WordPress does not provide a one-click, comment-only email CSV in its standard export screen. Tools → Export creates a WXR XML archive that can include comments, while Tools → Export Personal Data is an approval-based workflow for one person’s privacy request. For spreadsheet-ready rows, use a reputable comment-export plugin, then protect the resulting file as personal data.
Choose the export that matches your goal
| Need | Best starting point | Trade-off |
|---|---|---|
| Move or archive WordPress content | Tools → Export, with All content | Downloads WXR XML containing comments among other content; WordPress does not document this as a standalone email CSV. See the Tools Export screen documentation. |
| Respond to one individual’s personal-data request | Tools → Export Personal Data | Requires email validation and manual approval, and gathers data from WordPress and participating plugins rather than every external system. See WordPress Privacy. |
| Get comment rows for a spreadsheet or apply filters | A CSV-capable comment-export plugin | Fields, permissions, security status and backup limitations vary by plugin. |
Export comments with WordPress’s built-in site export
Use this route when you need a WordPress-oriented archive for migration or general content retention, not a ready-made mailing-list spreadsheet.
- Sign in with an account that can access the administration tools.
- Open Tools → Export.
- Select All content. WordPress says this includes posts, pages, custom fields, terms, menus, custom post types and comments.
- Click Download Export File and save the generated WXR XML file securely.
The resulting file is intended for a WordPress import workflow. The official documentation does not describe a comment-only CSV or promise that every desired email field will be presented as a spreadsheet column. If you process the XML into another format, inspect the output columns and values before using it.
Handle an individual’s request with Export Personal Data
Tools → Export Personal Data serves a different purpose: it helps fulfill a request from a specific person for the personal data your WordPress site holds about them. WordPress describes an email-based request, validation and manual approval process, followed by a ZIP archive.

- Review and manually approve the request in the privacy-tools screen.
- Download the generated ZIP archive through the administrative interface and deliver it using an appropriate secure process.
WordPress core registers a comments personal-data exporter named “WordPress Comments”; the developer reference records that privacy tools were introduced in WordPress 4.9.6. This workflow is not a bulk method for collecting every commenter’s address, and it does not automatically retrieve records held in unrelated systems. See the developer reference for the comment exporter and the WordPress Privacy documentation.
Get a spreadsheet-ready CSV with a comment plugin
If your requirement is rows and columns rather than a WordPress archive, a plugin that explicitly supports comment CSV export is the practical option. Treat the plugin as an additional component that needs its own security and permission review.

Comments Import & Export
The Comments Import & Export listing describes CSV downloads of comment details with filters for article, start date, end date and limit. Before installing or exporting:
- Check the current plugin version and its changelog.
- Confirm which columns are exported, including whether commenter email is present and how empty or invalid values are represented.
- Review which administrator roles can run the export.
- Apply updates before granting access. Its changelog records an access-control fix dated 2026-09-14 for an issue that had allowed Author-role users to export restricted comment data.
Delete & Disable Comments
The Delete & Disable Comments listing describes exporting all comment rows to CSV. It warns that the file includes all comment types and personal data, should be kept private, omits comment metadata and cannot restore deleted comments. It is therefore a data extract, not a migration-ready or recoverable database backup.

- Always Fast: No slowdowns for large file transfers. With SLC caching (25% of current available capacity allocated as high-speed cache), this external SSD delivers steady 10Gbps for transfers within the cache capacity
Protect email addresses and avoid data loss
- Limit the export file to people who genuinely need it; commenter email addresses are personal data.
- Store the CSV, XML or ZIP in access-controlled storage and avoid sending it through an unprotected public link.
- Delete temporary copies according to your site’s retention policy.
- Before deleting comments, make a complete database backup. A CSV export—especially one that omits metadata—is not a substitute for a restorable backup.
- Do not use a privacy-request archive as a general marketing list; its purpose is to answer the identified person’s request.
Check the file before using it
- Open a copy rather than the only export.
- Verify that the expected number of rows and the relevant article or date filter are present.
- Confirm the email column is mapped correctly and that commas, quotes, line breaks and non-Latin names remain intact.
- Remove columns you do not need before sharing the file.
- Keep an original, access-restricted copy until you have confirmed the export is complete and any required backup is available.
What to do when the expected option is missing
You cannot see Tools → Export
Your account may lack the required capability, or an administrator may have restricted the dashboard. Ask a site administrator to perform the export or grant the minimum necessary permission temporarily.
The built-in export is XML, not CSV
That is expected: the core site export is WXR XML. Use it for WordPress content transfer, or choose a CSV-capable plugin when the destination is a spreadsheet.

- Easily store and access 2TB to content on the go with the Seagate Portable Drive, a USB external hard drive
- Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop

The CSV does not contain the fields you need
Check the plugin’s documented column list and settings. Do not assume that comment metadata, custom fields or every consent record is included; select another maintained exporter or obtain those records from the system that actually stores them.
You need data from systems outside WordPress
Export Personal Data covers WordPress and participating plugins. Email platforms, help desks, forms and other external services require their own privacy-request and export procedures.

Frequently Asked Questions
Can WordPress export only commenter email addresses directly to CSV?
Not through the documented core Tools → Export screen. Core creates a WXR XML site export; a plugin that supports comment CSV export is needed for spreadsheet-style rows.
Is a comment CSV a backup?
No. A CSV may omit comment metadata and cannot restore deleted comments. Make a full database backup before deleting anything.
The Bottom Line
Use Tools → Export for a WordPress WXR archive, Export Personal Data for a validated individual request, and a carefully reviewed CSV plugin when you need spreadsheet-ready comment emails. Keep every export private and back up the database before destructive changes.
