To make a PDF ask for a password before it opens, add an open (viewing) password in a PDF editor, confirm it, and save a new protected copy. In Adobe Acrobat, open All tools > Protect a PDF > Protect with password, choose Viewing, enter the password twice, and select Apply. Keep the original working file in a secure location and send the password through a separate channel.
Choose the protection your PDF actually needs
PDF security has two different jobs. Decide which one applies before changing any settings.

You can use both types, but a permissions password is not a substitute for an open password. Someone who can open an unrestricted copy can still read its contents.
Make a PDF require a password in Adobe Acrobat
Set the password needed to open the file
- Open the PDF in the desktop version of Adobe Acrobat.
- Select All tools.
- Choose Protect a PDF.
- Select Protect with password.
- For the protection type, choose Viewing. This is Acrobat’s label for an open password.
- Enter a strong password, then enter it again to confirm.
- Select Apply.
- Save the protected PDF as a new file, then close and reopen it to verify that the password prompt appears.
Use a password that is long enough to resist guessing but memorable for the intended recipient. Store it in a password manager or another secure location. Adobe says it does not store this password and cannot retrieve it if you forget it, so there is no normal “reset” path for a lost PDF password.

Restrict printing, editing, or copying instead
If the PDF may be opened by anyone who receives it but certain operations should be limited, use Acrobat’s password-encryption or permissions controls rather than Viewing. Adobe documents controls for:
- Printing: no printing, low-resolution printing (up to 150 dpi), or high-resolution printing.
- Changes: several levels of permitted editing, from none to specified form or annotation changes.
- Copying text and images.
- Access to text for screen readers.
These settings address permissions, not confidentiality. Adobe warns that some third-party products may not enforce selected restrictions. Treat permissions as a compatibility-dependent control, not an absolute barrier against every PDF tool.

- Choose File > Export.
- Open the export permissions controls (the permissions button).
- Select Require Password To Open Document.
- Enter and confirm the password, then export the protected PDF.
Menu wording and placement can vary by macOS release. After exporting, close the document and open the exported copy to confirm that Preview or another viewer requests the password.
What Microsoft Word can and cannot do
Microsoft documents password encryption for Word documents in desktop Word, but Word for the web cannot password-encrypt a document. A password on the source .docx file is not proof that a PDF exported from it will require a password. If your goal is a protected PDF, export or print the document to PDF first, then apply the open password to the resulting PDF in Acrobat, Preview, or another PDF editor that explicitly supports PDF encryption.
Signed and certified PDFs
Check the document status before trying to change security. Adobe’s Acrobat learning material states: “You cannot add passwords to a signed or certified document.” A signature or certification can make the file intentionally immutable. If you need a protected version, ask the signer or certifying authority for an appropriate unsigned source or a newly signed copy with the required security applied in the correct order.
Passwords, delivery, and recovery
Keep a safe working copy
Retain an unprotected working copy only in a location you control, such as encrypted storage with restricted access. Do not overwrite the only editable or source version with the protected export.

Deliver the PDF and its password through different channels—for example, the file by email and the password by a phone call or a separate messaging system. This does not make a weak password strong, but it prevents a single intercepted message from containing both the document and its key.

Plan for forgotten passwords
Adobe says a forgotten Acrobat password cannot be retrieved. Microsoft likewise says Word cannot recover a forgotten document password, except where an eligible organization has already implemented an administrative recovery tool. Record the password in an approved password manager and give recipients a reliable way to retain it.
Verify the result before you send it
- Close the editor and open the saved copy in a separate PDF viewer.
- Confirm that a password is requested before any page is displayed.
- Test the exact password, including capitalization, spaces, and punctuation.
- If you set permissions, test printing, editing, copying, and screen-reader access with the software your recipients use.
- Check that the file is the intended version and that signatures or certification status have not been unexpectedly removed.
Troubleshooting common failures
The recipient can open the PDF without a password
You may have set a permissions password instead of a viewing password, or you may have sent the original file. Reopen the exported copy and confirm that Acrobat shows Viewing protection and that the viewer prompts before displaying page one.
Printing or copying is still possible
Those are permissions controls, separate from the open password. Reapply the permissions settings and choose the required printing and copying restrictions. Remember that Adobe’s warning about third-party products still applies; test with the recipient’s actual viewer.
The password prompt appears, but the password is rejected
Passwords are case-sensitive. Compare the characters directly, check for an accidental trailing space, and verify that the recipient is using the password for this file rather than an older version. If the password is genuinely lost, create a new protected copy from the secure working file.
Acrobat will not let you add a password
The PDF may be signed or certified. Adobe states that passwords cannot be added to a signed or certified document. Obtain an authorized unsigned source or have the document owner create a new signed version with the required protection.
Preview’s controls are missing
Use Preview’s File > Export route and look for the permissions button. macOS menu details differ by release. If the option is unavailable, use a PDF editor that explicitly supports an open password and then verify the exported file.
A web-based converter changed the document
Online conversion can alter fonts, links, metadata, or signatures, and uploading a sensitive document may violate your policy. Prefer a local, trusted PDF application for confidential files. Whatever tool you use, reopen the final file and test the password before delivery.
Performance, compatibility, and file-handling notes
Adding encryption normally changes the saved file rather than the visible page layout, but a fresh export can still affect metadata, signatures, or interactive features. For large PDFs, allow the application time to finish writing the new file before closing it. Keep the source and protected copy clearly named so you do not accidentally distribute the unprotected version.

Recipients need a PDF application that understands the encryption used by the creator. If a recipient reports an error, first try a current mainstream PDF viewer, then recreate the file with settings that match the recipient’s software. Do not assume that a permission restriction will behave identically in every third-party product.
