How Bulk Create maps spreadsheet data to a Canva template
Think of the template as a schema. Each column is a field, and each row is one finished page or design. A column headed name can fill a name text box; a column headed photo can fill an image frame. Canva says Bulk Create can produce hundreds of variations for localized campaigns, personalized sales material, business cards and event invitations.

Before importing anything, design the template around the data you actually have. Use a separate text box for every text field rather than combining several fields in one box. Add a frame or grid wherever an image should be replaced. For multi-page templates, connect the appropriate fields on every page. Canva’s current documentation allows a maximum of 150 data fields, so simplify the template if your column count exceeds that limit.

Supported Canva plans and device
Canva states that Bulk Create is available in the desktop editor for Canva Pro, Canva Teams, Canva Business, Canva for Enterprise, Canva Education and Canva for Nonprofits accounts. The feature is desktop-based; the mobile editor is not the workflow described here.
Prepare a clean data source
- Use a first row of clear, unique headers such as
first_name,role,priceandportrait. - Keep one type of content per column. Do not put a person’s name and job title in the same cell if they will occupy different text boxes.
- Remove accidental blank rows, merged cells and formatting that hides values.
- Check punctuation, capitalization, currency symbols and line length before import; Bulk Create inserts the values but does not rewrite them.
When using Canva Sheets, Canva documents selections of up to 300 rows and 150 columns. CSV and XLSX imports use the fields present in the file; the 150-field template limit still applies.
Prepare images correctly
For image data, embed the image directly in the supported data cells. A URL pointing to a photo in cloud storage is treated as plain text rather than as an image asset. If a cell displays a web address instead of a picture during preview, download and embed the image in the cell, then import again.
Step-by-step: create a batch from a Canva template
1. Build the template
- Create the final page size and visual layout in Canva’s desktop editor.
- Add an independent text box for each value that will vary by row.
- Place a frame or grid for each replaceable image.
- For a multi-page design, repeat and connect the required fields on each page.
- Leave enough space for the longest realistic value. A short test name can hide overflow that appears with a real customer name.
2. Open Bulk Create
Click the page background, choose Edit, then select Bulk create. You can also open Apps and choose Bulk create. In Canva Sheets, select the range you want to use and launch Bulk Create from that selection.
3. Import or enter the data
Choose one of the available input routes:
- Upload a CSV or XLSX file.
- Select a range in Canva Sheets.
- Import from a supported data app.
- Enter values manually for a small test batch.
Confirm that Canva recognizes the header row and that image cells contain embedded images rather than cloud-photo URLs. If you are testing a complex design, start with two or three rows so errors are cheap to fix.
4. Connect fields to elements
Choose Auto-match fields when your headers and element names are clear. Otherwise choose manual connection and drag each data field onto the matching text box or image frame. Review every connection. An attractive template can still produce incorrect output if price is connected to the wrong text box or two similarly named fields are swapped.

5. Preview every important variation
Use the row preview to inspect text, images and page breaks before generation. Check at least the shortest and longest names, rows with missing optional values, unusual characters, transparent images and the first and last records. Videos appear as a frozen first frame in preview, and media replacement behavior can differ by data source. Treat preview as a review step, not an editing canvas; return to the connection step or source data to make corrections.
6. Generate and organize the results
In the advanced options, choose the output shape:

Select the destination folder in Projects and choose a naming column that is unique and readable. After generation, spot-check the first, middle and final outputs instead of assuming a successful job means every row looks correct.

- Every variable has its own text box or image frame.
- Headers are unambiguous and match the intended element.
- Image cells contain embedded assets, not unsupported cloud URLs.
- Long text does not overflow, overlap or become unreadable.
- Rows with blanks, accented characters and punctuation render correctly.
- Pages or files have useful names and are in the intended Projects folder.
- A sample preview has been reviewed before the full batch is generated.
- Any video or dynamic media has been checked in the generated result, not only the frozen preview frame.
Common problems and fixes
Bulk Create is missing
Confirm that you are using Canva’s desktop editor and an eligible plan: Pro, Teams, Business, Enterprise, Education or Nonprofits. Select the page background before opening Edit, or find the feature under Apps.
Auto-match connects the wrong field
Rename headers so each one describes a single value, then use manual drag-and-drop for ambiguous fields. Inspect every mapping before generating.
An image becomes a URL or plain text
The source cell likely contains a cloud-photo URL. Embed the image directly in the supported cell, re-import the data and preview that row again.
Text is clipped or changes the layout
Shorten the source value, enlarge the text area, reduce the font size or redesign for the longest expected value. Bulk Create populates the element; it does not guarantee that every string fits your original layout.

Preview looks wrong and cannot be edited there
Use preview to identify the affected row, then correct the spreadsheet, template element or field connection and repeat the preview. Canva describes preview as a review step rather than direct editing.
The output is difficult to find
Use the advanced naming option with a stable data column, choose the correct Projects folder and verify whether you generated one multi-page file or separate designs.
Performance, reliability and cost considerations
Bulk Create is most predictable when the template is simple, the fields are explicit and the source data is clean. Generate a small sample first, then process the full set. The documented Canva Sheets selection ceiling is 300 rows by 150 columns, while templates support up to 150 data fields. These are current product limits and may change, so check Canva’s help documentation before planning a large campaign.
Separate files are easier to distribute individually but create more items to name and manage. A multi-page file is easier to proof or send to print but can be cumbersome when each recipient needs an editable copy. Choose the output shape before generation because it affects downstream organization.
Bulk Create itself is a Canva account feature governed by the plan eligibility above. If you sell the resulting designs or templates, review Canva’s current licensing terms. Programmatic automation: Canva’s bulkCreate and publish APIs
For teams that must connect an internal catalog, CRM or campaign system directly to Canva, the Canva Developers Community announced general availability of the bulkCreate and publish APIs on February 6, 2026. That is a separate developer route from the desktop editor. Authentication, scopes, quotas and implementation details require Canva’s developer documentation; do not assume that a desktop Bulk Create workflow can be converted to an API call without those requirements.

Yes. A row supplies the values for a complete generated page or design, and a multi-page template can connect fields on each page before generation.
