Excel formulas usually fail in one of five ways: Excel is displaying the formula as text, calculation is set to Manual, the syntax or reference is invalid, the formula returns an error, or it calculates a logically wrong result. Start by selecting the cell and checking the Formula Bar, then follow the symptom-specific fix below.
- Confirm the entry begins with
=. - Check whether Formulas > Show Formulas is enabled.
- If the formula is text, change the cell format to General and press F2, then Enter.
- Set calculation to Automatic and press F9.
- Read any displayed error code before changing the formula.
First identify what “not working” means
The fastest diagnosis depends on the symptom:
- You see
=SUM(A1:A10)in the cell: Show Formulas may be on, or the cell contains text. - The old answer remains after inputs change: Calculation may be Manual.
- Excel says “There’s a problem with this formula”: Check syntax, separators, quotes and references.
- An error code appears: Use the code-specific table below.
- A number appears but is wrong: Inspect ranges, copied references, data types and lookup logic.
- It works in one file or device but not another: Check links, feature support and the Excel edition.
If Excel displays the formula instead of its result
Turn off Show Formulas
If every formula on the worksheet is visible, choose Formulas > Show Formulas. On supported desktop and web versions, Ctrl + ` toggles the same display; the grave-accent key is usually near the top-left of the keyboard. This changes the view—it does not convert formulas into text. See Microsoft’s instructions for displaying or hiding formulas.
Convert a text-formatted cell back to a formula
A cell formatted as Text, or a formula preceded by an apostrophe such as '=SUM(A1:A10), is treated as characters. Select the cells, choose Home > Number Format > General (or another appropriate numeric format), then press F2 and Enter to re-enter each formula. Changing the format alone may not recalculate an existing text string. For a suitable range, Data > Text to Columns > Finish can force bulk re-entry; make a copy first if the range contains mixed data.
Check the entry itself
Every formula must start with =. For example, =SUM(A1:A10) is a formula, while SUM(A1:A10) is text or an ordinary entry. Also check that the formula was not pasted with a leading apostrophe.

If the result does not update
Set calculation to Automatic
In Windows desktop Excel, open File > Options > Formulas, select Automatic under Calculation options, and confirm. Calculation settings can affect open workbooks, so a file copied from someone else may retain Manual mode. Microsoft documents the setting and iteration controls at formula recalculation and iteration.
Recalculate at the appropriate level
- F9: recalculates changed formulas and their dependents.
- Shift + F9: recalculates the active worksheet.
- Ctrl + Alt + F9: recalculates all open workbooks.
- Ctrl + Alt + Shift + F9: rebuilds the dependency tree and recalculates where supported.
Shortcut availability and behavior vary between Windows, Mac, web and mobile editions. Recalculation cannot repair invalid syntax, broken references or incorrect logic.
Fix syntax and reference mistakes
Microsoft lists missing equal signs, incorrect operators, missing quotation marks, unmatched parentheses and missing arguments among common causes of broken formulas. Compare the formula with these patterns:

Argument separators follow regional settings. Your Excel may require commas, as in =IF(A1>10,"Yes","No"), or semicolons, as in =IF(A1>10;"Yes";"No"). Check the function tooltip or a working formula in the same installation. A misspelled function, missing required argument or unavailable function can also produce an error.

When the formula calculates but the answer is wrong
Check references after copying
Relative references change when filled. Use $A$1 for a fully fixed reference, $A1 to fix the column, or A$1 to fix the row. Compare the Formula Bar with the rows above and below for a missing $, a total row that includes itself, or a range that ends one row early.

Validate data types and dates
Numbers stored as text can look identical to numbers but behave differently. Test a suspect cell with =ISNUMBER(A2), =ISTEXT(A2) and =LEN(A2). Imported spaces, nonprinting characters and dates interpreted under the wrong regional format can alter comparisons and arithmetic.

Confirm that the lookup value exists, the return range aligns with it, and exact matching is selected when required. Check that newly added rows are included. Excel Tables use structured references such as =SUM(DeptSales[Sales Amount]); they generally expand with table data, but linked-workbook support for some structured references is limited. Microsoft explains the syntax at structured references with Excel Tables.
Hidden rows, filters and formulas returning "" can also change what you see. An empty string is not the same as a genuinely blank cell. For inconsistent copied formulas, use Microsoft’s inconsistent-formula guidance.

Find and remove circular references
A circular reference occurs when a formula points to itself directly or through another cell—for example, entering =A1+A2 in A1, or =SUM(A1:F1) in F1. On desktop Excel, choose Formulas > Error Checking > Circular References, select each listed cell, and edit the formula. Use Trace Precedents and Trace Dependents to locate indirect loops. Continue until the status bar no longer reports circular references. Microsoft’s workflow is documented at remove or allow a circular reference.
Some financial models intentionally use iteration. Windows exposes it at File > Options > Formulas > Enable iterative calculation; Mac uses Excel > Preferences > Calculation > Use iterative calculation. Set Maximum Iterations and Maximum Change deliberately. Microsoft lists defaults of 100 iterations or a change smaller than 0.001; workbook settings and versions can differ. Enabling iteration is not a substitute for removing an accidental loop.

References to another worksheet
A sheet name containing spaces must be enclosed in single quotes: =SUM('Sales Report'!A1:A8). Without the quotes, Excel may reject the formula or interpret the reference incorrectly.

References to another workbook
External formulas depend on the source file, its path and permissions, and sometimes on the source workbook being open or refreshed. Choose Data > Workbook Links (or the available link-management command), verify the source path, and update or change it after saving a backup. Breaking a link converts dependent results to static values and removes future refresh behavior, so do it only when that loss is intentional. Unsupported linked structured references can produce #REF!; see Microsoft’s reference-error guidance.
Use Excel’s auditing tools
- Make a backup copy of the workbook.
- Open Formulas > Error Checking and inspect the first reported issue. Background checking can be configured in Windows under File > Options > Formulas and on Mac under Excel > Preferences > Error Checking; see Microsoft’s error-detection documentation.
- Use Show Formulas to compare a whole region.
- Use Trace Precedents to see inputs and Trace Dependents to see outputs.
- Use Evaluate Formula to step through nested logic.
- Test complex pieces in helper cells—for example,
=LEN(A2),=ISNUMBER(A2)or=TRIM(CLEAN(A2))—then rebuild the final formula incrementally.
When to switch from web or mobile Excel to desktop
Excel for the web calculates many formulas, but its auditing and workbook-management controls are not identical to Windows or Mac desktop Excel. Mobile apps are less suitable for tracing complex dependencies. If you cannot locate a circular reference, repair workbook links, inspect advanced dynamic-array behavior, or diagnose a feature-specific #CALC! error, save a copy and open it in desktop Excel. Do not assume a formula is unsupported on an entire platform without naming the exact function, edition and version; Microsoft lists applicability across Microsoft 365, Excel 2024, Excel 2021, Excel 2019, Excel 2016, web and mobile with feature differences.
Which Excel version do you need?
Buying software is rarely necessary to repair one formula. Free Excel for the web is suitable for basic calculations and sharing: Microsoft’s Excel page describes browser access with a Microsoft account and 5 GB of cloud storage. Desktop Excel is the better fit for extensive auditing, offline work, VBA, complex links or advanced workbook features. Microsoft 365 Personal and Family provide subscription-based desktop apps; Office 2024 is a one-time purchase for one computer without the same ongoing feature updates. Google Sheets may suit browser-first collaboration, but Excel-specific functions, VBA, advanced auditing and exact workbook compatibility can suffer; see Google Workspace pricing for current plans.
