To add a label or note over a screenshot in Word, insert the picture, choose Insert > Text Box > Draw Text Box, draw the box on the image, and type. For a transparent overlay, select the box border and set Shape Fill > No Fill and Shape Outline > No Outline. Use WordArt instead for a short, decorative label.
Insert a screenshot into Word
You can capture a screen directly in desktop Word or insert an image you already saved. If you are preparing instructions or a report, place the image near the relevant text first; adding the annotation after the picture is in the document makes it easier to position the label against the correct screen detail.
Capture an open window or a selected region
- Click in the document where you want the screenshot.
- Choose Insert > Screenshot in the Illustrations group.
- Select an open window to insert it, or choose Screen Clipping and drag across the region to capture.
The selected window or clipped region is inserted into the document. If you need to refine the framing afterward, select the picture and use the picture-formatting tools to crop it.
Insert an image file
- Click where the screenshot should appear.
- Choose Insert > Pictures, then select the screenshot file.
- Select Insert to place it in the document.
Add an editable text box over the screenshot
- Choose Insert > Text Box > Draw Text Box.
- Drag across the area of the screenshot where the text should appear. You can resize the box later.
- Type the annotation, such as “Select Settings” or “Step 2.”
- Click the box border to select the text-box object and open its formatting controls.
- On Shape Format, choose Shape Fill > No Fill and Shape Outline > No Outline.
The box remains an editable Word object: you can revise the words, change their appearance, or move the overlay without editing the original screenshot file. Microsoft describes text boxes and WordArt as options for placing text on top of a photo. The same approach works for a screenshot inserted as a picture.

Make the annotation readable
Select the text inside the box to adjust its font, size, color, alignment, or emphasis. Choose a color with enough contrast against the part of the screenshot behind the words. If the image is busy, use a short label and position it over a less detailed area, or keep a visible fill behind the text rather than making the box transparent. A transparent box removes its background, but it does not improve contrast for you.
To move the overlay, select its border and drag it. Avoid dragging the text itself while trying to move the object; the border is the more reliable target. Resize the box with its sizing handles if the text wraps awkwardly or the box covers more of the image than intended.
Position the text box when Word treats the image as text
A picture set to In Line with Text behaves like a large character in a paragraph. This can make free placement of an overlay awkward: moving the picture can shift surrounding text, and the text box may not sit where you expect.

- Select the picture.
- Open the picture layout or wrapping control and choose a wrapping option other than In Line with Text.
- Move the picture to the desired location, then select and drag the text-box border over it.
Exact control names and their placement can differ among Word for Windows, Mac, and the web. If the picture or box moves unexpectedly, check the selected object’s wrapping and positioning controls before adjusting the paragraph around it.
Keep the image and annotation together
Once the label is positioned, group the picture and text box so they can be moved as a pair. In Word for Windows, hold Ctrl while selecting the image and the text box, then choose Shape Format > Group Objects > Group. Depending on the Word version and platform, the group command may appear in a different location or may require selecting both objects first.
Grouping is useful when you need to reposition or resize the annotated screenshot within the document. It does not merge the label into the image: the text remains an editable object in Word. If you later need a single flattened image, export or save the finished result in an appropriate image format rather than expecting grouping to permanently bake the text into the screenshot.

Use WordArt for a short, stylized label
WordArt is suited to a brief label that should have a decorative treatment, such as a callout heading. Choose Insert > WordArt, select a style, type the label, and drag the WordArt over the screenshot. You can rotate it if needed, then group it with the picture using the same multi-select and Group workflow.

Both options remain editable Word objects until you export or otherwise flatten the result. For most screenshot annotations, use a text box; choose WordArt when the visual style is more important than fitting a longer instruction.
Resize and align precisely
For a quick adjustment, drag the picture’s or overlay’s sizing handles. For exact dimensions, select the object and enter values in the Height and Width controls on the relevant Format tab. Keep Lock aspect ratio enabled when resizing the screenshot if you want to preserve its proportions; changing only one dimension without preserving the ratio can distort the image.

WordArt has an important distinction: resizing its object changes the container, not necessarily the size of the letters. To make the lettering larger or smaller, select the WordArt text and change its font size.
Troubleshooting text-over-screenshot problems
- The text box has a white rectangle. Select its border and choose Shape Format > Shape Fill > No Fill. A filled box may still be preferable when the screenshot background makes the text hard to read.
- A border appears around the label. Select the box border and choose Shape Outline > No Outline.
- The box will not sit over the image. Select the picture and change its wrapping from In Line with Text to a positioning option that allows it to move independently. Then drag the text-box border into place.
- The label and screenshot separate when moved. Select both objects and use Group. If you cannot select both, first ensure the objects can be independently positioned, then try selecting them again.
- WordArt letters are still the wrong size after resizing. Select the text and change its font size; resizing the WordArt container alone may not resize the letters.
- The screenshot includes too much of the screen. Use Screen Clipping when capturing, or select the inserted picture and crop it with the picture tools.
- The screenshot shifts nearby paragraphs. Check whether it is still set to In Line with Text. Choose another wrapping option when you need independent positioning.

Microsoft’s support coverage for text boxes lists Word for Microsoft 365, Word 2024, Word 2021, Word 2019, and Word 2016, with Windows, Mac, and web sections. The exact ribbon commands and how objects are selected can vary by platform.
