If one Outlook rule is broken and the rules window still opens, repair or delete only that rule. If the rule list cannot be read, remove the rules in Outlook on the web. When classic Outlook crashes or cannot load its rule store, close it and run Outlook.exe /cleanrules—but only after exporting or documenting your rules, because Microsoft says the switch removes client- and server-based rules from all connected mailboxes in the active profile.
First identify which Outlook you are using
The repair path depends on the client. Microsoft documents separate controls for classic Outlook, new Outlook, Outlook on the web, and Outlook.com.

“Corrupt” is a practical description, not a confirmed technical diagnosis. The symptom may be caused by damaged rule data, a deleted folder or category, a changed address, synchronization trouble, rule order, or an action that the current client cannot run.

- A rule appears in red with an Error label.
- Outlook says the rule cannot be edited or viewed.
- Rules and Alerts reports “There was an error reading the rules from the server.”
- Rules stop processing, or Outlook crashes when the rule window opens or Outlook starts.
- A rule points to a renamed or deleted folder, sender, category, or other object.
- A rule created in classic Outlook uses a client-side condition or action that new Outlook or Outlook on the web cannot support.
Therefore, an uneditable rule in new Outlook is not automatically evidence of mailbox corruption. Microsoft explains that migrated client-side rules can appear unavailable because the newer clients support server-side rules, not client-side rules.
Back up or document the rules before deleting them
Export from classic Outlook
- Open File > Manage Rules & Alerts.
- Select Options.
- Select Export Rules and save the
.rwzfile.
Microsoft documents .rwz import and export for classic Outlook only: Import or export a set of rules in classic Outlook. It is not a guaranteed migration format for new Outlook or Outlook on the web.
Create a human-readable backup
Also take screenshots or copy each rule into a text document. Record its name, conditions, actions, exceptions, destination folder, priority order, and whether Stop processing more rules is enabled. This remains usable when an exported file cannot be imported into the client you plan to use.

Repair or delete one rule first
Repair a red rule in classic Outlook
- Open File > Manage Rules & Alerts.
- If Outlook reports a broken rule, select OK.
- Select the rule marked in red.
- In Rule description, select each underlined link and replace the missing folder, address, category, or action.
- Select OK, then Apply or OK.
Use Microsoft’s documented repair workflow at Edit or fix a broken rule in Outlook.
Delete one rule in classic Outlook
- Open File > Manage Rules & Alerts.
- On E-mail Rules, select the damaged rule.
- Select Delete, then OK.
Clearing a checkbox only disables a rule; it does not remove the damaged definition.

Delete one rule in new Outlook or on the web
- Open Settings.
- Select Mail > Rules.
- Select the rule’s Delete control and confirm.
To pause a rule without deleting it, turn off its toggle. If the editor says This rule can’t be edited or viewed, create a replacement rule instead of assuming the mailbox is corrupt.
Delete all rules through Outlook on the web
Use the browser reset before /cleanrules when classic Outlook cannot read the rules but you can still access the mailbox. It is less broad because it does not depend on the local Outlook profile and avoids the command’s multi-mailbox scope.

- Open Settings > Mail > Rules.
- Delete every rule.
- Refresh the page and confirm that the list is empty.
- Recreate rules one at a time.
Microsoft lists this method as an official workaround for “There was an error reading the rules from the server”: Users get “There was an error reading the rules from the server”.
Use Outlook.exe /cleanrules only for a full reset
Warning: Microsoft documents /cleanrules as deleting both client-based and server-based rules. It can remove rules from every mailbox connected to the active Outlook profile, including shared or delegated mailboxes. It is not a targeted “delete the corrupt rule” command. Export or document rules for each mailbox first.
- Close classic Outlook completely.
- Right-click the Windows Start button and select Run.
- Enter
Outlook.exe /cleanrules. - Select OK and allow Outlook to start.
- Open File > Manage Rules & Alerts and confirm the rules are gone.
- Recreate and test the rules.

Recreate compatible rules
Prefer server-side behavior
Server-side rules run on the mail server and generally work while Outlook is closed. They are the best target for Microsoft 365, Exchange, Outlook.com, new Outlook, and Outlook on the web.
Client-side rules depend on classic Outlook or a local feature. Examples include local-only folders or data files, desktop alerts, playing a sound, printing, running a script, custom add-ins, and conditions based on local Outlook state. New Outlook and Outlook on the web do not support these rules. Recreate the intent with a server-side condition or action where possible; otherwise keep the rule in classic Outlook and understand that Outlook may need to remain open.
Build and test one rule at a time
- Give the rule a unique, descriptive name.
- Add only the minimum required condition.
- Add the action, then exceptions only when necessary.
- Choose whether Stop processing more rules should apply.
- Save the rule.
- Send or receive a message that should match only that rule.
- Confirm the destination and action before adding the next rule.
New Outlook’s rule editor requires a name, condition, and action, with optional additional conditions, actions, and exceptions. Read Microsoft’s rule-management guidance at Manage email messages by using rules in Outlook.
Check order and processing stops
A preceding rule can move or delete a message before a later rule sees it. Stop processing more rules intentionally ends evaluation after a match; an incorrectly enabled option can make a later rule appear broken. Microsoft explains the setting at Stop processing more rules in Outlook.
Test new rules and process existing mail
Inbox rules normally affect future incoming messages. Recreating a rule does not automatically reorganize mail that arrived earlier.

- In new Outlook, use Run rule now where that control is available.
- In classic Outlook, open File > Manage Rules & Alerts > Run Rules Now, select the rule and target folder, and choose whether to include subfolders.
- Test destructive actions such as delete, move, or mark as read on a small, clearly identified set first.

- Check the same mailbox in Outlook on the web to determine whether the rule exists and behaves there.
- Replace references to deleted or renamed folders rather than merely renaming the rule.
- Confirm every condition and action is supported by the client and account type.
- Review rule order and Stop processing more rules.
- For Gmail, Yahoo, or iCloud accounts in new Outlook, configure rules through the provider’s own mail service.
- Verify shared-mailbox and delegated-account permissions, and identify which mailbox owns each rule.
- Check Microsoft 365 policies, especially restrictions on external forwarding, before treating a blocked action as corruption.
- If Outlook still crashes after the rule reset, consider creating a new Outlook profile; profile repair is a fallback for a separate profile problem, not the first rule-repair step.
- If the mailbox remains inaccessible or policy is involved, contact the Microsoft 365 administrator.
