Outlook disconnections have different causes, so the safest fix is diagnostic rather than destructive: identify whether classic Outlook is deliberately offline, test the mailbox in a browser, restart and update Windows and Office, then repair the classic Outlook profile or isolate add-ins. Create a new profile, repair Office, or repair a data file only after those checks. The steps below separate classic Outlook from new Outlook for Windows, because their menus and troubleshooters are different.
Identify which Outlook you are using
These instructions primarily address classic Outlook for Windows, the desktop application with File, Home and Send/Receive tabs. In classic Outlook, profile controls are under File > Account Settings > Account Settings, and the Send/Receive > Work Offline command is available.

New Outlook for Windows has a streamlined interface and different account and troubleshooting controls. Microsoft says its classic Outlook troubleshooters do not apply to new Outlook. See Microsoft’s Outlook troubleshooter guidance before following a classic-Outlook menu path.

Classic Outlook’s status bar can show Disconnected, Working Offline or Trying to connect. Working Offline means Outlook has been intentionally switched offline or has stayed in that state after an interruption. Disconnected means it cannot establish or maintain a mail-server connection; Trying to connect means the attempt has not completed. None of these messages proves that the Windows internet connection is down.

An Outbox-only failure can have a different cause, such as a large attachment, a malformed message or an authentication error. Partial mail or calendar synchronization can result from a damaged profile, an add-in, account authentication or a server-side problem.
Run these low-risk checks first
- Test Windows networking. Open Edge or another browser and visit Microsoft.com or Bing.com. If sites do not load, fix the Windows network, VPN, proxy or Wi-Fi connection first.
- Test webmail. Use Outlook.com for a personal Microsoft account, your organization’s Microsoft 365 portal for work or school, or the provider’s webmail for Gmail, Yahoo, iCloud and other accounts. If webmail also fails, focus on authentication, password changes, security challenges, mailbox limits, licensing, an outage or provider support rather than reinstalling Outlook.
- Restart Outlook normally. Close it completely. If it remains listed, open Task Manager and end the Microsoft Outlook process, then reopen it. Restart Windows if the status remains stuck. Microsoft documents this recovery for an unresponsive new Outlook in its Outlook troubleshooting article.
- Retry synchronization. In classic Outlook select Send/Receive > Send/Receive All Folders. Press
F9to run the configured Send/Receive action; its behavior depends on account type and Send/Receive group settings.
Turn off Work Offline in classic Outlook
If the status bar says Working Offline, select Send/Receive > Work Offline. A shaded Work Offline button indicates offline mode; selecting it again returns Outlook to online mode. Wait for the status to change, then select Send/Receive All Folders and reopen or resend any message left in the Outbox. Microsoft describes this process in How to work offline in Outlook for Windows and its send-and-receive guidance.
If Work Offline is missing for an Exchange or Microsoft 365 account, Cached Exchange Mode may be disabled or controlled by your administrator. Microsoft recommends Cached Exchange Mode for Microsoft 365, but organization policy can prevent users from changing it.

Check authentication, account type and service status
- Confirm that the password was not recently changed and complete any two-factor or security prompt.
- For work or school mail, ask whether conditional access, licensing or an administrator policy is blocking sign-in.
- Check whether the failure affects one account, every account, other devices or only this PC.
- Check mailbox storage limits and the provider’s service-status page.
- For Gmail, Yahoo, iCloud and other third-party accounts, verify the provider’s current account type, OAuth or app-password requirement and encryption settings. Do not guess server names or ports. Microsoft warns that configuring an Outlook.com address as Exchange or Microsoft 365 instead of the correct account type can prevent synchronization; see Troubleshoot Outlook email setup.
Install current Windows and Office updates
In Word or another classic Office application, open File > Account > Update Options > Update Now, if that option is present. Install pending updates in Windows Settings, restart the PC and test Outlook again. Updates can replace damaged files and address known defects.
Before changing profiles or rolling back software, check Microsoft’s known-issues page for classic Outlook. The page was updated in July 2026 and labels issues as fixed, investigating or by design. Record your Outlook edition, version/build, Windows version and exact status or error message.
Repair the classic Outlook profile
When webmail works but classic Outlook repeatedly disconnects, profile repair is the principal Microsoft-supported local repair.
- Open classic Outlook and select File.
- Select Account Settings > Account Settings.
- On the Email tab, select the affected account and choose Repair.
- Complete the prompts, then restart Outlook.
See Microsoft’s profile-repair instructions. The Repair option is not available in Outlook 2016 when connecting to Exchange. Repair cannot fix a provider outage, blocked authentication, administrator policy or every type of damaged data file. Do not remove a profile merely because it is disconnected: a local PST archive may contain mail that is not on the server.

Safe Mode starts classic Outlook without normal add-ins. It is a diagnostic test, not a permanent solution.
- Press
Windows + R. - Enter
outlook.exe /safeand press Enter. - If Outlook connects in Safe Mode, close it and reopen it normally.
- Go to File > Options > Add-ins. At the bottom choose COM Add-ins > Go.
- Clear active add-ins, restart Outlook, then re-enable them one at a time until the failure returns.
Security software mail-scanning modules, CRM integrations, PDF tools and meeting plug-ins can interfere with send and receive. Microsoft lists antivirus email scanning as a possible cause; change security controls only through the vendor’s documented process. The Safe Mode procedure is documented at Microsoft Support.
Use Microsoft’s Get Help troubleshooters
The Windows Get Help application includes classic Outlook troubleshooters for profile setup, startup, password authentication and intermittent connectivity. The intermittent-connection tool is useful after the basic browser and webmail tests and before deleting a profile. Open Microsoft’s classic Outlook troubleshooters page and follow the Get Help prompt. These tools are not intended for new Outlook for Windows.
Create a new profile without deleting the old one
Create a new profile when the old one repeatedly disconnects, repair is unavailable or fails, or the account works in webmail and elsewhere but not in Outlook. Keep the old profile until the new one has been fully tested.

- Open Control Panel > User Accounts > Mail.
- Select Show Profiles > Add, enter a profile name and add the account.
- Start Outlook with the new profile and test mail, calendar, contacts, archives and autocomplete.
- Alternatively, hold Shift while starting Outlook to open Choose Profile and select the new profile.
Microsoft documents this route in its Outlook troubleshooting guidance. Do not delete the old profile or a PST until you have confirmed that all required data is on the server or that the PST is backed up and opens independently. Removing a profile can remove associated local data-file references; see Microsoft’s data-safety warning.
Repair Office, then repair a damaged data file
Repair the Office installation
- Open Control Panel > Programs > Uninstall a program.
- Select Microsoft 365 or Office and choose Change.
- Run Quick Repair first.
- If it fails, run Online Repair, which takes longer and needs a reliable connection.
- Restart Windows and test Outlook.

Repair PST or OST corruption only when symptoms indicate it
Classic Outlook uses .ost files for cached Exchange or Microsoft 365 synchronization and .pst files for local archives, POP accounts and other locally stored mail. Missing folders, repeated data-file errors, crashes or persistent synchronization failures can justify Microsoft’s Inbox Repair Tool, scanpst.exe. It is not a first-line cure for a simple Disconnected status.
- Close Outlook and locate the relevant PST or OST.
- Locate and run Inbox Repair Tool; its path varies by Office edition and architecture.
- Select the data file and follow the repair prompts.
- Reopen Outlook and test synchronization.

Account-specific decisions

Cached Exchange Mode is not the same as a disconnection
Cached Exchange Mode keeps a local copy of Exchange or Microsoft 365 mail in an OST. In classic Outlook, change the offline period through File > Account Settings > Account Settings > select the account > Change. Microsoft says Microsoft 365 accounts commonly cache the previous 12 months by default; available choices can include All, 12, 6, 3 or 1 month, depending on Outlook version.
A short period means older mail may not be stored locally; it does not mean new mail is disconnected. Increasing the period can increase disk use, startup time and synchronization time. Administrators may control the setting. See Microsoft’s Cached Exchange Mode guidance.
When the problem is outside Outlook
Contact your employer’s administrator or mail provider when webmail and multiple devices fail, an organization-wide outage is reported, conditional access or licensing blocks the account, or a third-party provider rejects authentication. For a work account, users may not be permitted to change Cached Exchange Mode, firewall rules, security software or sign-in policy.
If the problem began after an update, check the known-issues page before rolling back software or deleting profiles. Give support the exact status text, error code, account type, Outlook edition and build, Windows version, affected devices and time the failure began.

Do you need Microsoft 365 to fix this?
No subscription automatically repairs a network block, provider outage, bad add-in, corrupt profile or incorrect IMAP configuration. Microsoft lists a free, ad-supported Outlook experience for personal use; its page currently describes 15 GB mailbox storage and 5 GB cloud storage: Outlook for Windows.

- Keep Windows and Office updated, and check known issues after a problematic update.

- Maintain backups of PST archives and confirm which mail is server-stored.
