In Keka, a holiday list may appear as a Holiday Plan or Holiday Calendar in different parts of the interface. To create one, go to Time Attend (sometimes labelled Time & Attend) → Shifts/Weekly Offs & Holidays → Holidays, then choose +Add New Holiday Plan or +New Holiday Plan. Name the plan, select a country, choose the relevant holidays, and continue. You then need to add any missing dates and assign the resulting calendar to the employees it covers. A new calendar year alone does not require a new list.
Before you create a list
You’ll need the appropriate administrative access to manage holiday plans; the exact role or permission label can vary by Keka account. Decide which employees the calendar is for, which country or region applies, and which holidays are fixed versus optional or floater days. Keka’s suggested holidays are a starting point, not a guarantee that the final calendar meets every local legal requirement. Check applicable rules for each employee location before publishing the list.
Also decide whether you need a separate plan or only need to add holidays to an existing one. Keka supports multiple calendars, which is useful when locations or employee groups follow different policies. See Keka’s guidance on multiple holiday calendars.
Create a new holiday list in Keka
- Open Time Attend or Time & Attend from the left navigation.
- Go to Shifts/Weekly Offs & Holidays and open the Holidays tab.
- In the Holiday List area, click +Add New Holiday Plan or +New Holiday Plan. The wording can vary by tenant or release.
- Enter a name that makes the covered group and location clear, such as “India – Bengaluru – 2027.”
- Select the country and choose the applicable holidays from Keka’s suggestions.
- Mark holidays as optional or floater where that matches your company policy. Don’t assume those labels have identical effects in every account; check how they are presented in your Keka interface.
- Click Continue to save the plan.
This creates the plan, but it may not contain every holiday you need, and it is not automatically assigned to every employee. Keka’s holiday-plan setup guide describes the creation and follow-up steps.

Add holidays to the plan
Add one holiday manually
- Open the relevant holiday list.
- Click +Add Holiday.
- Enter the holiday name and select its date, including the correct year.
- Set it as optional if appropriate.
- Click the green checkmark or tick to save.
Double-check the year before saving, particularly when adding dates for the coming year to a list that already contains this year’s holidays. See Keka’s instructions for adding a holiday.
Import multiple holidays from Excel
- Open the target holiday list and click the three-dot menu next to +Add Holiday.
- Select Import from Excel, then download Keka’s template.
- Fill in the holiday name, description, and date. Include optional or floater information if the template provides a field for it.
- Save the spreadsheet, upload it, and map its columns to the fields Keka shows.
- Review the preview, correct any reported errors, and follow the on-screen steps to complete the import.
Use the current Keka template rather than building a sheet from scratch. The final control may be labelled differently as you move through column matching and preview, so confirm the preview before submitting. Compare the spreadsheet with the existing plan first: Keka’s published guidance does not establish that duplicate dates or names are automatically removed.

Assign the calendar to employees
Creating a plan is not the same as assigning it. To update one employee, open their profile, go to Job, find the time or attendance details, and locate Holiday Calendar. Click the edit icon, select the new calendar, and click Update.
For multiple employees, Keka documents this bulk route: Org → Dashboard → Import Employee Job Details (under Quicklinks). Download the Excel template, update the Holiday Calendar values, upload the completed file, and review and complete the import. Follow Keka’s employee holiday-list update instructions; labels and available fields may vary by account.

Do you need a new list for a new year?
No. Keka says you can add holidays dated in the next calendar year to an existing list. Reuse the current plan if the same employees, locations, and policy remain covered; make sure each date is entered with the correct year. Read Keka’s guidance on adding next-year holidays to an ongoing list.
A separate list may be a better administrative choice if a new office or country has different holidays, employee groups have different optional-holiday rules, the policy has changed substantially, or you want a distinct record. That is an organizational choice, not a requirement to create a plan every January. If the existing list is assigned to employees whose policy should remain unchanged, avoid changing it in a way that alters their calendar unintentionally.

Verify the setup
- The plan appears under the Holidays tab.
- All required dates are present and each has the correct year.
- Fixed and optional/floater statuses match your policy.
- The plan is assigned to the intended employees, not merely saved.
- An employee’s dashboard or attendance view shows the expected holidays; the exact display location can vary.
- You have checked for duplicate or conflicting entries and calendars.
Troubleshooting
The new-plan button is missing
Your account may not have the administrative access required, or your tenant may use a different label or navigation layout. Check the Holidays tab under the time-and-attendance area and ask your Keka administrator to confirm your access if the control is still unavailable.

A holiday is missing or employees cannot see it
Check that you added the holiday to the intended list, entered the correct year, and assigned that calendar to the employee. Confirm whether the holiday is marked optional or floater rather than fixed. If only some employees are affected, compare their Holiday Calendar assignments.

The Excel import reports errors
Use a fresh Keka template, check required fields and date formatting, ensure the spreadsheet columns are mapped correctly, and remove blank or malformed rows. Correct the source file and upload it again; review the preview before completing the import.
You need to change a calendar retroactively
Take care with backdated changes. Keka’s employee-update guidance warns that an attendance-summary recalculation may be needed and can erase existing regularization requests, while WFH/OD requests remain unchanged. Confirm the impact with Keka Support before proceeding, document the change, and verify attendance records afterward. This warning concerns backdated changes; don’t assume an ordinary future-dated plan update has the same consequences. See Keka’s guidance on changing an employee’s holiday list.
If a holiday is declared after the original plan—for example, an unplanned closure—Keka has a separate workflow for marking an unplanned holiday.
Check local holiday requirements
A country selection or Keka suggestion does not necessarily cover every state, jurisdiction, establishment type, or employee-specific requirement. Validate the final calendar for the locations and workforce it covers.
