Start by saving a fresh, complete copy of the PDF to a local folder and opening it in an updated Acrobat Reader or Acrobat. If that works, the problem is likely the original link, download, cloud sync, network path, or viewer—not necessarily the PDF itself. If multiple trusted viewers cannot open the same local copy, retrieve an earlier copy or recreate the PDF from its original source. Adobe says a damaged PDF that will not open cannot be directly repaired through its documented workflow.
The message “There was an error opening this document. The file cannot be accessed by the system” is not a diagnosis. Work through the checks below in order, changing one thing at a time so you can identify whether the failure is the file, its location, the viewer, or an access restriction.
First identify where the failure happens
Before changing settings, note the complete error wording and where you see it. Try to determine whether the issue affects one PDF or many, and whether the file came from a browser link, a cloud folder, a network share, email, or another source. These distinctions matter: a file that has not finished downloading or syncing can look like a corrupt PDF, while a viewer problem may affect otherwise healthy documents.

A file opening in another viewer is useful evidence that Acrobat may be involved, but it does not prove that every feature is intact. Forms, signatures, links, or security behavior may differ between viewers.

Save a fresh local copy
If you opened the PDF from a website or email link, download it instead of repeatedly opening the browser preview. A partial or interrupted download may not be a usable PDF.
- Return to the link that provides the PDF.
- Use the browser’s save or download command. In Chrome, Edge, and Firefox, Adobe identifies the option as “Save Link As”; in Safari, it is “Download Linked File.” You can also right-click the link in Windows or Command-click it on macOS to find the browser’s download option.
- Choose a folder on the computer’s local drive, such as Downloads or Documents, and wait for the download to finish.
- Open the saved file from that folder in Acrobat Reader, Acrobat, or another trusted PDF viewer.
If the local copy opens, the issue is probably with the original link, browser handling, or the way the file was being accessed. If it still fails, download it again from the source if possible. For an important or sensitive document, use the original sender or trusted download site rather than an unknown “repair” service.
Check cloud sync, network access, and permissions
A PDF displayed in a cloud folder may be only a placeholder until the sync client downloads it. A network folder may also become unavailable because the connection or access permissions changed. Confirm the file is actually present before treating it as damaged.
- Check that the relevant sync application is running and reports that the file is fully synced.
- If the service supports offline availability, make the PDF available locally, then wait for it to download.
- Copy the file to a local folder and open that copy. If copying fails, check your access to the source folder or ask its owner or administrator to verify permissions.
- If the file came from a shared link, confirm that the link is still valid and that you are signed in to the account with access.
An Adobe Community user described a “file cannot be accessed by the system” case that was traced to Dropbox not syncing after a computer change. That is an anecdotal example, not evidence that Dropbox is a general cause. The general diagnostic point is to verify sync and access when a document lives outside the computer.

Separate a viewer problem from a file problem
Try another trusted PDF viewer
Open the same local copy in another trusted PDF viewer. If it opens there but not in Acrobat, the Acrobat installation, settings, or compatibility may be responsible. If it fails in more than one viewer, the file may be incomplete, damaged, restricted, or otherwise inaccessible. Do not use another viewer’s success as proof that the document’s forms, signatures, accessibility information, or security properties are preserved.
Check the default PDF app
If PDFs keep opening in an unexpected program, set Acrobat or Reader as the default PDF app through your operating system’s default-app settings. Adobe documents this for Windows and macOS; the exact settings screen can vary by operating-system version. Then open the file from its local folder again. Changing the default app will not repair a damaged file, but it can resolve cases where the wrong application is handling it.
Update Acrobat or Reader
In Acrobat or Reader, choose Help > Check For Updates, install any available update, and retry the local copy. Updates can address problems in the application, but they cannot restore missing bytes in an incomplete download or recreate damaged PDF content.
Repair the installation on Windows
Adobe’s documented Windows repair action is Help > Repair Installation in Acrobat or Reader. Use it when more than one PDF fails in that installation or when the other viewer checks point toward Acrobat. After the repair finishes, reopen the application and test the same local file. This step repairs application resources; it is not a repair tool for the PDF’s contents.

Handle “Access Denied” as a security issue
Protected Mode is an Acrobat/Reader security feature. Adobe notes that it can block some files, particularly files from external locations, and documents a setting for disabling it. Do not turn off Protected Mode as a blanket fix for the generic “Error Opening This Document” message. First confirm that the exact symptom is an access denial and that you trust the file and its source.
- If the file is unexpected or came from an untrusted sender or download site, do not weaken security to force it open. Ask the sender or site to verify the document.
- If you have a specific, trusted file and the error explicitly indicates access denial, consult Adobe’s current instructions for Protected Mode before changing that setting.
- Restore the normal security setting after any targeted diagnostic test.
A password-protected or otherwise secured PDF may need the correct credentials or permission from its owner; that is a different issue from a damaged file. Do not upload confidential PDFs to an online service simply to test whether it can open them.
If the PDF is damaged, recover a source copy
Adobe states that a damaged PDF that refuses to open cannot be directly repaired through its documented workflow. Prefer recovery from a known-good copy over repeated conversion attempts.

- Download the PDF again from its original trusted source, or ask the sender to send a fresh copy.
- Check backups, cloud version history, or previous file versions for a copy from before the problem began.
- If you created the PDF, reopen the original document—such as the word-processing, design, or spreadsheet file—and export or print a new PDF.
- If no usable copy exists, consider whether information can be extracted from the damaged file. Extraction may require reformatting and may not preserve the document’s original layout, forms, links, accessibility, or other features.
Keep the original damaged file unchanged while you try recovery steps. If it contains confidential material, favor local copies, backups, or the original author over uploading it to a third-party repair or conversion website.

Why browser reprinting is only a last resort
An Adobe Community answer describes opening a PDF in a browser and printing it to a new PDF after Acrobat rejected the original. In that one user’s report, the output appeared to rasterize pages and lose OCR/text information; a 40-page file reportedly grew from about 8 MB to about 100 MB. Those are anecdotal results for one case, not a general benchmark.
Browser reprinting may preserve a visible page image, but it is not a faithful repair. Searchable text, accessibility, links, forms, and file size can suffer. Use it only when preserving the appearance of pages is more important than retaining those properties, and keep the damaged original in case another recovery route becomes available.

Common troubleshooting mistakes
- Assuming the message proves corruption: It does not identify one cause. Compare a completed local copy, storage state, viewer behavior, and exact wording.
- Retrying a browser preview without saving: Download a complete copy and open it locally to isolate link and transfer problems.
- Disabling Protected Mode for every failure: Reserve that security-sensitive branch for a specific Access Denied symptom and a trusted file.
- Using an online converter on a private document: Uploading can expose its contents; use a source document or backup when available.
- Calling a reprinted copy a repair: Browser printing may discard document properties and does not restore the original PDF structure.
- Running Acrobat repair to fix one damaged file: Repair Installation addresses the Windows application installation, not the PDF’s data.
FAQ
Can I fix this without Acrobat?
You can use another trusted PDF viewer to determine whether the problem is specific to Acrobat, and you can retrieve a fresh copy or recover the original source without Acrobat. Another viewer is a diagnostic or access option, not proof that every PDF feature has been preserved.
Should I upload the PDF to a free repair website?
Not if the file contains private or confidential information unless you have reviewed and accepted that service’s handling of uploaded data. Prefer a fresh download, backup, version history, or recreation from the original source.
