In the WordPress block editor, use Ctrl+V on Windows or Command+V on Mac to paste clipboard content into the selected text field or block. Use the block toolbar’s More options (⋮) → Copy when you need to copy an entire block, and use Copy styles and Paste styles when you want the appearance without the original content. If WordPress detects unrecognized markup from a source such as Microsoft Word or Google Docs, select the affected text and choose Clear unknown formatting when that control appears.
Which WordPress editor are these steps for?
These instructions apply to the WordPress block editor, the block-based editor that became WordPress’s default after WordPress 5.0 launched in December 2018. The Classic Editor is a separate plugin-based option and can present different controls and paste behavior, so do not assume that every step below exists there.
Understand the three different copy-and-paste actions

Keeping these operations separate prevents a common mistake: using ordinary paste when you meant to transfer only formatting, or copying a block when you wanted just its words.
Paste text normally
- Copy the text in the source application.
- In WordPress, click inside the destination text field or place the caret in the intended paragraph, heading, list, or other text block.
- Press Ctrl+V on Windows or Command+V on Mac.
- Review the result in the editor. Source applications and browsers can represent formatting differently, so check headings, links, lists, spacing, and emphasis rather than assuming a one-to-one conversion.
This is text insertion, not block duplication. If you need to reproduce a complete WordPress block, use the block-copy workflow instead.

Copy a complete block
Use this method when you want the block itself and its content—for example, duplicating a callout, button, image-and-text arrangement, or a paragraph with block-level settings.
- Click the block you want to copy so its block toolbar appears.
- Open the toolbar’s More options (⋮) menu.
- Select Copy.
- Click where the copied block should go in the current post or page, or open another post or page in the editor.
- Press Ctrl+V on Windows or Command+V on Mac.
The copied block can be pasted elsewhere in the same editor or into another post or page. If the menu does not offer the expected command, confirm that a block—not merely text inside a block—is selected.
Copy styles without copying content
Copy styles and Paste styles are for transferring appearance between blocks of the same type. They are different from copying a block: the destination keeps its own text or other content.
- Select the source block.
- Open More options (â‹®) in its block toolbar and choose Copy styles.
- Select a destination block of the same type.
- Open that block’s More options (⋮) menu and choose Paste styles.
- If the browser asks for clipboard access, follow its permission prompt. Browser handling is not identical everywhere.
For example, copy the styling of one paragraph block to another paragraph block without replacing the second paragraph’s wording. A paragraph’s styles should not be treated as universally transferable to a button, image, or other unrelated block type.

Remove unexpected formatting from pasted text
WordPress may show Clear unknown formatting when it detects formatting it does not recognize. Content copied from Microsoft Word or Google Docs is a documented example, but the control is conditional and may not appear for every paste.
- Select the text carrying the unwanted formatting.
- Look in the block’s rich-text toolbar for Clear unknown formatting.
- Choose it, then inspect the text again for headings, links, lists, emphasis, spacing, and color.
You do not have to clear unknown formatting before applying other rich-text edits. If the command is absent, WordPress has not exposed it for that selection; use the available formatting controls or undo the paste and insert the content again.

When pasted formatting is unreliable, select the block and use the settings sidebar to set the appearance you actually want. Typography controls vary by block and theme, but may include:
- Text color and background color
- Font family
- Font size and appearance (such as weight or style)
- Line height
- Letter spacing
- Indentation and other block-specific properties
Manual adjustment is often more predictable than trying to preserve every source-application detail. It also keeps the result consistent with the active WordPress theme and the selected block’s supported options.

Troubleshoot a paste that still looks wrong
The text has odd fonts, colors, or spacing
- Select the affected text and use Clear unknown formatting if WordPress offers it.
- Set typography and color from the selected block’s settings.
- Check whether the source used styles that the destination block does not support.
The whole block was not copied
- Make sure the block itself is selected, then use More options (⋮) → Copy.
- Paste with the standard keyboard shortcut at a valid insertion point.
Paste styles is missing or fails
- Confirm that you copied styles first and selected a block of the same type for the destination.
- Follow any browser clipboard-permission prompt.
- If the command is still unavailable, set the destination block’s typography and color manually.
The result differs between editors or sites
WordPress documentation does not guarantee identical conversion for every source application, browser, WordPress version, plugin, or third-party page builder. Verify the pasted result in the editor you are actually using, and preview the page before publishing.
