For most standard operating procedures (SOPs), use your operating system’s built-in screenshot tool: prepare the exact screen state, capture only the window or area readers need, add restrained annotations, remove sensitive information, and save the image with a predictable name. The shortcuts and available options differ by platform and version, so label each procedure with its platform.
This guide gives the current documented workflow for Windows, macOS, Chromebook, iPhone and Android, followed by a browser-automation option for teams that need repeatable website captures.
A screenshot workflow that produces usable SOP images
- Prepare the state. Navigate to the exact page, dialog, result or error that the reader must recognize. Close unrelated windows and notifications. Microsoft’s guidance is to “Set up your screen so you can clearly see what you want to capture.”
- Choose the smallest useful scope. Use a rectangle for one control or status, a window capture when surrounding context matters, and full screen only when the complete layout is necessary. A smaller, focused image is easier to scan and less likely to expose unrelated data.
- Capture with the platform tool. Use a timer or delay when a menu disappears as soon as you click elsewhere.
- Review before sharing. Crop empty surroundings, check every visible field for confidential data, and keep labels unobscured. Add only the arrows, boxes or highlights needed to identify the action.
- Save predictably. Use a project folder and ordered names such as
03-submit-expense.png. The number keeps images aligned with procedure steps; the verb describes the action. - Place and inspect. Insert the image next to the matching instruction, add a useful caption or alternative text in your publishing system, then reopen the final procedure at its displayed size to confirm that labels remain readable. The platform guides do not prescribe a universal pixel size or contrast threshold, so judge legibility in the actual document.
Windows 10 and 11: Snipping Tool
Press Windows+Shift+S to open the Snipping Tool overlay. Microsoft documents rectangle, window, full-screen and freeform modes. Choose the mode, drag or select the target, and use the notification to open the capture for editing.
Annotate, crop and save
Snipping Tool provides pen or highlighter markup, shapes, cropping, saving and sharing. Keep marks outside the text they identify; a thin box or one arrow is usually enough. Save to the procedure’s image folder and use the same filename convention for every step.

Full-screen and clipboard alternatives
Press Print Screen to copy a full-screen image to the clipboard, then paste it into an editor or document. This is useful when you need to capture immediately, but review the pasted image before publication because it may include unrelated windows or notifications.
Redacting text
Snipping Tool’s Text actions can recognize text and offer quick redaction for email addresses and phone numbers. Microsoft says all text-recognition processes are performed locally on your device. Treat this as assistance, not a complete privacy check: visually inspect the entire image for names, account numbers, tokens, customer data and other information that recognition may not identify. Platform features can vary by Windows version, so use the controls shown in your installed Snipping Tool.

Mac: Screenshot app in macOS Mojave 10.14 or later
Press Shift-Command-5 to open the Screenshot app. Choose the entire screen, a window or a selected portion. The control bar also includes a timer, a save-location setting and an option to show the pointer.

When timing or pointer context matters
Use the timer when you must open a menu or hover state before capture. Show the pointer only when its position helps explain the step; otherwise hide it so it does not cover a label. Window captures preserve application context without including the rest of the desktop.
Format and protected apps
Apple states that supported Mac models running macOS Tahoe 26 or later can select SDR (PNG) or HDR (HEIF). Choose the format your documentation system handles consistently. Some apps, including Apple TV, may prevent window screenshots; capture an allowed region or use an approved alternative when policy permits.

Chromebook: Screen Capture in Quick Settings
Open Quick Settings and select Screen Capture, or use the dedicated Screenshot key when your Chromebook keyboard has one. The tool offers full-screen, partial and window capture. Captures are copied to the clipboard, and screenshots and recordings are saved to Downloads by default; choose another folder if your project uses a shared documentation directory.

For an external keyboard without a Show windows key, Google documents Ctrl+Shift+F5. Check the on-screen controls after opening Screen Capture because keyboard layouts and ChromeOS versions differ.

iPhone: hardware buttons, Full Page and Markup
Models without a Home button
Press and release Side + Volume Up together. Tap the preview thumbnail to crop, draw in Markup or share. If you need the image in an SOP, save it to Photos after checking that the preview does not include private notifications.

Press and release Home + Side together. The same preview and Markup workflow applies.

Capture a complete webpage
For supported content such as a Safari webpage, open the preview and choose Full Page. Review the resulting long image for sections that readers do not need; crop or split it if one enormous page becomes difficult to follow.

Android: Power and Volume Down, with scrolling capture where supported
On many Android devices, press Power + Volume Down together, then release. Google notes that alternatives are device-dependent; if this combination fails, follow the phone maker’s instructions. Open the resulting image in Photos—or Gallery on some older devices—to crop, annotate and share.
Scrolling screenshots
Android 12 and later support scrolling screenshots on most screens that allow scrolling. Take the screenshot, then select the scrolling or capture-more control if it appears. The option may be absent in apps that block it or on devices with a customized interface. Check the complete result for duplicated headers and unnecessary sections before placing it in an SOP.

Choosing capture scope for a procedure

Annotation, privacy and accessibility checklist
- Use a consistent annotation color and line weight across one SOP.
- Do not draw over button labels, values or error text.
- Redact credentials, API keys, personal contact details, customer records and internal URLs before upload.
- Do not rely only on automated text recognition; inspect the whole image at normal viewing size.
- Write alternative text that states the action or visible result, not “screenshot.” For example: “Billing page with the Submit expense button highlighted.”
- Place the image immediately after the step it illustrates and give it a caption when the surrounding text does not identify the screen state.
- Recheck images after the procedure is exported to PDF or a knowledge base; responsive layouts can shrink text unexpectedly.
File naming, formats and repeatability
Use a stable pattern such as procedure-id_step-number_action.png, for example expense-03_submit.png. Keep source captures separate from edited copies when auditability matters. PNG is a practical choice for interface text because it preserves sharp edges; use the format your publishing system and retention policy support. Do not claim that one format is universally best—the platform guides document available formats, not a quality benchmark.

Record the platform and version in the SOP when a shortcut or control is version-specific. A short note such as “Windows 11, Snipping Tool” or “iOS version shown in the procedure” prevents readers from treating a platform-specific instruction as universal.

The shortcut does nothing
Confirm the platform and keyboard layout, then use the documented UI path instead of assuming a cross-platform shortcut. On Android, try the device maker’s method; on Chromebook, open Quick Settings and Screen Capture.

The capture includes private or irrelevant material
Recapture after closing unrelated windows and notifications, or crop before saving. Redact manually and inspect the complete image; automated redaction is not a substitute for review.
A menu disappears before capture
Use the Windows Snipping Tool or Mac Screenshot timer. On a website API, wait for a selector, delay or network idle before capture.
Text is too small in the published SOP
Capture a tighter region, use a window instead of full screen, or split a long procedure into multiple images. Check the exported document at the size readers actually see.
