You can create a free business email address at a domain your business controls using Zoho Mail, where its free plan is available. You’ll need a domain, access to its DNS settings, and acceptance of the plan’s limits: one domain, up to five users, 5 GB per user, and web-only access without IMAP, POP, or Active Sync.

What makes an email address a business email?

A custom-domain address uses a domain your business controls, such as [email protected]. That differs from a personal address ending in @gmail.com: the custom address uses your business’s domain, while a provider hosts the mailbox.

What you need before you set it up

  • A domain: Use one your business already owns or register one. The email plan may be free, but don’t assume the domain itself is free.

  • A plan that fits: Check that Zoho’s free plan is available in your region or data center and that its user, storage, and mail-client limits work for your needs. Zoho Mail plans

What the free Zoho Mail plan includes

Zoho’s plan details, accessed September 30, 2026, list one custom domain, up to five users, and 5 GB of storage per user for the free tier. These are provider-stated plan limits, not independent measurements. The free plan is web-only and does not include IMAP, POP, or Active Sync. That means you should not assume you can use it with every desktop or mobile mail app; check the plan’s supported access methods against the devices and workflow your business relies on. Zoho Mail plans

How to create the address

  1. Get a domain and DNS access. If you already own a domain, ask whoever manages it to confirm you can add and change DNS records. Otherwise, register a domain before beginning.
  2. Check regional availability and plan limits. Confirm the free plan is offered in your location and that one domain, up to five users, 5 GB per user, and web-only access are suitable. Zoho Mail plans
  3. Add and verify your domain in Zoho Mail. Follow the current instructions in Zoho’s admin console. Zoho documents proving ownership by adding a CNAME or TXT record; the exact values and steps should come from the console for your account. Zoho Mail help: Custom email for your domain
  4. Create mailbox users. Add an individual account for each person who needs their own inbox. For a shared address such as [email protected] or [email protected], consider a group or distribution address that sends incoming mail to multiple recipients.   5. Update the domain’s MX records. In your domain’s DNS manager, enter the MX records Zoho provides so incoming mail is routed to Zoho. Use the values shown for your account rather than copying settings from an unrelated setup. Zoho Mail help: Configure email delivery

DNS controls differ by registrar, and the sources do not establish one universal propagation time. If verification or delivery does not work immediately, recheck the record names and values against Zoho’s console and the DNS manager, then allow for the DNS changes to take effect.

Compare options using your recurring domain-registration cost, number of users, mailbox storage, required mail apps, regional eligibility, DNS access, and collaboration needs. A free email-hosting tier does not remove the separate cost of registering and renewing a domain.

Before you switch an existing business address

If your domain already receives email elsewhere, changing its MX records changes where new incoming messages are routed. Confirm that the new mailboxes and any shared addresses are ready before making that change.
