Start with a schedule you can maintain; consistency matters more than building a complicated system before you have readers.
1. Decide what your newsletter is for
Before choosing software, write a one-sentence promise that answers two questions: who should subscribe, and what useful thing will they receive repeatedly? For example: “A monthly roundup of practical phone privacy settings for everyday Android users.” Use that promise to decide what belongs in an issue—and what does not.
Choose a cadence you can sustain. Weekly and monthly are common starting points in Kit’s guide to sending a first issue, but there is no universally best schedule. 2. Choose an email newsletter platform
Compare platforms by the work you need to do, rather than by a feature checklist alone. Consider whether you need an email-only workflow or a hosted publication, how you will collect and organize subscribers, whether you want reusable templates, and what reporting or automation you expect to use. Check each service’s current plan limits and pricing before committing; those details can change.

These are examples of documented workflows, not a ranking. Choose the service that makes your regular publishing routine straightforward, and verify that the features you need are available on the plan you intend to use.
3. Create a signup form that records permission
Your signup form should tell people what they are subscribing to and, ideally, how often you expect to send it. Build the list from people who have directly agreed to receive your marketing email. Mailchimp describes permission as express and verifiable consent and recommends keeping evidence of it; its forms record the submission date and time. Do not use a purchased or scraped contact list as a shortcut. Kit advises against importing people who did not directly permit marketing email. Kit’s deliverability guidance
You can also consider double opt-in: after submitting the form, a person receives a confirmation email or text and must click to confirm before being added as subscribed. 4. Set up a recognizable sender and authenticate your domain
Choose a sender name and email address subscribers will recognize. Follow your platform’s current instructions to authenticate the sending domain before you begin mailing a list. Authentication involves domain records such as DKIM and DMARC; the exact steps depend on your email service and domain host.
Mailchimp recommends authenticating a domain and configuring DMARC and DKIM. Its guidance describes a published DMARC record for high-volume sending to Gmail, Yahoo, and Outlook. Kit says a verified sending domain is needed for its DMARC setup. Check the current service and mailbox-provider instructions before sending, because requirements and interface labels can change. On beehiiv, using a custom domain for a publication is optional. Its help page says verification can take up to 72 hours and recommends using a new subdomain if the domain is also used for regular email. Keep the first issue focused. Introduce what readers can expect, give them something useful right away, and make one next step clear if you want them to click, reply, or take action. A reusable template helps you avoid rebuilding the layout each time.

- Use a clear subject line and concise sections that are easy to scan.
- Keep links focused and make sure each one works.
- Add meaningful alt text to images that convey information.
- Include the footer elements required by your platform and applicable rules.
Mailchimp says its newsletters include an unsubscribe link, mailing address, and permission reminder in the footer. - Draft from your template. Use the editor for a campaign or broadcast in your selected service.
- Preview and test. Review how the message appears, check the content and links, and send yourself a test if your platform offers that option.

6. Make the process repeatable
After sending, look at the reports your platform provides and pay attention to reader replies and other direct feedback. Use what you learn to refine future topics and calls to action. Mailchimp documents campaign reports, but the sources here do not establish a universal open-rate or list-growth benchmark, so avoid judging a new newsletter against a single supposedly standard number. Keep the routine small enough to maintain: plan an issue, prepare it in your template, test it, send it, and note what readers respond to. Add segmentation or automation when your audience and workflow give you a clear reason to do so.
