The simplest way to create an online training manual in WordPress is to build a searchable set of Pages: a landing page, linked chapter pages, clear headings, media, downloads, and deliberate visibility settings. Use a WordPress LMS instead when the manual must behave like a course with lessons, quizzes, prerequisites, enrollment, or learner progress.
Decide whether you need Pages or an LMS
Start with the learner’s task, not a plugin. If people will look up procedures, browse chapters, or download a reference document, ordinary WordPress Pages are usually the better fit. If they must follow a sequence, pass quizzes, satisfy prerequisites, enroll, or track completion, model the manual as an LMS course.

LearnDash documents a course workflow covering course settings, access and pricing modes, prerequisites, lessons, topics, quizzes, course materials, publishing, previewing, and testing. Tutor LMS is another WordPress course and learning plugin listed in the WordPress.org directory; its directory description includes features such as activity tracking and migration claims, but those vendor-listed features are not an independent performance or value comparison.
Plan the manual before opening WordPress
Define the outcome
Write one sentence describing what a learner should be able to do after using the manual. For example: “A new support agent can process a refund, document it, and escalate exceptions.” This prevents a manual from becoming an unstructured collection of notes.

Break the work into chapters
Group information in the order people need it. A practical outline might include:
- Purpose, audience, and prerequisites
- Tools, accounts, or materials required
- Core procedure, divided into short steps
- Exceptions and troubleshooting
- Safety, compliance, or escalation rules
- Reference files and a change log
Give each chapter a descriptive title that can stand alone in search results and navigation. Keep one task or decision in each section rather than placing an entire process on one uninterrupted page.
Build a page-based manual in WordPress
1. Create the landing page
Create a Page that explains who the manual is for, what it covers, and where to begin. Add links to every chapter and identify any required prerequisites. Make this the stable entry point you can place in the site’s navigation.

2. Create and organize chapter Pages
Create one Page per chapter, then use the Page hierarchy to express parent and child relationships. WordPress Pages are intended for non-chronological, enduring content and can be organized hierarchically and added to navigation. Use consistent titles such as “03. Process a refund” rather than vague labels such as “Information.”
3. Format content with the block editor
The block editor treats paragraphs, headings, lists, images, videos, galleries, and other elements as blocks. Use one H1 supplied by the page title, then an orderly H2/H3 structure inside the content. Use numbered lists for actions, bullets for requirements, tables for comparable values, and callout-style text for warnings or exceptions.
4. Add screenshots and video carefully
Annotate screenshots so the learner can identify the exact button or field. Add alternative text that describes the useful information, not merely “screenshot.” For video, include a written procedure or transcript so the manual remains usable when playback is unavailable.

5. Add PDFs and other downloads
Insert a WordPress File block when learners need a downloadable document. The block can provide a file link and, for PDFs, an inline embed option. Use a descriptive filename and button label such as “Download the 2026 refund form (PDF)” rather than “Click here.” Open the link as a learner and verify both the embedded view and download behavior.
6. Add navigation between chapters
Link the landing page to every chapter, and add “Previous,” “Contents,” and “Next” links where the reading order matters. Keep chapter links visible in the site navigation or a manual-specific menu. A search box helps with lookup, but it should supplement—not replace—an understandable structure.
Build the manual as an LMS course
Use a course hierarchy
In LearnDash, the documented structure is course, lessons, topics, and quizzes. Use lessons for major units, topics for smaller sections, and quizzes only where assessment changes what the learner is allowed to do or confirms understanding. Section headings can divide a long course without creating another lesson.

Configure access and course settings
Choose the access model deliberately, then configure prerequisites, course materials, and any enrollment or pricing behavior your site requires. Keep confidential procedures out of a resource location until you have verified how the installed configuration exposes it.
Review builder visibility
LearnDash’s Course Builder documentation warns that new lesson, topic, or quiz content created through the builder is automatically published and public after course changes are saved. Review visibility immediately after adding sensitive content; do not assume a draft-like state.

LearnDash lesson settings document a constraint: video progression, assignment uploads, and a forced lesson timer are mutually exclusive choices for a lesson. Select the control that matches the learning objective instead of enabling every available restriction.

Control who can see the manual
WordPress Page visibility
For an individual Page or post, WordPress provides Public, Private, and Password protected visibility choices. Public pages are suitable for open documentation. Private pages require the appropriate WordPress permissions. Password protection is useful for a small audience, but it is not the same as per-user enrollment or a complete private-site system.
Site-wide or membership protection
Plugins can make an entire site private or password protected. If the manual contains employee, customer, or regulated information, evaluate a purpose-built membership or access-control solution and test it with a real learner role.
Do not assume LMS materials are enrolled-only
LearnDash’s course-materials documentation states that the materials tab can be visible to all users, including people who are not enrolled. Check the actual visibility of every PDF, link, and attachment before launch, and do not place confidential files there until the configuration has been verified.

- Preview every Page using the live theme and check headings, spacing, images, tables, and video rendering on a phone and desktop.
- Open every chapter link, PDF, external link, and download in a private browser window.
- Test public, private, and password-protected pages with accounts that have the intended learner permissions.
- For an LMS, create or use a test learner account, enroll it, and complete the lessons, topics, quizzes, prerequisites, and access checks.
- Confirm that logged-out visitors cannot see resources intended only for learners.
- Ask someone unfamiliar with the process to find a procedure and complete it without verbal help.
Fix broken links, ambiguous labels, inaccessible media, and accidental publication before directing learners to the manual.
Maintain the manual as procedures change
Assign an owner for each chapter and display a “last reviewed” date near the beginning. Keep a simple change log for altered screens, policy rules, forms, and escalation contacts. Review high-risk procedures whenever the underlying system or policy changes rather than waiting for a calendar date. Remove obsolete downloads and update navigation when chapters are renamed or moved.
