In Apple’s current iOS 26 guide, the basic controls are simple: tap + in Calendar to add an event, tap an existing event and choose Edit to change it, or open it and tap Delete Event to remove it. The details that matter most are which calendar holds the event, whether it repeats, and whether other people are invited. Older iOS versions may use slightly different labels.
Add an event
- Open Calendar. If needed, switch to Day view, then tap +.
- Enter a title. Set the start and end dates and times, or turn on All-Day for an event without a specific time.
- Choose the Calendar where the event should be stored. This may be iCloud, Google, Exchange, or a shared calendar.
- Add any other details, then tap Done.
Apple’s iPhone Calendar guide says to tap Location or Video Call to add a place or a FaceTime link. Swipe up in the event form if you do not see all the fields. Depending on the account and event, you can also add notes, invitees, an alert, a repeat schedule, travel time, and attachments.

All-day, multi-day, and timed events
Use All-Day for a birthday, deadline, or holiday that should appear across the day rather than at a particular hour. For an all-day trip or other multi-day event, set the start and end dates. For an appointment with a fixed time, leave All-Day off and enter its start and end times. Apple’s iCloud event guide covers all-day and multi-day events; controls can look different in the iPhone app.

Enter a usable street address in Location for an in-person appointment. Calendar can use Apple Maps to look up the place and provide travel information, including traffic or transit options where available. Travel suggestions depend on the address and available map information. Choose Video Call or FaceTime when that option is offered for a remote meeting; availability can vary with the event and account.

Alerts and repeat schedules
To set a reminder while creating an event, open Alert and choose a time, such as At time of event or 5 minutes before. Choices vary by event and account. To change it later, open the event, tap Edit, tap Alert, select a time, then tap Done.
For an event that repeats, set a repeat schedule in its details. Take care when editing or deleting it later: Calendar may ask whether to apply the change to one occurrence, future occurrences, or more of the series. The choices can vary by account, so read the prompt before confirming.
Invitees and attachments
Add invitees in the event details if the calendar account offers that control. You may be able to add or change invitees later by editing the event. When an event is shared, changes can send updated notices to participants; the behavior depends on the calendar service and your role as organizer.

To attach a file, open the event, tap Edit, then Add attachment and choose a file from an available location. To remove one, edit the event, swipe left on the attachment, and tap Remove. Apple notes that attachments may be shared with invitees, so avoid including confidential files unless you intend participants to receive them. Modify an event
Tap the event, tap Edit, change the fields you need, and tap Done. You can update its title, date, time, location, alert, notes, invitees, repeat settings, attachments, or calendar when those controls are available.
For a quick time change, use Day or Week view: touch and hold the event, then drag it to the new time. Adjust the grab points to change its duration. If the event repeats, check whether Calendar asks which occurrence or occurrences should change before you save.

Move an event to another calendar
Open the event, tap Edit, tap its Calendar field, select the destination, then tap Done. This changes where the event is stored and which service synchronizes it. To choose where new events go by default, open Settings > Apps > Calendar > Default Calendar. The path is for current iOS; older versions may organize Settings differently. Apple documents these options in Calendar settings.

To make a similar event on another date without setting up a repeating series, touch and hold the event and tap Copy. Then touch and hold the target date or time, select the copied event shown below the title, and tap Done.
Edit a recurring event without changing the wrong date
Open the specific occurrence you want to change and tap Edit. If Calendar presents a choice, select the scope that matches your intent: only that occurrence, this and future occurrences, or the entire series. Do not assume the wording or available choices are identical for iCloud, Google, Exchange, and other accounts.

Before saving, check that the prompt describes the right scope. The same precaution applies when changing the time, location, or other details: a series-wide edit can alter dates you meant to leave alone. Apple’s iCloud deletion guidance distinguishes a selected occurrence from future ones; exact behavior in Calendar may depend on the account.
Delete an event
In Day view, tap the event and tap Delete Event at the bottom. If it repeats, read the confirmation prompt and choose only the selected occurrence if you want the rest of the series to remain. Choose a future-occurrence or series option only if that is what you intend.

Deleting an event you organized is not the same as removing an invitation you received. An attendee generally responds to or declines the organizer’s invitation; removing it from their calendar does not necessarily cancel it for everyone. Likewise, deleting or changing an event on a shared calendar can affect other people. Invitees or shared-calendar participants may receive a cancellation or update notice, depending on ownership and account type. Apple describes these distinctions for iCloud in its event deletion guide.

If you cannot edit an event
- Check who owns it. If someone else invited you, you may not have permission to change the organizer’s event.
- Check the calendar. A subscribed or read-only calendar may allow viewing but not editing. Shared-calendar permissions can also limit what you can do.
- Check the account. Go to Settings > Apps > Calendar > Calendar Accounts and confirm the relevant account is present and Calendar is enabled for it.
- Try the originating service. If the event came from Google Calendar, Outlook/Exchange, or another provider, open that service to check its permissions and event details.
The iPhone Calendar app can display events from iCloud, Google, Microsoft Exchange, Yahoo, and CalDAV accounts, but supported fields, invitation controls, recurrence handling, and synchronization may differ. Apple’s current path for adding an account is Settings > Apps > Calendar > Calendar Accounts > Add Account.
If an event is missing or is not syncing
- Make sure the calendar is visible in the Calendar app, and check that you are looking at the correct date and account.
- In Settings > Apps > Calendar > Calendar Accounts, check that the relevant account is set up and Calendar is enabled.
- For iCloud, check Settings > [your name] > iCloud > See All next to Saved to iCloud, then confirm iCloud Calendar is on and Use on this iPhone is enabled. See Apple’s guidance on tracking and syncing events.
- If the account does not support Push, updates may arrive according to a Fetch schedule. Calendar settings include fetch options; allow for the selected interval before concluding that a change failed to sync.
- If the event was deleted from an iCloud calendar, Apple provides a way to restore archived calendar versions through iCloud.com in some cases. This is an iCloud-specific recovery option, not a universal Recently Deleted folder, and restoring a version can affect calendar data. Consult Apple’s iCloud event guidance before restoring. Other providers may have different recovery options.
When an alert does not appear
First check the event itself: open it, tap Edit, and confirm that Alert is set. Then check system permission at Settings > Notifications > Calendar > Allow Notifications. A default alert time for new events is separate from an individual event’s alert; current iOS places defaults at Settings > Apps > Calendar > Default Alert Times.
Time zones and travel
For flights, remote meetings, and travel, verify the event’s time zone rather than assuming the displayed clock time represents the same moment everywhere. Daylight-saving changes can also affect schedules. Apple’s iCloud Calendar documentation describes event time zones and a Floating option, which keeps an event at the same clock time if the calendar’s time zone changes. The option and its behavior may depend on the calendar service; check the event and originating account for important appointments. See Apple’s calendar event guide.
