There are two ways to put information from Gmail on your calendar. For supported flight, hotel, restaurant, transport, ticket and registration confirmations, enable Show events from Gmail. For any ordinary email, open the message in Gmail and choose More → Create event. Automatic Gmail events can update when a reservation changes; a manually created event is a separate calendar item that you must review and maintain.
Choose the right method
| Your situation | Use this |
|---|---|
| A flight, train, bus, hotel, restaurant, ticket, registration, movie, show or medical confirmation | Enable Show events from Gmail |
| A normal meeting, appointment or conversation containing a date | Gmail’s More → Create event |
| A formal Google Calendar invitation | Calendar’s invitation settings |
An email attachment ending in .ics |
Open or import the calendar file in Google Calendar |
Gmail does not turn every email that contains a date into an event. Google’s automatic detection is designed mainly for recognizable reservations, tickets and confirmations.
Automatically add supported Gmail events
Turn it on from a computer
- Open Google Calendar.
- Click the gear icon, then Settings.
- Under General, open Google Workspace smart features.
- Select Manage Workspace smart feature settings and turn on Smart features in Google Workspace.
- Return to Calendar settings and, under General → Google Workspace smart features, check Show events from Gmail.
- Return to your calendar and search by date, title, location or confirmation number.
Google says recognized events can include travel and reservation details such as location, confirmation number and a link to the source email. If the booking changes, a Gmail-derived reservation may update as well. See Google’s current requirements and categories at Google Calendar Help.

Regional and account defaults
Google says Gmail events are off by default in the European Economic Area, Japan, Switzerland and the United Kingdom. In many other regions they may be enabled by default, but account settings still control the result. The feature generally requires Gmail and Google Calendar and may be unavailable for government accounts, accounts with data-location restrictions, or Google Accounts that do not have Gmail. Google’s Workspace guidance is at Google Workspace Admin Help.

- From everyone
- Only if the sender is known
- When I respond to the invitation in email
Google considers a sender known when the person is in your contacts or organization, or when you have interacted previously. These controls affect invitations; they do not replace Gmail event detection or the Create event command. Details are in Google Calendar’s invitation settings.
If an event is missing
Check the following in order:
- Verify that the message is in the Gmail account whose Calendar you are viewing.
- Confirm that Smart features in Google Workspace is enabled in Gmail or Workspace settings.
- Confirm that Calendar’s Show events from Gmail switch is enabled.
- Make sure the message is a recognizable reservation or confirmation, not merely an email that mentions a date.
- Check whether you were the direct recipient. Google lists mailing-list messages, messages where you were only CC’d and messages redirected from another account as cases that may not produce events.
- Check account restrictions, including government-account or data-location limitations, and regional defaults.
- Search Calendar by the expected date, event name, location or confirmation number.
- If it still does not appear, use Gmail’s More → Create event command.
Remove events and protect their details
Delete one event
Open the event in Calendar and select Delete event.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Hide all Gmail-derived events
- Open Calendar Settings.
- Go to Google Workspace smart features.
- Uncheck Show events from Gmail and confirm if prompted.
Turning off the broader Smart features in Google Workspace setting also prevents Gmail from adding these events, but it may disable other personalization features. Change the narrower Calendar switch when that is all you need.
Review visibility
Google says Gmail-created events are private to the account owner by default, even when the calendar is shared. You can change an event’s visibility, but doing so can expose flight details, hotel information, confirmation numbers, phone numbers or medical appointments. Calendar sharing settings may reveal event names and times, and people with editing access can see more details. Anyone who can access your Google Account on a device may also be able to find its Calendar events. Keep Gmail-generated reservations private unless sharing is intentional. See Google’s visibility guidance and the Gmail-event documentation.
Quick Recap
Which option should you use?
| Choose | Best when | Main trade-off |
|---|---|---|
| Automatic Gmail events | You receive supported reservations and want changes reflected with little maintenance. | Google must recognize the confirmation, and Gmail event scanning is enabled. |
| Create event | You need exact control over title, timing, duration, location or invitees, or the message is not a supported reservation. | You must verify details and maintain the event yourself. |
| Invitation settings | The email contains a formal Calendar invitation or unwanted invitations need filtering. | These settings do not parse ordinary emails or reservations. |
.ics file |
The sender supplies structured calendar data as an attachment. | You must open or import the file using Calendar’s calendar-file workflow. |
