You can send WordPress form submissions to Google Sheets in three practical ways: install a native Sheets addon for your form plugin, route entries through an automation service such as Zapier, or build a custom integration with the Google Sheets API. The right choice depends on the plugin you use, its license tier, the permissions available to you, and how much control your workflow needs.

Choose the connection method that fits your form plugin

“Any WordPress form” is not a guarantee of a one-click connector. Support is plugin-specific. WPForms and Formidable Forms document native Google Sheets addons, while the reviewed Gravity Forms documentation describes a Zapier route. Other builders may require a different connector or custom development.

Before you start: verify access and licensing

  • Identify the exact form plugin and edition. Connector availability and setup screens differ between WPForms, Gravity Forms, Formidable Forms and other builders.
  • Confirm the required tier. WPForms documents Pro or higher for its native Sheets addon and for the documented Zapier setup. Formidable Forms documents Business or above for its Sheets addon. Plan names and requirements can change, so check the vendor’s current documentation before purchasing or configuring.
  • Use an administrator when the connector requires it. In the WPForms flow, selecting an existing spreadsheet is restricted to administrators. A non-administrator can create a new spreadsheet or ask an administrator to complete that step.
  • Prepare secure authentication. Native addons require connecting a Google account. Automation routes may require a WordPress REST API key and a user with specific capabilities. Never publish API keys or passwords in a post, ticket or shared document.
  • Make the site reachable. The documented WPForms and Gravity Forms Zapier routes require HTTPS and a current SSL certificate, with the site accessible to Zapier.

Method 1: use your plugin’s native Google Sheets addon

A native addon is usually the simplest route when your plugin supports it. It keeps the form-to-sheet mapping inside the form plugin and avoids an additional automation step.

WPForms native addon

  1. Install and activate the WPForms Google Sheets addon from the WordPress dashboard. The documented requirement is a WPForms Pro-or-higher license.
  2. Connect a Google account when prompted and approve the requested access.
  3. Open the form’s integration settings and add a Google Sheets connection.
  4. Choose an existing spreadsheet, or create a new one. Selecting an existing spreadsheet requires an administrator.
  5. Map each WPForms field to the intended Google Sheets column.
  6. Save the integration, then submit a representative test entry.

The documented WPForms flow supports one Google account connection at a time. Check the resulting row for every mapped field, including dates, choices, names and long-text values.

Formidable Forms addon

  1. Install and activate the Google Sheets addon for Formidable Forms. Formidable documents access for Business licenses and above.
  2. Authorize the Google account and select the form whose submissions should be sent.
  3. Choose the spreadsheet and, when applicable, the specific sheet tab.
  4. Map form fields to columns and save the configuration.
  5. Send a test submission before enabling the workflow for live traffic.

Formidable’s guide warns that exporting existing entries can create duplicates. Treat historical export and ongoing submission delivery as separate operations, and test with a copy of the sheet if you need to migrate old data.

Method 2: send submissions through Zapier

Zapier is useful when your plugin has a Zapier connector or when you want intermediary actions such as filters, notifications or formatting before a row reaches Google Sheets. The exact Zapier plan and feature availability depend on your accounts; do not assume the workflow is free.

WPForms with Zapier

  1. Confirm a WPForms Pro-or-higher license, the WPForms Zapier addon, a verified license and HTTPS with a current SSL certificate.
  2. In Zapier, create a workflow using a new WPForms entry as the trigger.
  3. Connect the WordPress site and authenticate the form plugin.
  4. Select the form, test the trigger, and choose Google Sheets as the destination action.
  5. Select the spreadsheet and worksheet, then map the trigger fields to columns.
  6. Run a test row and turn on the Zap only after checking the result.

Gravity Forms with Zapier

  1. Enable the Gravity Forms Zapier Add-On and make sure the site uses SSL and is reachable by Zapier.
  2. Create a WordPress REST API key for the connection. Gravity Forms says the selected WordPress user needs the gravityforms_edit_forms capability, and the key must have read/write access.
  3. Enter the site URL and API credentials in Zapier without exposing the key publicly.
  4. Choose the Gravity Forms form as the trigger, test a submission, and select Google Sheets as the action.
  5. Map fields, test the row, and activate the workflow.

Give the Zapier connection only the access it needs, store credentials in the service’s protected connection settings, and revoke unused keys.

Method 3: build a custom Google Sheets API integration

A custom integration is appropriate when no supported addon exists, you need a bespoke data model, or your development team must control authentication and processing. It is not a click-only WordPress setting.

What the implementation must do

  • Listen for the form plugin’s successful-submission event.
  • Authenticate to Google with an appropriate OAuth or service-account design and required Sheets or Drive scopes.
  • Store the spreadsheet ID and target range securely.
  • Translate form fields into a stable column order and data format.
  • Call Google’s spreadsheets.values.append method with the spreadsheet ID, range and valueInputOption.
  • Record failures, prevent accidental credential disclosure and provide a retry or support path.

The append operation uses the range to identify the logical table and places values after its last row. The valueInputOption controls how submitted values are interpreted, such as whether text is parsed as entered values. Your developer must still connect the API call to the plugin’s submission event and decide how errors, time zones and duplicate attempts are handled.

Test the integration before relying on it

  1. Submit a test entry containing ordinary text, a long response, a choice field, a date and any optional fields used by the form.
  2. Confirm that a new row appears in the intended spreadsheet and worksheet.
  3. Check column order, blank values, date formatting and special characters.
  4. Submit a second entry to verify that rows are appended rather than overwritten.
  5. If the connector supports edits or resubmissions, test those separately; do not assume an edited form entry updates the original row.
  6. Trigger a controlled failure, where the integration permits it, and inspect the connector’s documented error or retry behavior.
  7. Review access permissions and remove test data before opening the form to the public.

The available documentation describes sending submissions or appending rows, but it does not establish universal behavior for deduplication, retries, offline delivery or updates to previously written rows. Those behaviors must be verified for the connector and versions you operate.

Which option should you use?

  • Choose a native addon when your current plugin officially supports Google Sheets and its required tier fits your budget. It is generally the shortest setup path.
  • Choose Zapier when your plugin has a documented connector or your workflow needs filters and additional app actions between submission and storage.
  • Choose the API when you need custom validation, a nonstandard sheet structure, advanced error handling or support for a plugin without a suitable connector.

Make the decision using the plugin’s current documentation, not WordPress compatibility alone. Confirm the license, account permissions, administrator requirements and data-handling behavior before moving production submissions.

Can every WordPress form send entries to Google Sheets?

No. The method depends on the form plugin and its addon ecosystem. Use a native addon where available, a documented automation connector such as Zapier, or a custom API integration.

Do I need a paid WordPress form license?

The documented examples do. WPForms requires Pro or higher for its Sheets addon and Zapier setup, while Formidable Forms requires Business or above for its Sheets addon. Verify current requirements with the vendor.

Can a non-administrator connect an existing WPForms spreadsheet?
