In Adobe Acrobat, automatic math is configured per form field. Open the field’s Properties, choose the Calculate tab, and then select a predefined operation, simplified field notation, or a custom calculation script. If one calculated field uses another, set the calculation order so prerequisites run first. Acrobat Sign uses a separate formula workflow, and you should test the finished PDF in the viewer your recipients will actually use.
What “automatic calculation” means in a PDF form
A calculated PDF field is not ordinary text with a formula typed into it. It is an interactive form field whose value is recomputed when other fields change. A quantity, unit price, tax rate, subtotal, total, score, or average can therefore update while someone completes the form.
The reliable workflow is:
- Create clearly named input fields.
- Mark the result field as calculated.
- Choose the least complicated calculation method that expresses the rule.
- Put prerequisite calculations before dependent calculations.
- Test the final file in the recipient’s PDF viewer.
Adobe Help Center describes the dependency issue this way: “When you have multiple calculated fields that depend on each other, the order in which Acrobat performs these calculations becomes essential to get an accurate result.”

Choose the right calculation method

Start with a predefined operation when it is sufficient. Use simplified notation for straightforward arithmetic. Move to a custom script when the formula needs conditions, a changing denominator, special treatment of blank fields, or other logic that a simple expression cannot represent.

Set up a calculated field in Acrobat
1. Create and name the input fields
Open the PDF in Adobe Acrobat and choose Prepare a form. Add text or numeric fields for the values a person will enter. Give each field a unique, descriptive name such as qty, unit_price, subtotal, tax_rate, and grand_total. Consistent names make notation and scripts easier to read and reduce the chance of referencing the wrong field.
Open each field’s Properties and check its format. A currency result should display as currency, while a percentage or score may need a different number of decimal places. Formatting changes how a value is shown; it does not replace the calculation itself.
2. Select the Calculate tab
Open Properties → Calculate for the field that should contain the result. Acrobat presents three relevant choices:
- Value is not calculated (or the equivalent manual-entry option).
- Value is the selected predefined calculation of other fields.
- Custom calculation script, with either simplified field notation or JavaScript.
The exact wording can vary slightly by Acrobat release, but the calculation controls are on the field’s Calculate tab.
3. Use a predefined operation for common totals
For a total of line items, select the predefined sum operation and choose the fields to add. For an average, select the average operation and choose the score fields. Product, minimum, and maximum are useful when the result is a multiplication or a comparison rather than an addition.
This approach keeps the form easy to inspect: another author can see the selected source fields without reading code.
4. Use simplified field notation for basic arithmetic
Select the simplified-notation option and enter an expression using your field names and arithmetic operators. Examples include:
qty * unit_pricefor a line total.subtotal + tax_amountfor a grand total.(subtotal * tax_rate) / 100when the tax rate is entered as a whole-number percentage.
Keep names simple and unambiguous. If the expression becomes a chain of conditions or requires special blank-value behavior, use a custom script instead.
5. Use a custom calculation script when the rule needs logic
On the Calculate tab, choose Custom calculation script and select Edit. The script must assign the result to event.value. The following examples treat empty numeric fields as zero for a line total:

For a tax amount based on a subtotal and a whole-number percentage:

Choose deliberately whether an empty input should produce zero or leave the result blank. Those are different business rules. If a blank quantity should prevent an invoice total from appearing, change the script to test for an empty string and assign "" instead of zero.
6. Put dependent fields in calculation order
Suppose grand_total uses subtotal and tax_amount, while tax_amount uses subtotal and tax_rate. Acrobat must calculate the inputs first, then subtotal and tax_amount, and only then grand_total.
In Acrobat’s form-preparation tools, open the command for setting the form’s calculation order (often shown under More in Prepare a form) and move prerequisite fields above the fields that depend on them. The available label can differ by version. Recalculate after changing the order and verify the displayed results.

Use predefined sums where they express the rule clearly, simplified notation for the multiplication and addition, and custom scripts only when you need blank handling or conditional behavior. Set currency formatting on the monetary result fields and decide whether empty lines count as zero before distributing the form.

Acrobat Sign uses a separate formula workflow
Acrobat Sign calculated fields are not configured through the same desktop Acrobat field-properties screens. In Acrobat Sign’s authoring workflow, add a calculated field and enter its formula using field references, literals, operators, and functions supported by Sign. A formula may reference another calculated field.
Use descriptive field names and keep related calculations simple. Do not copy a desktop Acrobat JavaScript script into an Acrobat Sign formula box or assume that a menu path from Acrobat applies to Sign. Treat the two authoring environments as separate implementations and validate the result in the Sign document flow.
Test the finished PDF before sending it
The strongest documented behavior is in Adobe’s own tools. There is no single compatibility guarantee for every third-party PDF viewer, and viewers may not execute every Acrobat JavaScript calculation identically. Test the actual file, not just the source form:

- Enter ordinary values and confirm each intermediate result.
- Change an input after a result has appeared and confirm that all dependent fields update.
- Try blank, zero, negative, and decimal values where those cases are allowed.
- Check that the displayed number format matches the underlying result.
- Open the distributed PDF in the viewer and version your recipients will use.
- For Acrobat Sign, complete a test agreement through the same signing workflow recipients will follow.
If a calculation is business-critical, include a visible review step or another way to verify the final number rather than assuming every recipient’s software behaves like Acrobat.

The result field stays blank
Open its Properties and confirm that a calculation method is selected on the Calculate tab. If it uses a script, make sure the script assigns event.value and that every referenced field name matches exactly. A blank result may also be intentional if your script returns "" for incomplete input.
The total is wrong only when several fields are calculated
Review the calculation order. A dependent field that runs before its prerequisites can use old or empty values. Move the prerequisite fields earlier, then test by changing each input again.
The formula produces zero or an unexpected value for empty fields
Decide whether empty means zero, invalid, or not yet complete. Simplified notation may not express the policy you need; a custom script can explicitly test valueAsString and either substitute zero or leave the result blank.
The script works in one PDF viewer but not another
That is a viewer-compatibility issue, not proof that the formula is correct everywhere. Re-test in the intended recipient software and consider a workflow that keeps calculation and verification inside a supported Adobe environment when the result cannot be allowed to vary.
An Acrobat Sign formula is rejected
Check that you are using Sign’s formula syntax, valid field references, and supported functions. Desktop Acrobat JavaScript syntax and Sign formula syntax are separate; simplify the expression and test each referenced field individually.
