The most reliable approach is to use ordinary text for fixed labels and Word fields for information that should update automatically. Open the header or footer, add text, images, tables, or page numbers, then use Document Info, Document Property, or desktop Word’s Quick Parts > Field commands for titles, authors, file names, dates, section names, and page counts.
What you can add to a Word header or footer
A header or footer is useful for information that should remain visible while someone reads, prints, or exports a document. Common header content includes:
- Document, report, or book title
- Chapter or section title
- Company or organization name
- Report number or document ID
- Logo or brand mark
- Running heads for academic or professional documents
- Confidentiality or classification labels
Common footer content includes:
- Current page number
- Page X of Y
- File name or file path
- Author, department, or contact information
- Revision or approval information
- Copyright notice
- Effective date or controlled-copy notice
Keep the area readable. A header or footer should identify and guide the reader, not repeat large amounts of body text.

Static text versus dynamic Word fields
There are two fundamentally different ways to add information:

For example, a manually typed “Project Phoenix” remains unchanged. A FileName field can change when the document is saved under a different name. That automation is useful, but it means you should refresh and verify fields before delivering the document.
Add a basic header or footer
Word for Windows or Mac
- Select Insert > Header or Insert > Footer.
- Choose a built-in design, or select Edit Header or Edit Footer.
- Type your text and format it from the Home tab.
- Select Close Header and Footer, or press Esc.
You can also double-click the top or bottom margin to open an existing header or footer. Microsoft’s labels can vary slightly between Windows, Mac, Microsoft 365, and other Word editions. See Microsoft’s header and footer guide and editing instructions.
Word for the web
In Word for the web, use Insert > Header & Footer, then select the area you want to edit. The browser version is generally suitable for ordinary header and footer text and page numbers. For advanced document-property fields, section-heavy layouts, and detailed field-code work, open the document in desktop Word.

To insert the current page number:
- Open the header or footer.
- Select Page Number.
- Choose a location and style.
- If a header or footer already exists, use Page Number > Current Position to place the number within it.
- Close the header or footer.
To show both the current page and the total page count, choose a built-in Page X of Y design when available, or insert the page-number and page-count fields separately. The important distinction is:
- Page displays the current page.
- NumPages displays the document’s total page count.
The total can change as the document is edited. Refresh the fields and inspect the final print preview or PDF; page numbering can also be affected by section-specific numbering.

Add the title, author, file name, date, or other document information
Word can insert information from the document’s properties instead of making you type it repeatedly.

- Select Document Info.
- Choose an available item such as Author, File Name, File Path, or Date.
- For additional metadata, select Document Property, then choose items such as Title, Company, or Subject.
Complete the underlying metadata first where possible. In desktop Word, check File > Info and review the document properties. A copied template can retain the original author, title, company, or subject, so do not assume the displayed value is correct.

Choose the right date
Do not treat every date field as a revision date. Depending on the field, a date may represent the current date, the file’s creation date, or the last-saved date. A last-saved date can change whenever the document is edited. If a date represents a formal approval, publication, or controlled revision, typed text or a dedicated document-control process may be safer than a constantly changing date field.
A useful layout might read:
Project Phoenix — Draft 2 — Updated August 18, 2026
Use fields for values that should remain synchronized. Use static text for an intentional label that should change only after someone approves it.
Use Quick Parts and Field codes for advanced information
If the required item is not available through Document Info or Document Property, desktop Word provides a broader field list:
- Select Insert > Header or Insert > Footer.
- Choose Edit Header or Edit Footer.
- Select Quick Parts > Field.
- Choose the field you need, such as
FileName,FilePath,Date,Author,Title,Subject,NumPages,Page, orSection. - Select any available format or field option, then select OK.
This is primarily a desktop-Word workflow. Word for the web does not provide the same method for adding file names and other document properties to headers and footers. Microsoft directs users to open the file in Word when those advanced properties are required.
Microsoft also notes that inserting a field after selecting a gallery header can change or replace some existing formatting. If the design matters, save a copy first and check the result immediately.

Fields do not always refresh at the moment you expect. In desktop Word, right-click a field and select Update Field. To update fields throughout the document, select the document with Ctrl+A, then press F9. Depending on the keyboard and Word version, Mac shortcuts may differ.
Fields can also update when a document opens or prints, but do not rely on that behavior for a final submission. Refresh them manually, save the file, and inspect the result in Print Preview or an exported PDF.
Build a professional header or footer layout
Use tabs for a simple three-part layout
Tab stops work well for a compact layout such as:
- Left: company name
- Center: document title
- Right: page number
Set intentional tab stops rather than pressing the spacebar repeatedly. Spaces can shift when the font, margins, or printer changes.

Use a borderless table for stable alignment
A borderless three-column table is often more predictable for logos, multiple lines, or longer content:

Insert the table inside the header or footer, place each item in its cell, and remove the borders. Tables generally hold left, center, and right content in place better than repeated spaces. Avoid unnecessary nested objects, which make later editing more difficult.
Add a logo or image
- Open the header or footer.
- Select Insert > Pictures.
- Choose the image source.
- Resize it and use the layout or wrapping controls to position it.
Keep the logo within the printable area and test it in grayscale if the document may be printed. Do not enlarge a small raster image excessively. Important information should not exist only inside an image because image-only text is harder to edit and less accessible.

Make the title page different
For a cover page without a running header or page number:
- Double-click the first-page header or footer.
- Select Different First Page.
- Edit the first-page header or footer separately.
- Edit the regular header or footer for the following pages if needed.
This option creates a separate first-page variant; it does not simply delete the ordinary header everywhere. It is useful for a cover page, a different title-page logo, or a formal title page whose page number is omitted.
Use Microsoft’s instructions for changing or deleting a header or footer on a single page.
Use different odd and even headers or footers
Book-style documents often place the author or book title on one side and the chapter title on the other:
- Double-click a header or footer.
- Select Different Odd & Even Pages.
- Edit the odd-page version.
- Move to an even page and edit its version.
- Use Page Number > Current Position if numbers are required.
Check the result in Print Preview, especially when the document uses unusual section starts or front matter. Microsoft documents this feature in its guide to different odd and even headers and footers.

Use different headers and footers in different sections
A page break changes pagination, but it does not create an independently formatted header or footer. Use a section break when a new part of the document needs different content.
- Place the cursor where the new section should begin.
- Select Layout > Breaks > Next Page.
- Open the new section’s header or footer.
- Select Link to Previous to turn the link off.
- Edit the header or footer for the new section.
- Repeat for later sections when necessary.
Headers and footers are linked separately. If the page number is in the footer, unlink the footer. If it is in the header, unlink the header.
Turning off Link to Previous affects only the current header or footer type. It does not automatically unlink:
- The footer when the header is unlinked
- The header when the footer is unlinked
- The first-page header or footer
- The odd-page header or footer
- The even-page header or footer
These variants are treated as separate header and footer types. Check each one that must differ. Microsoft’s explanations are available for different sections and Link to Previous.
Add chapter or section titles automatically with StyleRef
For a manual, book, thesis, or long report, a running chapter title can be generated from a heading rather than edited on every page. The advanced concept is the StyleRef field:
- Apply a consistent heading style to chapter or section titles.
- Open the header where the running title should appear.
- Insert a
StyleReffield configured to use the relevant heading style. - Test the result across chapters, section breaks, and page changes.
This is an advanced desktop-Word technique. Test it with multiple heading levels, chapters that begin on new pages, section breaks, and headings that are edited after the field is inserted. The exact field-dialog options can vary by Word version, so verify the result in the specific desktop edition being used.
Change a header or footer on only one page
For the first page, use Different First Page. For another individual page:
- Place the cursor at the start of that page.
- Select Layout > Breaks > Next Page to create a new section.
- Open the header or footer in that section.
- Turn off Link to Previous.
- Edit or remove the content.
A page break alone normally will not give that page an independent header or footer. Keep in mind that creating many one-page sections increases the chance of accidental inheritance and numbering problems.

Recommended setups by document type

Common problems and fixes
“The header changed everywhere”
The sections are probably still linked. Insert a real section break, open the header or footer in the new section, turn off Link to Previous, and check the first-page and odd/even variants separately.

“I inserted a page break, but the header still carries over”
Replace the page break with Layout > Breaks > Next Page when the header or footer must change. A page break controls pagination; a section break controls independent formatting.
“The page number appears only on the first page”
Check whether Different First Page is enabled. The number may have been inserted into the first-page footer instead of the regular footer.
“The numbering format changed in the wrong section”
Unlink the relevant header or footer before changing the numbering format. Header and footer links are separate, and a different section may still inherit the numbering setup.
“The file name or author is wrong”
Check File > Info and correct the document properties. Then update the field. Templates and copied documents can retain the previous author, title, or subject.
“The field appears as code”
Desktop Word may be displaying field codes instead of results. Try Alt+F9 to toggle field-code display, or right-click the field and choose an update option. This is a troubleshooting step, not a universal fix for every field-display issue.
“The field does not update”
- Right-click it and select Update Field.
- Select all content with Ctrl+A, then press F9 in desktop Word.
- Save, close, and reopen the document.
- Check whether the field is locked.
- Refresh it before printing or exporting.
“The header is too close to the edge”
Adjust the header or footer distance in the page layout settings and check the printer’s non-printable area. Screen placement is not a guarantee that the printed page will show the entire header.
“The footer overlaps the document text”
Reduce the footer’s content, increase the bottom margin, or adjust the footer-from-edge setting. Tables, images, and multiple lines can increase the footer’s height.

Use a suitable source image, avoid enlarging a small raster file, and inspect both the exported PDF and a printed sample.
“Odd and even pages are reversed”
Check the document’s page numbering, section starts, and print preview. Test with visible page numbers before finalizing a book-style layout.
Desktop Word versus Word for the web
Word for the web is adequate for basic headers, footers, text, and page numbers. Desktop Word is the safer choice when you need:
- Quick Parts and detailed field codes
- File-name and document-property fields
- StyleRef-based running headings
- Complex section breaks
- Different numbering systems for front matter and body text
- Detailed print and template control
Do not assume that every desktop field or menu is available in the browser version. Open the file in desktop Word when the document depends on advanced fields or complex section formatting.

- Inspect every section for unwanted inherited content.

- Preview or export the document to PDF.

- Reopen the exported file and inspect several pages, not only the first one.
