If Windows says a printer is Offline, it means Windows cannot currently use or confirm the printer through its configured connection—not necessarily that the printer is switched off or broken. Start by checking the printer and its connection, then work through Windows’ queue and Print Spooler before reinstalling anything.
These steps focus on Windows 11. Windows 10 reached end of support on October 14, 2025; its printer menus may differ, and it no longer receives standard security updates. Microsoft’s printer guidance covers both versions. Microsoft’s offline-printer guide
Try these checks first
- Check the printer’s display for a paper jam, empty tray, open cover, or ink/toner warning. Resolve any error before changing Windows settings.
- Confirm the printer is powered on and connected. For USB, reseat the cable at both ends. For Wi-Fi, confirm the printer and PC can communicate on the same local network.
- Turn the printer off, unplug it for about 30 seconds, reconnect it, and turn it back on. Restart the PC too if the printer still appears offline. Microsoft recommends this power cycle.
- If available, print the printer’s built-in test or network-configuration page. If it cannot print its own test page, the problem is likely with the printer or its connection rather than Windows’ print queue.
“Offline,” “in error state,” “job stuck,” and “printer not found” are different symptoms. An error-state message often points to a printer-side issue; a stuck job can block an otherwise connected printer; and “not found” means Windows cannot discover or add it. 1. Run the Windows printer troubleshooter
In Windows 11, open Start, search for Get Help, open the app, and run its printer troubleshooter. Select the affected printer if prompted, apply any suggested fixes, then try a test print. The prompts can vary by Windows build. The troubleshooter can diagnose and attempt common repairs, but it may not resolve a hardware failure, broken network connection, or every driver problem.

2. Clear offline mode, pause mode, and the wrong-printer problem
- Open Settings > Bluetooth & devices > Printers & scanners.
- Select the affected printer and open its queue.
- In the queue window, open the Printer menu. Make sure Use Printer Offline and Pause Printing are not selected.
- Cancel obsolete or duplicate jobs. If you have several printers, confirm that you sent the job to the intended one; set it as the default if that makes sense for your setup.
- Try printing again.

3. Restart Print Spooler
Print Spooler manages print jobs between Windows and the printer. Restarting it is a low-risk next step and does not require deleting queued files:
- Search Windows for Services and open the Services desktop app.
- Find Print Spooler.
- Right-click it and choose Restart.
- Wait briefly, then send a small test document.

4. Clear a print queue that will not empty
First, open the printer queue and cancel pending documents. If they remain stuck after a short wait, resetting the spool folder can clear a damaged queue. This deletes all pending print jobs, so save or cancel any job you still need.
- Search for and open Services.
- Right-click Print Spooler and select Stop.
- Open File Explorer, enter
%WINDIR%System32spoolPRINTERSin the address bar, and press Enter. - Delete the files inside that folder. Do not delete the folder itself.
- Return to Services, right-click Print Spooler, and select Start.
- Open the service’s properties and confirm Startup type is Automatic. Restart Windows and test printing.
This removes pending jobs, not normally the printer or its driver. Microsoft documents the spool-folder reset.

5. Check the connection based on how the printer is attached
Wi-Fi or network printer
- Check the printer’s wireless indicator or network status, and print a network configuration page if its control panel offers one.
- Check that the printer and PC are on a network that permits local-device communication. A guest network, client isolation, or separate network configuration can prevent them from seeing one another. A VPN may also block local discovery; disconnect it temporarily only if your security policy allows.
- Restart the printer, router, and PC. Wi-Fi bands are not automatically incompatible; what matters is whether the router lets the devices communicate across the local network.
- If the printer recently changed networks or the router reassigned its address, remove and re-add it as described below. A manual TCP/IP port can help in some managed setups, but it requires the printer’s current IP address and the correct model-specific driver; it is not a universal fix.
USB printer
- Reseat the cable and try another USB port. For diagnosis, connect directly to the PC rather than through a hub or dock.
- Wait for Windows to detect the device, then check Printers & scanners again. If Windows still does not recognize it, consult Microsoft’s printer-not-found guidance.
Printer shared from another PC
The host PC must be on, connected to the network and printer, and configured to share it; your account must also have access. In File Explorer on the client PC, enter \ComputerName (replace ComputerName with the host’s actual name). If the host cannot be reached, resolve that network or permissions issue first. 6. Update the driver when there is evidence it is the issue
Consider a driver update if the printer stopped working after a Windows or driver change, Windows identifies it incorrectly, a reinstall did not help, or printer features such as duplexing, color, or tray selection are missing. Use Windows Update or the official support page for the exact printer model and your Windows version and system type. Avoid third-party “driver updater” utilities. The newest package is not automatically the right one; model and Windows architecture matter. 7. Remove and add the printer again
Try this after checking the printer, connection, queue, and spooler. Removing a printer can discard its saved preferences, such as duplex or tray settings.
- Open Start > Settings > Bluetooth & devices > Printers & scanners.
- Select the printer and choose Remove, then confirm.
- Restart the PC if Windows asks you to.
- Return to Printers & scanners, select Add device, wait for Windows to find the printer, and follow the setup prompts.
- Print a test page or small document.
If Windows does not find it, confirm power and USB or network connectivity, try Add device again, and use the manual-add option if offered. Have the model name and, for a network printer, its current IP address available. Install an official manufacturer driver only when needed for detection or features. Windows ARM PCs: try Windows setup before a manufacturer installer
Some Windows ARM PCs can fail to add a printer when setup relies on the manufacturer’s installer. Copilot+ PCs are one example of ARM-based devices. Check Settings > System > About and look under System type to see whether the PC uses an ARM-based processor. If it does, first try adding the printer through Windows’ Printers & scanners > Add device flow rather than running a manufacturer installer, unless the printer maker gives model-specific instructions. When it is probably a printer or network problem
If the printer cannot print its own internal test page, shows a persistent service code or mechanical error, or fails from multiple devices over both USB and Wi-Fi, Windows is unlikely to be the only cause. Check paper, covers, ink or toner, firmware, and the printer’s network setup; then contact the manufacturer or a repair service. If it works from a phone or another computer but not this PC, focus instead on this PC’s queue, driver, port, VPN/firewall policy, or Windows setup. Replacement is a last decision after independent testing and comparing repair and consumable costs—not the first fix for an Offline label.
