The right method depends on two things: whether you still need to capture the screen, and where the image is going. Word can capture an open window or selected region directly; Word and Google Docs can insert an existing file or pasted clipboard image; an HTML page displays a hosted image with an <img> element. Follow the destination-specific steps below, then check sizing, accessibility, and reuse rights.
Choose the workflow before you start

Insert a screenshot directly in Microsoft Word
Word’s built-in Screenshot gallery can capture an entire open window or a rectangular selection without first saving a separate file. The commands described here apply to Word versions covered by Microsoft’s current support documentation, including Microsoft 365 and several perpetual releases on Windows and Mac; labels can vary slightly by edition.
Capture a complete window
- Open the application window you want to show.
- Activate that window. Word lists recently active windows first, so activating the target makes it easier to identify.
- Return to Word and place the insertion point where the image should appear.
- Choose Insert > Screenshot.
- In the gallery, click the thumbnail of the target window. Word inserts that window as a picture at the cursor.
The inserted object is an ordinary picture: you can resize it, add a caption, or change its text-wrapping behavior.

- Arrange the content you need and activate its window.
- In Word, choose Insert > Screenshot > Screen Clipping.
- When the screen dims, drag across the region to capture. Release the mouse or trackpad to insert the selection.
Use clipping for a single dialog, chart, or control. It avoids exposing unrelated notifications or private information visible elsewhere on the desktop.

Insert a screenshot that already exists
- Click where the image belongs.
- Choose Insert > Pictures and select the source available in your Word edition, such as This Device, OneDrive, stock images, or an online search.
- Select the file and confirm.
You can also paste an image copied from a screenshot utility or drag an image into Word for the web. In Word for the web, copying and pasting or dragging the picture is often the quickest route when the file is already available.
Make the picture fit and remain readable
- Drag a corner handle to scale proportionally; avoid pulling a side handle, which distorts text in the screenshot.
- Use the picture layout or wrapping controls to choose inline placement, square wrapping, or another arrangement. Inline with text is the predictable choice for reading order and assistive technology.
- Keep enough physical size for labels and controls to remain legible. If the image becomes unreadable, crop irrelevant margins or recapture at a larger resolution instead of enlarging a tiny capture.
- Add alternative text through the picture’s accessibility or Alt Text command. Describe the information a reader needs, not every pixel.
Put a screenshot in Google Docs
Upload an existing file
- Place the cursor in the document.
- Choose Insert > Image.
- Select the available source, such as Upload from computer, a URL, Drive, Photos, or another option shown by your account.
- Choose the screenshot and wait for it to appear.
Drag, copy, or paste
Google Docs supports dragging an image from your computer into the document. You can also copy a screenshot from an operating-system capture tool or a web page and paste it at the insertion point. Pasting is convenient for a one-off image; uploading the original file is easier when you need to reuse or archive it.
Control placement and accessibility
- Select the image and open its image options to adjust text wrapping and position when those controls are available.
- Those wrapping and position controls are not available in a pageless document. Switch to File > Page setup > Pages if you need page-based positioning.
- Open the image’s options and choose Alt text to add a concise description of its useful meaning.
For a procedural screenshot, describe the state or action shown—for example, “Export dialog with PNG selected and the Save button highlighted”—rather than writing only “screenshot.”
Add the screenshot to an HTML web page
A browser cannot display a file that only exists on your computer unless the page is also running locally and the path is valid. Put the image in your site’s assets, object storage, or another publicly reachable location, then point src to that resource.

Basic local or relative path

srcis a URL or path the browser can fetch. A relative path is resolved from the HTML document’s location.altshould convey the screenshot’s relevant information to someone who cannot see it. Do not repeat an unhelpful filename.widthandheightdeclare intrinsic dimensions. They help the browser reserve space and reduce layout shifts while the image loads.
Use a hosted image

Use <figure> and <figcaption> when a visible caption helps. The title attribute is not a replacement for alt text. If an image is purely decorative and adds no information, use alt="".
Responsive sizing without distortion

The intrinsic dimensions preserve the aspect ratio while max-width:100% prevents overflow on narrow screens. Do not use CSS to stretch a low-resolution capture until its text becomes illegible.
Write useful alt text and check reading order
Alt text is part of the content, not decoration. State what the screenshot teaches in its surrounding context. A support article might use “Billing page with the Cancel subscription link in the lower-right corner.” If the surrounding paragraph already states the same information and the image is redundant, an empty alt attribute can be appropriate.

Quality, privacy, and reuse checks
- Readability: View the document or page at its final size. Crop browser chrome and blank margins that consume space, but retain context needed to understand the action.
- Privacy: Mask passwords, personal data, tokens, email addresses, notifications, and unrelated tabs before sharing.
- Consistency: Use the same image format and visual scale for screenshots in a series. PNG is useful for crisp interface text; JPEG can be smaller for photographic content; WebP may reduce transfer size when your publishing stack supports it.
- Copyright and permission: A screenshot can contain someone else’s software, artwork, or data. Microsoft places responsibility for respecting copyright on the user. Confirm that the material may be reproduced before public publication.
- Link targets: If the screenshot itself is a link, make alt text describe the destination or action, not merely its appearance.

Troubleshoot common failures
The screenshot is missing or shows the wrong window in Word
Activate the target application before opening Word’s Screenshot gallery. If it is minimized, on another desktop, or blocked by a dialog, restore it and repeat. For a precise area, use Screen Clipping instead of selecting a window thumbnail.
The picture is blurry after insertion
Start with a higher-resolution capture or use a retina/high-scale capture. Do not enlarge a small bitmap. Crop unused margins and let the image keep its original aspect ratio.
Google Docs will not let me wrap or position the image
Check whether the document is pageless. Switch to pages format, then select the image and open its image options. Inline placement remains available when you need the simplest reading order.
The HTML image displays a broken icon
Open the exact src URL in a browser, check capitalization and relative-path depth, and confirm the server returns an image rather than an HTML error page. For production sites, verify that the asset is reachable over HTTPS and is not blocked by authentication or hotlink rules.

The page layout jumps while the image loads
Include accurate width and height attributes or an equivalent CSS aspect ratio. Keep the CSS height automatic so the image is not distorted.
Alt text sounds repetitive
Read the surrounding paragraph and remove facts already stated there. Keep only the visual information needed to understand the task; use alt="" when the image contributes nothing beyond decoration.
