Personal Gmail accounts generally allow up to 25 MB of total attachments in one message. When a file—or several files together—exceeds that amount, Gmail uploads the item to Google Drive and sends a sharing link instead of a conventional attachment. For most users, this is the simplest way to send a large video, PDF collection, ZIP archive or design file without reducing its quality.
Use a normal attachment below the limit; use Gmail’s Drive conversion or a Drive link for larger files. Your choice of sharing permission determines who can open, download or edit the file.
Gmail’s attachment limit depends on the account
Google’s personal Gmail guidance sets a 25 MB total limit for attachments in one outgoing message. The limit is combined: three files of 9 MB each total 27 MB and can trigger Drive conversion even though no individual file exceeds 25 MB. The recipient’s mail provider may impose a lower incoming limit.
Work and school Gmail accounts use administrator-controlled sending and receiving limits, so their rules are not necessarily the same as personal Gmail. Google announced a 50 MB direct-send limit for Enterprise Plus customers, with a 70 MB incoming-message limit, in a February 2026 Workspace update. That change is edition-, organization-configuration- and rollout-dependent; it does not change the 25 MB rule for personal Gmail.

Method 1: Let Gmail turn an oversized attachment into a Drive link
This method keeps the composing workflow familiar. The message carries a link; the large file itself remains in Drive.
- Open Gmail in a browser and select Compose.
- Select the paperclip button, Attach files, and choose the file or files.
- If the combined size exceeds Gmail’s limit, wait while Gmail uploads the file to Google Drive and replaces the oversized attachment with a Drive link.
- When the sharing prompt appears, choose the people who may access the file and select Viewer, Commenter or Editor as appropriate.
- Wait until the upload finishes, then send the message.
Keep the Gmail tab open during the upload. Gmail’s current help page lists an incomplete Drive upload, slow internet connection or insufficient storage as reasons a message may fail to send: Gmail attachment troubleshooting.
Method 2: Upload to Google Drive first for more control
Uploading separately is usually easier for files of several hundred megabytes or more, or when you want to set permissions before writing the email.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errors- Open Google Drive and choose New, then File upload (or Folder upload for a collection).
- After the upload completes, select the file and choose Share.
- Under General access, choose Restricted for named recipients, or Anyone with the link when people who receive the link should not need a Google account.
- Select the role: Viewer, Commenter or Editor.
- Choose Copy link, paste it into Gmail and explain whether the recipient should preview, stream or download the file.
Drive stores videos, PDFs, ZIP files, audio, Microsoft Office documents and most other file types. Google lists an individual limit of up to 5 TB for “all other files,” subject to available quota and other limits: Drive file-size limits.

Choose the right Drive permission
| Situation | Recommended setting | Reason |
|---|---|---|
| Confidential or personal material | Restricted + named recipient + Viewer | Only approved accounts can open it. |
| Finished file for one person | Restricted + Viewer | Allows reading or downloading without editing. |
| Feedback on a compatible Google file | Named recipients + Commenter | Allows comments without changing the file itself. |
| Joint work that requires changes | Named collaborators + Editor | Permits modification; use only when necessary. |
| Non-sensitive public material | Anyone with the link + Viewer | Convenient for recipients who may not use Google. |
“Anyone with the link” is not private: the link can be forwarded. A Drive file’s owner name and email may also be visible. Owners can later change permissions, replace the file or delete it. Viewer download controls can reduce direct downloading, but cannot prevent screenshots or other copying. Google documents these controls at Drive sharing permissions.
Does the recipient need a Google account?
Not always. A file shared as Anyone with the link can generally be opened without signing in. However, a company or school administrator may block external sharing, require sign-in or disable public links. Some Workspace environments support visitor sharing for non-Google accounts, but availability depends on the organization: Google’s visitor-sharing guidance.
For a restricted file, add the recipient’s exact email address. If their organization blocks Drive, use an approved transfer service or that organization’s own cloud platform rather than making confidential material public.
Sending a large video
Google specifically recommends Drive for large videos. Upload over reliable Wi-Fi, use a descriptive filename and do not start duplicate uploads from several devices. Tell the recipient whether to stream the preview or download the original file. Drive preserves the uploaded file; Gmail does not re-encode it as a smaller email attachment.
When Gmail says “adding files” or will not send
- Wait for the Drive upload indicator to finish before sending.
- If the file was uploaded from another device, allow Drive synchronization to complete, or remove and re-add it in the message.
- Check the internet connection and retry from a stable network.
- Check Google storage. Personal storage is shared by Gmail, Drive and Google Photos; some accounts also count WhatsApp backups and other services. Google states that accounts can include up to 15 GB of shared free storage: storage allocation details.
- If attaching from Gmail still fails, upload the file directly in Drive, finish the upload, set sharing and paste the completed link into a new message.
- For a recipient who cannot open the link, open Share, verify the exact address and role, resend the link, and ask the recipient to test it in a private browser window. A sign-in prompt may reveal an organization policy.
Empty Drive, Gmail and Photos trash, plus Spam, because deleted items continue to count until permanently removed. Google suggests searches such as has:attachment larger:10M, filename:.pdf larger:5M and older_than:2y has:attachment for locating large mail: storage cleanup guidance.

Can compression or splitting solve the problem?
ZIP compression is useful for documents, spreadsheets and collections of uncompressed files. It often makes little difference to MP4 video, JPEG photos or modern Office files, which are already compressed. A split archive can technically fit into several messages, but the recipient must download every part and reassemble it; missing one part makes the archive unusable.
Compression does not bypass the recipient’s limits, and an ordinary password-protected ZIP is not automatically secure. For confidential material, use restricted Drive access or an encrypted transfer method. For a large video or multi-gigabyte archive, upload once to Drive instead of splitting it.

Alternatives when Drive is unsuitable
| Option | Best for | Trade-offs |
|---|---|---|
| Google Drive | Gmail users, permission control and ongoing collaboration | Uses Google quota; administrators can block external sharing. |
| Dedicated transfer service | One-off delivery with an expiring download link | Limits, expiration, retention and privacy terms vary by provider; check its current plan. |
| Dropbox | People already using Dropbox folders and synchronization | Unnecessary setup for a one-time Gmail transfer. |
| OneDrive or Microsoft 365 | Microsoft-centered recipients and workplaces | Best when the organization already manages Microsoft sharing. |
| Organizational file-sharing platform | Regulated or business data with audit and policy requirements | May require an account or administrator approval. |
Use Gmail plus Drive at no additional cost when you have quota. Consider Google One only when storage is the obstacle; plan availability and pricing vary by region (Google One plans). A transfer service such as WeTransfer is better for a temporary handoff when Drive is blocked; confirm current limits on its pricing page. Existing Dropbox or Microsoft users can use their platform’s sharing workflow (Dropbox plans; OneDrive storage FAQs).

- Under 25 MB total: attach normally.
- Slightly over the limit: attach in Gmail and accept the automatic Drive conversion.
- Hundreds of megabytes or more: upload to Drive first, then share the finished link.
- Confidential file: use Restricted access for named recipients.
- Recipient cannot use Drive: use an approved transfer service or the recipient’s organization platform.
- Storage full: clean up quota or add storage; paying for a plan is not required merely because a file exceeds 25 MB.

Why did Gmail replace my attachment with a Drive link?
The combined attachment total exceeded the account’s direct-attachment limit, so Gmail used its integrated Drive workflow.

For an oversized file, no practical personal-Gmail workflow turns a multi-gigabyte Drive item into a normal email attachment. The link is the intended delivery method.
Can I send a large file from the Gmail mobile app?
The same Drive-link approach applies, but button names and placement differ between Android, iPhone and web versions. Look for Compose, Attach or Drive, then review sharing before sending.
How do I stop sharing later?
Open the file in Drive, choose Share, change General access to Restricted or remove individual recipients, and save the change.
What if Gmail blocks the file for security reasons?
A blocked file type is a security restriction, not a size problem. Use Google’s current blocked-attachment guidance and an approved secure transfer method rather than renaming an unsafe file.
