded without making your phone number, email address, or website dependent on a static image.
For a compact design, start with a wide canvas around 400 × 100 pixels. Google recommends signature images around 300–400 pixels wide and 70–100 pixels high, with a maximum of 1,000 × 100 pixels. Google’s image guidance is a useful check before you upload.
Before you start
Gather your logo or headshot, preferred brand colors, the contact details you want to show, and the URLs for your website or professional profiles. You will also need access to Gmail in a desktop browser; that is the clearest route for configuring an image-and-text signature.

Plan a compact layout
Email signatures are footers, not miniature posters. A shallow horizontal design is easier to scan and less likely to dominate a message. Three simple layouts work well:
- Logo left, details right: a small logo beside your name and role.
- Headshot left, details right: useful when recognition matters, provided the photo remains clear at small size.
- Brand mark above a short contact row: a simple option when a side-by-side layout feels crowded.
Keep a phone number, email address, website, and social links as text in Gmail wherever possible. Live text is easier to select, copy, update, and link independently. If a recipient’s email client blocks images, the essential details will still be there.
Create the design in Canva
- Start a wide design. In Canva, search for “Email signature” and choose a template, or create a custom design. A 400 × 100 pixel canvas is a practical compact starting point. A larger working canvas, such as 600 × 150 pixels, can provide room to arrange elements, but preserve a shallow final shape and check the image’s dimensions before using it.
- Set a clear hierarchy. Make the name the most prominent element; use smaller text or a lighter treatment for role and company. Choose one accent color, keep alignment consistent, and use strong contrast.
- Add brand assets carefully. Use a sharp logo or professional headshot. A simple divider or restrained icon can help, but avoid decorations that become indistinct when the image is displayed small.
- Keep embedded copy short. Avoid tiny text, dense paragraphs, and important details that exist only inside the graphic. Thin fonts and low contrast can become hard to read after the image is reduced.
- Check the result at email size. Zoom out or preview the design at roughly 70–100 pixels high. If the name or logo becomes hard to recognize, simplify the composition rather than shrinking everything further.
Canva’s email-signature templates and guidance support adding logos, headshots, colors, and contact details. Canva recommends downloading a high-resolution PNG. Some templates or design elements may require a paid plan, so check the asset’s availability in your account.
Download the Canva image
Download the finished design as a PNG, a useful format for sharp logos and graphic elements. It is not a guarantee that every image will be smaller or render identically in every mail client. Avoid taking a screenshot: it can add unwanted margins, blur, or compression artifacts.

- Remove unused transparent space around the design.
- Use a clear filename, such as
jane-doe-email-signature.png. - Open the exported file and check that it looks crisp and the dimensions suit Gmail.
- Consider the background: transparency can blend neatly into a light message, but may lose contrast against a dark or colored background.
Google recommends an image around 300–400 pixels wide by 70–100 pixels high and sets a maximum of 1,000 pixels wide by 100 pixels high. Keep the displayed result within that height limit; a broad banner can push the message content down and feel intrusive.
Add the image and live details in Gmail
- Open Gmail in a desktop browser, click Settings, then See all settings.
- On the General tab, scroll to Signature and click Create new. Name the signature.
- In the signature editor, click the Insert image icon. Choose Upload, My Drive, or Web address (URL), then select the PNG or enter an appropriate image address.
- After the image appears, select it and choose Small, Medium, Large, or Original size, as available. Check that it is not stretched or too tall.
- Place the cursor below or beside the image and add your name, role, company, and essential contact information as text.
- Scroll to the bottom of Settings and click Save Changes.
A Canva design or editing share link is not necessarily a direct, publicly accessible image URL. If you choose the URL option, use a direct image address that recipients can access. Uploading the PNG from your device or selecting it from Drive is often simpler. Google documents the image insertion options and size controls in its Gmail image help and the broader signature setup guide.
Make the links clickable
A single PNG should not be treated as a dependable set of separate links. Even if a design appears to contain a website button or social icons, Gmail’s uploaded image is still a static graphic; do not assume each part will act as an independent link.

- Highlight that text and click Gmail’s Insert link icon.
- Enter the destination URL, confirm it, and repeat for each important link.
Use readable link labels instead of a long URL when practical. Add a phone number and email address as live text too, and send yourself a message to verify the links in the received copy. A plain-text contact detail is a useful fallback if a recipient’s client handles images or links differently.
Choose signatures for new messages and replies
In the Signature section of Gmail settings, set a default for new emails and, separately, for replies and forwards. A full branded footer may suit a first message; a shorter name-and-contact version can be less intrusive in a long reply chain. Gmail also lets you choose whether the signature appears before quoted text in replies. You can create multiple signatures and select one while composing a message.

Gmail supports signatures of up to 10,000 characters, but that limit is not a design target: concise signatures are easier to scan. See Google’s signature instructions for the current settings workflow.
Test before using it professionally
Send test messages to another Gmail account and, if relevant, an Outlook or Apple Mail inbox. Check a phone and a dark-mode inbox as well. Email clients, image settings, and organizational policies can change how a signature appears.

- Can you read the name and contact details on a narrow screen?
- Do every website, profile, and booking link open the right destination?
- Does the signature appear on a new message and on a reply as intended?
- Is there excess whitespace, a broken-image symbol, or an unwanted duplicate?
- Can someone still identify and contact you if the image is not displayed?
Fix common problems
The image looks blurry
Re-export the Canva design as a PNG, check that the source logo is high resolution, and upload the file again. If you enlarge a small source image, the result may blur; use Gmail’s smaller display setting rather than stretching it. Designing with more room and displaying at a smaller size can help, but do not exceed Gmail’s recommended height or turn the signature into a banner.
The image is too large
Select the image in the Gmail editor and try Small or Medium. If the proportions or layout still do not work, revise the Canva design and upload a better-sized export. Google’s recommended height is 70–100 pixels, with a maximum of 100 pixels.
The image is broken or appears as a question mark
Delete it and upload it again, or try another insertion method. If using Drive, check that the image is available to the intended viewers; if using a URL, confirm it is direct and publicly accessible. Gmail supports uploads, Drive images, and web addresses; a Canva editing or sharing page may not function as an image URL.

The image dialog only offers a URL field
Cancel and reopen the image control in Gmail’s desktop signature editor. Check for Upload or My Drive. If those options are unavailable in your current interface, use a direct image URL only if it is stable and accessible to recipients. Avoid relying on a temporary design-sharing link.
Links do not work
Check that you added the hyperlink to live text in Gmail rather than assuming text or icons inside the PNG are independently clickable. Recheck the destination URL and test each link in a sent message. If you replace or rebuild the signature image, verify the links again.
The signature appears twice
Check whether Gmail is inserting a default signature while you also paste one manually. A browser extension or email-management tool may add another, and a Google Workspace administrator may append an organization-wide footer. Workspace administrator footers are separate from a personal signature; see Google’s administrator footer guidance.
The mobile app does not show the same design
Set up the image-and-text version on desktop and test a message sent from the Gmail mobile app. Do not assume the app will preserve every desktop formatting choice. If you send mostly from a phone and consistency matters, use a simpler text-first signature on mobile.

When Canva is the right tool—and when it is not
Choose Canva when visual branding matters, one person manages the signature, and a static logo or headshot is enough. For an individual, the most practical compromise is Canva for a visual accent and Gmail for the changing details and separate links.

Consider an HTML-first signature generator when you need editable text, individual links, or a reusable structured layout without designing a graphic. HubSpot offers a free email signature generator and says its output works with multiple mail clients; that is the vendor’s compatibility claim, not a guarantee of identical rendering everywhere.
Consider a managed signature platform if an organization needs central control, consistent employee details, or policy-managed footers. WiseStamp is aimed at signature management; its current plan and seat terms should be checked directly before choosing it. CodeTwo’s Email Signatures 365 is oriented toward Microsoft 365 administration and is generally not the natural option for an individual Gmail user. For a personal Gmail signature, these services can add complexity without solving a real need.
