In WPForms, open your form and go to Settings » Notifications. Enter the recipient email addresses, separated by commas, in Send To Email Address, then save and test the form. Each address receives a separate copy, so recipients do not see one another’s addresses.
Send the same form notification to several people
These instructions use WPForms on WordPress. Menu names and capabilities differ in other form plugins and site builders.
- Edit the form: Open the contact form in the WPForms builder.
- Open notifications: Select Settings » Notifications.
- Enter all recipients: In Send To Email Address, type each intended address, separated by commas. For example:
[email protected], [email protected], [email protected]. - Check every address: A typo or invalid address can prevent delivery to the intended destination.
- Save the form: Apply the notification settings.
- Submit a real test entry: Confirm that the message arrives at every destination, including spam or quarantine folders.
WPForms documents this comma-separated setup and the separate-copy behavior in its notification setup documentation and multiple-recipient guide.
Choose the right notification pattern
| Need | WPForms configuration | What recipients can see |
|---|---|---|
| Everyone should receive the same alert | One notification with comma-separated addresses in Send To Email Address | Each person receives a separate copy; other recipients’ addresses remain hidden. |
| The visitor needs a confirmation while the team receives an internal alert | Create separate notifications. Set the visitor notification’s destination to the form’s email-field Smart Tag. | Each audience can receive different content. |
| Sales, support, or other teams should receive messages based on a selected topic | Create a notification for each destination and apply conditional logic based on the relevant form answer. | Only the notification whose condition is met is routed to its configured destination. |
| Recipients should see one another and use Reply All | Use the CC field instead of treating the addresses as private separate recipients. | CC addresses are visible to recipients. |
WPForms explains how to create distinct notifications in its multiple-notifications documentation. Use separate notifications when the message, destination, or triggering condition differs; do not use CC when recipient privacy is required.
Send different messages to different recipients
Visitor acknowledgement plus internal alert
Create one notification for the internal team and another for the person who submitted the form. In the visitor notification, use the form’s email-field Smart Tag as the destination. The internal notification can go to one or more fixed team addresses and include operational details that the visitor does not need.
Department-based routing
Add a department or reason-for-contact field to the form, then create a notification for each team. Configure conditional logic so, for example, a selection of “Support” sends to the support destination while “Sales” sends to sales. Give each notification its own recipient and message where appropriate.

Separate copies versus CC
Comma-separated addresses in WPForms are the privacy-preserving default: each recipient gets a separate email copy and does not see the others’ addresses. CC is a different workflow. It deliberately exposes the copied addresses and supports a shared Reply-All conversation. Select CC only when that visibility is intended and acceptable.

Why a submitted form may not produce an email
Form handling and email delivery are separate layers. WordPress passes mail through its configured transport, which may be the host’s PHP mail path or an SMTP relay. A successful form entry does not by itself prove that every notification reached an inbox.

- Confirm the entry exists: Check the form’s stored submissions first. If no entry was recorded, investigate the form or site error before mail settings.
- Recheck addresses: Verify spelling, separators, and the destination configured in each notification.
- Check spam and quarantine: Look at every intended recipient’s filtering system.
- Review the sending setup: Ask the host or mail administrator whether the site has a working SMTP relay or other mail transport, a valid sender address, and the required domain authorization.
- Test every destination: Send a real submission and verify receipt at each address, rather than relying only on an on-screen success message.
WordPress’ wp_mail() reference cautions that “A true return value does not automatically mean that the user received the email successfully.” A true result indicates that the configured sending method processed the request without reporting an error; it is not proof of inbox delivery.
Using another WordPress form plugin
Most WordPress form plugins place this control under a notification, email, or mail settings panel. WordPress core accepts recipient addresses as a comma-separated string or an array, but the exact field names, conditional-routing tools, Smart Tag syntax, and CC behavior depend on the plugin. Follow that plugin’s official documentation rather than assuming the WPForms labels or features are identical.
