To save a Mac Pages document as a PDF, open it in Pages and choose File > Export To > PDF. Set the export options, choose a name and destination, then click Export. Pages creates a PDF copy; the original .pages document remains unchanged.
Export a Pages document as a PDF
- Open the document in Pages. Check that it is the Pages file you want to share or archive.
- Choose File > Export To > PDF from the menu bar. This is Pages’ built-in conversion method; you do not need a separate converter for this task. Don’t simply rename the .pages file to .pdf—the export command creates the PDF copy.
- Choose the PDF options. Set image quality and decide whether to include comments or smart annotations. If the document has large tables, open Advanced Options and consider enabling accessibility tags.
- Click Save. Enter a filename and select the destination from the Where menu so you know where Pages will put the exported file.
- Click Export. Pages adds the .pdf extension automatically. Find the new copy in the location you selected; exporting does not modify the original Pages document. Apple’s Pages export guide documents these steps and options.
Choose settings for the PDF you need
Balance image quality and file size
Higher image quality produces a larger PDF. If a file is too large to send, try a lower quality setting and inspect the exported PDF before sharing it. Check that photos, diagrams, and other image content are still clear enough for the reader’s purpose. For a document that will be printed or closely inspected, preserving image detail may matter more than minimizing size. Apple describes the trade-off directly: “the higher the image quality, the larger the file size.” The best setting depends on the document and how you plan to use it; the export options do not guarantee a particular file size.
Decide whether to include comments and smart annotations
Use the corresponding checkbox in the export options if comments or smart annotations should appear in the PDF. Leave them out when you want a clean copy for distribution. These are optional inclusions, so check the setting rather than assuming that review material will or will not be present. Apple distinguishes them from VoiceOver descriptions, which it says are exported automatically.
Consider accessibility tags for large tables
For a document with large tables, the PDF export’s Advanced Options includes a setting to turn on accessibility tags. Enable it when you want those tags included. Apple identifies this as an available setting; it should not be assumed to be on automatically.

Check password protection before sharing
If the original Pages document has a password, that password applies to exported PDF copies by default. The export flow lets you change or remove it. Before sending the PDF, check the password setting and make sure the intended recipients can open the file. For a sensitive document, also confirm that the protection choice matches your sharing needs.
Choose where Pages saves the PDF
The export dialog’s Where menu controls the destination. Select the folder or location before you complete the export, then use the filename you entered to identify the new PDF. If you cannot find it afterward, return to the destination you selected and look for that filename with the .pdf extension. Pages appends the extension for you.

The PDF is a separate exported document, not a replacement for the Pages file. Apple notes that changes made to the exported document do not affect the original. Keep the .pages file if you may want to continue editing the source document in Pages.

Apple’s Mac guide also documents an alternate route: choose Share > Export and Send, then choose a format to save a copy. The exact menu labels can vary with the installed versions of Pages and macOS, so if the File-menu route does not match what you see, check the Share menu or the guide for your version.

Apple’s Pages User Guide landing page currently covers Pages 15.3 for Mac and states that this version requires macOS 15.6 or later. Those version requirements are time-sensitive and may change. Troubleshoot common export problems
The PDF is too large to send
Return to File > Export To > PDF and select a lower image quality, then export another copy. Open the new PDF and inspect its images before using it; smaller size comes with a possible reduction in image detail.

Comments or annotations appear in the shared copy
Export again and review the comments and smart annotations checkbox. Clear it for a clean copy, or leave it selected if those review notes are meant to travel with the document.
A recipient cannot open the PDF
Check whether the original Pages document is password-protected. Its password carries over to exported PDFs by default, and the export flow allows you to change or remove it. Confirm the exported copy’s password setting and share the appropriate access information with the recipient.

You cannot find the exported file
In the export dialog, verify the Where destination before clicking Export. Pages saves the copy in the selected location and adds the .pdf extension automatically.
The menu labels do not match
Try the alternate Share > Export and Send route. Pages and macOS versions can differ in their menu labels. Check the installed Pages version at Pages > About Pages and consult Apple’s guide for the version you have.
