To embed a screenshot, place your cursor in the email body where the image should appear, then use the message editor’s Insert picture or Insert photo command. That puts the screenshot inline—within the text of the message—rather than sending it only as a separate attachment. In desktop Gmail, you can also paste a copied image into the body; in Outlook, use Insert > Pictures. The exact controls vary by app and version, and the recipient’s email app may display the message differently.
Inline image or attachment: what changes for the reader?
An inline screenshot appears at a position in the message body, between or alongside your text. The recipient can encounter it while reading without first opening a separate file. A regular attachment is sent as a file alongside the message, and the reader opens it separately. Some email clients show both inline images and attachments in their interface, so the recipient’s view is not guaranteed to match the sender’s composer exactly.
For an explanation, bug report, or step-by-step instruction, inline is usually the useful choice: introduce the image, place it near the relevant text, then continue with the next point. If the image is large, or the recipient needs the original file, an attachment or a cloud link may be more appropriate. With a cloud link, check that the recipient has permission to open it.
Embed a screenshot in Gmail on a computer
- Start a message. Open Gmail and choose Compose, or open a reply.
- Choose the insertion point. Click in the body where you want the screenshot. Add a short lead-in if it helps explain what the recipient is looking at.
- Insert the image. Use Gmail’s image-insertion control to select the screenshot from your computer. Alternatively, copy the image and paste it into the message body. Google documents a copied image pasted into the body as inline by default.
- Check its position. Confirm the image sits where you intended among the message text. If it appears only at the bottom as an attachment, remove it and insert it again from the body cursor using the image command.
- Review accessibility. If the screenshot conveys information recipients need, add useful alt text where available. Google’s screen-reader instructions describe reaching an inline image and editing its alt text. Alt text should explain the relevant content, not merely say “screenshot.”
- Review before sending. Check that the image is legible at its displayed size and that the surrounding text makes its purpose clear.
When pasting is the quickest method
If the screenshot is already copied to your clipboard, click the intended point in the message body and paste. This avoids saving and reselecting the file. Verify the result before sending: the important distinction is whether the image has landed in the body or has been added as an attachment.

Embed a screenshot in Outlook
- Open a new message or reply, then click in the body at the intended location.
- Choose Insert > Pictures and select the screenshot.
- Check that it appears within the message body. If it is too large, resize it with a corner handle so its proportions stay intact.
- Read the message in the compose window and make sure the image remains beside the explanatory text it belongs with.
Microsoft documents inline image insertion separately for new Outlook, classic Outlook, and Outlook on the web. Their screens can differ, so look for the picture-insertion control in the message editor rather than assuming every version has identical menus. This is the body-insertion method; adding a file through an attachment control is a different action.
Use Gmail on iPhone or iPad
Gmail’s photo menu distinguishes between placing a photo in the text and sending it as an attachment. Selecting a single photo inserts it in the message text by default. To make that photo an attachment, tap it and choose Send as attachment. If you select multiple photos, Gmail initially adds them as attachments; tap an individual attachment and choose Send inline to place that image in the body.
After inserting, scroll through the draft to check where the image appears. If you intended to show it next to a particular paragraph, make sure the insertion point was there before choosing the photo.

Choose between an embedded image, attachment, and cloud link

For personal Gmail accounts, Google documents a total attachment limit of 25 MB. When the total exceeds that limit, Gmail removes the attachment and adds a Google Drive link instead. Google Workspace attachment limits are set by the administrator, so do not assume the personal-account limit applies to a work or school account. Gmail can send eligible Drive files as attachments or links and checks whether recipients have access.

A screenshot inserted through the email client is different from an image hosted elsewhere and referenced by a URL. Gmail normally displays images automatically, but it may ask before displaying them if it considers a sender or message suspicious. A recipient can also configure Gmail to ask before showing external images. For a one-off screenshot, inserting the image through the composer avoids relying on a separately hosted image URL; it cannot guarantee identical display in every mail app or override a recipient’s settings.

HTML email: how developers attach an inline image
For an Outlook add-in or automated email, Microsoft documents a different route from choosing a picture in a regular compose window: attach the image and refer to that attachment by its Content-ID (CID) in the HTML image’s src attribute. The reference connects the body’s image element to the message attachment. This is a developer-oriented method, not a setting an ordinary email user needs to configure.

The cid: value must correspond to the Content-ID assigned to the attached image by the mail-generation or add-in process. The snippet alone does not attach a file or assign that identifier. For everyday messages, use the client’s picture-insertion command instead.
Troubleshooting
The screenshot is listed as an attachment, not in the body
Remove it from the draft, click in the body at the desired location, and add it through the image or picture command. In Gmail on iPhone or iPad, tap the image or attachment and choose Send inline if that option appears.

In a personal Gmail account, the total attachment size limit is 25 MB. Above it, Gmail replaces the attachment with a Drive link. If the recipient cannot open the link, check the file’s sharing access. For Workspace, ask the administrator about the applicable limit rather than assuming the personal-account rule.

The recipient sees a prompt or blank space for an external image
If the message uses a remotely hosted image URL, Gmail’s safety handling or the recipient’s settings may require approval before displaying external images. For a screenshot meant to appear in a one-off message, insert the image through the email client instead of relying on an external image URL.
The image is in the wrong place
In the draft, remove the misplaced image, click the intended insertion point, and insert it again. Inserting from the body cursor is the reliable way to associate it with the surrounding text; an attachment added through a separate control does not serve the same purpose.
The image is hard to understand without seeing it
Add a concise sentence before or after the screenshot identifying what it shows and what the recipient should notice. Where the client permits, add alt text describing the useful information in the image for recipients using assistive technology.

Does inserting a screenshot send the original editable screenshot project?
No. The email includes the image, not the editing history or a source project. Keep and share the original separately if the recipient needs to modify it.
Can I use the API example to send the email too?
