To add a LinkedIn button to an Outlook signature, insert a LinkedIn icon or descriptive text, then hyperlink it to the LinkedIn profile or Page you want recipients to visit. It is not a special Outlook control: it is an image or text link. For the clearest, most reliable result, use a small icon alongside linked text such as “View my LinkedIn profile.”
Before you start
- Copy the right LinkedIn URL. Open the profile or company Page you want to share and copy its public URL from the browser address bar or LinkedIn’s sharing controls. Check that it points to the intended destination, not an old profile, an edit screen, or a different Page.
- Check the destination. If the profile is meant to be publicly discoverable, open the URL in a private browser window or while signed out. LinkedIn visibility and sign-in requirements vary, so do not assume every recipient can view every profile without signing in.
- Choose a format. You can use text alone, an icon alone, or an icon plus text. If you want an icon, prepare a suitable LinkedIn-branded image, such as a PNG. Microsoft documents signature images and social links in Outlook; image options and controls can vary by version.
- Identify your Outlook version. New Outlook and classic Outlook for Windows have different signature editors. The web app and desktop app may also need separate setup.

New Outlook for Windows
- Select Settings, then Accounts > Signatures.
- If you have more than one account, choose the account that should use the signature.
- Select Add signature, name it, and enter your usual signature details.
- For a text link, type text such as View my LinkedIn profile and select it. For an icon, insert or paste the image and select the image itself.
- Use the editor’s link command, paste the LinkedIn URL, and apply it. If you use both text and an icon, link each element to the same destination.
- Choose whether to use the signature automatically for new messages and for replies and forwards, then select Save.
If you did not enable automatic insertion, add it while composing: select New mail, then Message > Signature and choose the saved signature. Menu labels may change as Microsoft updates Outlook. See Microsoft’s current signature instructions.
Classic Outlook for Windows
- Open New Email. On the Message tab, select Signature > Signatures.
- Select an existing signature to edit or choose New to create one.
- Click where the LinkedIn link should appear. For an icon, choose Picture and insert the image from your computer. For text, type and select the words you want linked.
- Select the icon or text, then choose Insert > Hyperlink. Enter the full LinkedIn profile or Page URL and select OK.
- Under Choose default signature, select the signature for new messages and, separately, for replies and forwards if you want it on both. Select OK to save.
Microsoft describes the social-icon workflow as inserting an image and then adding its hyperlink. If the compose window that was open during setup does not show the new signature, insert it manually; the default applies to later messages. See Microsoft’s image-and-link instructions.

Outlook on the web and Outlook.com
- Select Settings, then Accounts > Signatures.
- Create or edit a signature, then enter your contact details.
- Type the link text or insert the LinkedIn image. Select the text or image and use the link control to add the correct LinkedIn URL.
- Select Save. Choose whether the signature should be added automatically to new messages and to replies and forwards.
To add a saved signature manually while composing, start a new message or reply, select Signature on the Message tab, and choose the signature. Outlook on the web and Outlook desktop may not share signature settings automatically, even when you use the same account. Refer to Microsoft’s Outlook signature guide.
Outlook for Mac
- Open the Outlook menu and select Settings.
- Under Email, select Signatures. Choose a signature to edit or select Add, then name it.
- Enter your signature. Type and select the link text, or insert the LinkedIn image and select it.
- Select the Link button. Enter the display text if needed and put the LinkedIn URL in Address, then select OK.
- Select Save and set the signature as the default for the messages you want it on.
Microsoft documents text, pictures, links and tables in Mac signatures in its Outlook for Mac signature instructions. In some Mac message editors, Command-K opens the link dialog; use the editor’s Link button if that shortcut is unavailable.
Choose text, an icon, or both

For most people, a small icon next to descriptive linked text is the best balance. Text remains understandable if an email client blocks images, while the icon provides a quick visual cue. Keep layouts simple: recipients’ email clients or corporate security systems may block, remove or render images differently. Microsoft also shows table-based signature layouts with photos and social icons.

- Compose a new message and confirm the signature appears. If it does not, insert it from the compose window’s Signature menu or check the automatic-insertion settings.
- If replies should include it, open a reply and check that separately.
- Send a test message to yourself and, if practical, to an account with a different email provider or a mobile device.
- Click the icon and the text link, if both are present. Confirm each opens the intended profile or Page.
- If you rely on an image, check the message with images disabled or blocked. The visible text should still tell recipients where the link goes.
Fix common LinkedIn signature problems
The icon shows, but clicking it does nothing
The image may have been inserted without a hyperlink, or only nearby text may have been linked. Reopen the signature editor, select the image itself, use the link command, enter the full LinkedIn URL, and save. Then test from a newly composed message. Microsoft’s social-icon steps likewise require adding the hyperlink after inserting the image.

The link opens the wrong profile or Page
Check whether you copied a company Page instead of a personal profile, an old public URL, or a shortened or incorrect link. Replace it with the URL of the destination you intend to share, then test it in a browser before updating the signature.
The image is missing for recipients
The recipient’s mail app may block images, the signature may have been converted to plain text, or security software may have removed the graphic. Keep descriptive linked text beside the icon; when maximum compatibility matters, use a text link or include the URL in readable text.

The signature appears in new messages but not replies
Automatic defaults for new messages and for replies or forwards are separate. Return to signature settings and enable the reply/forward option if you want it there too.
It works on the web but not in desktop Outlook
Signature settings may be managed separately in each Outlook app. Create or update the signature in the desktop editor as well as the web editor if you use both.

The button breaks after copying it from Word or another email
Copying can change image formatting or detach a hyperlink. Reinsert the icon or text in Outlook’s signature editor, apply the link there, and save. A Word template can be a starting point, but the signature must still be placed and saved in Outlook; see Microsoft’s signature-template instructions.
