To change which app opens a file type on a Chromebook, use the Files app: select a file, choose Open with, then Change default and pick a compatible app. The setting is for that file type, not a universal default-app switch in Settings. The available choices depend on the file, installed apps, ChromeOS version and any school or work policies.
Change a file type’s default app
- Open the Launcher and select Files.
- Find a file with the extension you want to change, such as
.pdfor.docx. Select it without opening it. - Right-click the file and choose Open with.
- Select Change default, then choose the compatible app you want to use.
- Open another file of the same type to check the association.
The change generally applies to the relevant file type or extension, so other files of that type opened through Files will use the selected handler. The exact menu wording can vary by file type and ChromeOS release. Google documents changing file handlers through Files rather than a general default-app page in Settings: Office files and PDFs.
Use the Files toolbar instead
If the right-click menu does not show the option, select the file and look for the Open button or its dropdown in the Files toolbar. Open the dropdown, choose Change default, and select an app. Some Google PDF instructions label the action Open file before Change default; labels differ across file types and ChromeOS versions.
Choose a PDF viewer
Google’s documented PDF route is Files → right-click a PDF → Open file → Change default. Choose View to make Chrome’s PDF Viewer the default. PDFs normally open in Gallery in this documented workflow; Gallery can view and edit PDFs, while Chrome’s PDF viewer does not support text annotations. Other PDF apps appear only if they are available and registered as compatible handlers on your Chromebook. Google’s PDF instructions describe the options.

Choose how Office files open
For Word, Excel and PowerPoint files, Files can offer available handlers such as Microsoft 365, Google Docs, Sheets or Slides, or a basic offline editor in some circumstances. The precise options depend on the file type, app setup, location and connectivity; an app is not guaranteed to appear just because it is installed.
Google’s documented Microsoft 365 workflow may require moving the file to OneDrive, while its Google Workspace workflow may require moving it to Google Drive. Google says Microsoft 365 files cannot be opened in Docs, Sheets or Slides while offline, though a limited basic editor may be available. Open one file with a different app

If the app you want is not listed
ChromeOS only offers compatible handlers that are available to your account and registered for the file type. An app may open a format through its own import feature without registering as a Files default. It may also lack access to the file’s storage location, be unavailable because Play Store or Linux support is disabled, or be restricted by an administrator.
- Confirm you selected the file in Files, rather than a document already open in a browser tab.
- Try the Files toolbar’s Open dropdown if the context menu is limited.
- Check that the app appears in the Launcher; open it once and complete sign-in or setup if needed.
- Try another file with the same extension. If the app still is not offered, open the app first and use its Open or Import workflow.
- If the file is in Drive or on removable storage, try copying or importing it to a location the app can access.
Files exposes local storage, Google Drive, Android app files and supported external storage, but an app may not handle every location in the same way. Google’s Files overview describes common file locations.

Fix a wrong or missing default
If the wrong app opens a file type, select a file of that type in Files and change its default to the desired compatible handler. If the option is missing, restart the Chromebook, install available ChromeOS and app updates, then check again with another file of the same type. Reinstalling an app does not necessarily reset an existing association. Google documents reinstalling selected built-in apps, but not a universal reset for every file association: reinstall selected Chromebook apps.
If the change is blocked on a school- or work-managed Chromebook, an administrator may control file or link behavior. Contact the administrator rather than trying to bypass the policy.

File defaults and link defaults are different
The Files procedure changes which app handles a file type. It does not set a default browser or determine which app opens website links. On supported managed ChromeOS devices, link preferences may be available under Settings → Apps → Manage your apps, subject to administrator policy. That setting is separate from file associations. See Google’s policy documentation.
Which app should you choose?
Consider whether the app can edit the file or only view it, whether it works offline, whether it requires moving the file to Drive or OneDrive, and whether it supports the features you need. Options vary: for example, a video player, image editor or text editor will appear only if it registers support for that type on your device. If no suitable handler is offered, importing the file from inside an app or using its web version may be the practical alternative.
