How to Attract and Manage Guest Bloggers in WordPress

Attract better guest bloggers by publishing a clear contributor brief, screening pitches before commissioning drafts, and keeping publication control with an editor. Give writers only the WordPress permissions they need, review every submission, and remove or change access when the relationship ends.

1. Define the contribution you want

Create a public contributor page that answers a prospective writer’s practical questions before they contact you.

  • Subject and audience: List the topics you cover, who reads them, and the problems your articles should solve.
  • Pitch format: Request a proposed headline, the reader problem or argument, a short outline, relevant credentials, and links to published work.
  • Submission standards: Explain expected originality, evidence and sourcing, formatting, image permissions, link limits, disclosures, and your revision process.
  • Timing and compensation: State how long replies usually take, whether accepted work is paid or unpaid, when publication is scheduled, and what rights or republishing terms apply.

Accurate expectations reduce unsuitable pitches and make accepted contributors easier to manage. Treat these requirements as your editorial policy, not as WordPress settings.

2. Screen pitches before requesting a draft

Ask for a concise pitch rather than a complete article from an unknown writer. Evaluate each proposal against the same questions:

  1. Does the idea fit your subject areas and serve a defined reader need?
  2. Does the proposed argument add something original instead of repeating common coverage?
  3. Can the writer demonstrate relevant expertise or credible published work?
  4. Are the claims likely to be supportable with reliable sources?
  5. Is the scope realistic for the proposed format and your editing capacity?

Accept, decline, or request clarification promptly. When you commission a draft, send the writer a written brief so the assignment does not depend on assumptions made during the pitch.

3. Give accepted writers a complete brief

A useful brief turns an approved idea into an editable assignment. Include the intended reader and outcome, angle, approximate length, required sections, evidence standard, citation or linking rules, image and permission requirements, formatting conventions, disclosure language, author attribution, deadline, revision rounds, publication timing, and rights to republish.

Specify who makes the final decision and how feedback will be delivered. A writer should know whether a draft is accepted, conditionally accepted pending changes, or declined; silence after submission creates avoidable disputes.

4. Choose the least powerful access route

WordPress roles are sets of capabilities. The safest workflow is to keep drafting separate from publishing and to grant the minimum access that supports the assignment.

Contributor On self-hosted WordPress, can write and manage their own posts but cannot publish. WordPress.com documents Contributors as unable to publish or upload media. Draft access when an editor must review and publish. On WordPress.com, an editor may need to handle images.
Author On self-hosted WordPress, can publish and manage their own posts. Only for trusted, recurring writers whose work can go live under your actual site rules.
Editor Can publish and manage posts by other users. Keep with the editorial team responsible for review and publication.
Administrator Broad site administration. Not required for ordinary guest writing; do not grant it for a content contribution.

These defaults can change with plugins, custom roles, and site configuration. WordPress.org and WordPress.com also differ, so verify the actual capabilities on your installation before inviting anyone.

For occasional contributors: keep drafts outside WordPress

Collect pitches and manuscripts by your normal editorial channel, then have an editor create or assign the post. This avoids creating accounts for one-off assignments and keeps dashboard access off the table.

For recurring contributors: use a draft-only account

On self-hosted WordPress, Contributor is the relevant default role when a writer needs to create a dashboard draft but must not publish. On WordPress.com, confirm the documented media limitation and arrange image handling before the assignment begins.

How to create an account

On WordPress.org, an administrator can use Users > Add New to create a user manually, even when self-registration is disabled, then select the appropriate role. On WordPress.com, administrators can invite people, change their roles, or remove users.

5. Run an editorial review before publication

Keep final approval and publishing with an editor. Review the draft in a consistent order:

  1. Accuracy and support: Check factual claims, dates, technical details, quotations, and cited sources.
  2. Originality and usefulness: Look for copied material, thin rewrites, undisclosed conflicts, and a clear benefit to the intended reader.
  3. Links: Test destinations, remove manipulative or irrelevant links, and apply your disclosure policy.
  4. Images: Confirm the writer has permission to use every image and that credits or licenses are recorded.
  5. Structure and style: Edit headings, formatting, accessibility, terminology, and consistency with your publication.
  6. Attribution: Verify the byline, biography, disclosures, and any organization or product claims.

Return one consolidated revision request where possible. Publish only after the editor confirms that required changes are complete.

6. Manage access when the relationship changes

When a contributor stops writing, promptly change the account role or remove the user according to your platform’s controls. Before doing so, decide how existing posts, bylines, biographies, drafts, and scheduled content should be handled. Preserve the intended attribution rather than silently transferring authorship, and document any reassignment.

Review permissions periodically for every non-staff account. A role that was appropriate for a draft assignment may be excessive after the assignment ends, especially on a site with plugins or custom capabilities.

7. A practical operating checklist

  • Contributor page published with audience, topics, pitch format, standards, timing, compensation, and rights terms.
  • Pitch approved before a full draft is commissioned.
  • Written brief supplied with scope, evidence, links, images, revisions, attribution, and deadline.
  • Access route selected: external submission for occasional writers or the least powerful suitable role for recurring writers.
  • Editor assigned to check facts, originality, links, image rights, disclosures, formatting, and attribution.
  • Final approval retained by an editor rather than the guest writer.
  • Account permissions reviewed, changed, or removed when the relationship ends.
