The exact shortcut and storage location depend on your device: Windows uses Snipping Tool, macOS uses screenshot shortcuts, iPhone saves captures in Photos, Android controls vary by manufacturer, and Chromebook saves captures in Downloads by default.
Before you capture: choose the smallest useful area
A selected region or single-window screenshot is usually clearer and safer than sending your entire desktop. Decide what the recipient must see:
- Selected region: best for one error message, control, chart, or paragraph.
- Active window: useful when the application frame and title are relevant.
- Full screen: use when context across multiple windows matters.
Close unrelated tabs and notifications first. After capturing, look for passwords, private messages, account numbers, email addresses, API keys, customer data, or browser tabs that reveal more than intended. Crop, blur, cover, or mark out sensitive details before sending. Treat annotations as permanent: save a redacted copy rather than assuming the recipient cannot recover hidden text.
Windows 10 and Windows 11
Capture a region with Snipping Tool
- Press Windows+Shift+S. A capture overlay appears.
- Choose rectangular, freeform, window, or full-screen snip.
- Select the area or window. The image is copied to the Snipping Tool window.
- Open the Snipping Tool notification or window to crop, annotate, save, or share.
Snipping Tool also supports video snips. Microsoft describes the workflow this way: “When you capture a snip, it’s automatically copied to the Snipping Tool window where you make changes, save, and share.”

Capture the whole screen or active window directly
- Print Screen: copies the full screen to the clipboard.
- Alt+Print Screen: copies the active window to the clipboard.
Click the destination email, chat, support ticket, or document and press Ctrl+V. If the recipient needs a file, open Snipping Tool’s save command and attach the resulting image through the destination app’s paperclip or upload control. Snipping Tool settings and shortcut behavior can change with Windows updates, so the app’s current menu is the authority if a key does nothing.
macOS
Capture the entire display
Press Shift+Command+3. A thumbnail appears after capture; select it to edit or wait for the file to be saved.
Capture a selected area
Press Shift+Command+4, drag around the content, and release. For a single window or menu, press Shift+Command+4, then press Space, and click the window.
The default save location is the Desktop. Open the image to crop or mark it up, then drag it into a message or use the recipient app’s attachment control. You can also copy the image from an editing or preview workflow and paste it into an email or chat. If the thumbnail disappears, look in Finder on the Desktop and sort by the newest item.

iPhone
Take and edit the screenshot
- On a Face ID model, press the Side button and Volume Up together, then release quickly.
- On a Touch ID model with a Home button, press the Side or Top button and Home together.
- Tap the thumbnail that appears to crop, draw, add text, or redact information.
- Use the share control to send it directly, or save it for a later attachment.
Saved screenshots are in Photos > Collections > Media Types > Screenshots. Apple’s guidance is concise: “After you’ve taken a screenshot, edit, share or save it.” If you need the original untouched image, save a separate copy before applying markup.
Android phones and tablets
Android’s exact buttons and menus differ by version and manufacturer. Use the device’s standard screenshot button combination or the Screenshot control shown in the power or quick-settings interface. After capture, open the preview to crop, edit, or share. Google states that a captured image or video can be viewed, edited, and shared.
If the expected shortcut does not work, consult the phone maker’s support instructions for that model and Android release. This is particularly important for devices with customized navigation buttons, foldable screens, or gesture controls. Check the notification or Photos/Gallery app for the saved item, then use the share sheet or an attachment button in the destination app.
Chromebook
Choose full-screen, window, or partial capture
- Press the dedicated Screenshot key when your Chromebook has one, or press Shift+Ctrl+Show windows.
- Choose full-screen, partial, or window capture.
- Drag the partial-capture boundary or select the window.
- Review the result, then edit, delete, copy, share, or attach it.
ChromeOS copies screenshots to the clipboard and saves them in the Downloads folder by default unless you choose another folder. If a recipient needs a durable file, open the Files app, select the image in Downloads, and attach it from the message or upload dialog.

Send the screenshot
Paste from the clipboard
Clipboard delivery is fastest when the destination accepts images. Click in the email composer, chat box, document, or support form and press Ctrl+V on Windows or Chromebook, or use the platform’s paste command on macOS. Confirm that an image preview appears before sending; some forms accept only files and will ignore a clipboard image.
Attach a saved file
Choose the recipient app’s attachment, upload, or paperclip control, then select the screenshot from Desktop, Downloads, Photos, or Gallery. File attachment is preferable when the recipient must download the original, when the app strips pasted images, or when you need to retain a known filename and format.
Share from a phone
Use the iPhone share sheet or Android share control to select Mail, Messages, a collaboration app, or cloud storage. If the image must move from a phone to Windows, Microsoft Photos can import it from a connected, unlocked iPhone or Android phone: open Photos > Import and follow the prompts. Keep the phone unlocked during the import and verify the imported image before deleting the phone copy.
Review quality, privacy, and format before sending
- Readability: zoom in on small text and make sure the relevant control or error is visible.
- Context: include the page title, app name, timestamp, or error code when the recipient needs it to diagnose a problem.
- Privacy: remove credentials, private conversations, payment details, account numbers, and unrelated names.
- Markup: use arrows or boxes to identify the important area, but do not cover the evidence itself.
- File choice: use the saved image when the recipient needs an attachment or archive; paste when speed matters.
- Verification: open the sent message or ticket as the recipient would and confirm that the image rendered correctly.
Do not assume a screenshot is harmless because it is an image. A visible URL can expose a private token, and a notification can reveal confidential content. Redact first, then send only the edited copy.

Troubleshooting common capture and delivery problems
The shortcut does nothing
Confirm that you are using the shortcut for the current device and keyboard. On Windows, open Snipping Tool from the Start menu and use its New command. On Chromebook, use the on-screen Screenshot control if the keyboard lacks a dedicated key. On Android, use the manufacturer’s documented method because button combinations are not uniform.
The screenshot is blank or captures the wrong window
Repeat the capture after bringing the target window to the front. For a window capture, click the window itself rather than its taskbar icon. Some protected video or secure-app surfaces may intentionally prevent capture; use the application’s own export or sharing function instead of trying to bypass that protection.
The image is too large to send
Crop out unused desktop space and resize or compress a copy if the recipient imposes an attachment limit. Keep the original separately when exact pixels may matter for troubleshooting. A pasted image can also fail where a compressed file attachment succeeds.
The recipient sees a low-quality or missing image
Check the sent item for an actual image preview, not just a filename or broken placeholder. Reattach the saved file if pasting failed, and wait for upload completion before closing the app. If a collaboration service compresses images, send the original file through its document or file-upload channel.

You cannot find the saved screenshot
Check the platform’s default location: Desktop on macOS, Downloads on Chromebook, Photos under Screenshots on iPhone, and the configured Snipping Tool or Gallery location on Windows and Android. Sort by newest or use the app’s recent-items view. Storage folders can change after an operating-system update or a user-selected save location.
