Choose Google Keep for fast capture, lists, reminders, and lightweight sharing; choose Notability for handwriting, PDF markup, lectures, and study workflows; choose Obsidian for linked, long-term knowledge stored as local Markdown files. None is a universal winner because they represent three different models: capture-first notes, page-and-pen notebooks, and a configurable knowledge base.

Google Keep: the fastest capture and reminder tool

Keep is designed for information you want to record and retrieve with almost no setup. Google documents text notes, checklists, drawings, image notes, and audio recordings, along with labels, colors, pins, archives, reminders, and sharing (Google’s note-creation guide).

Where Keep excels

  • Short capture: ideas, phone numbers, errands, web snippets, and temporary work notes.
  • Lists and reminders: shopping lists, action items, recurring reminders, and personal follow-ups.
  • Quick retrieval: search can filter by text, labels, reminders, recordings, URLs, people, colors, and images (Keep search filters).
  • Light collaboration: shared users can edit text, lists, images, drawings, and audio, and can add labels, colors, reminders, or archive a note (Google’s sharing documentation).
  • Google workflow: Keep content can be opened beside Google Docs and Slides through the Keep side panel (Docs and Slides integration). Reminders may also appear in Keep, Google Tasks, and Google Calendar according to Google’s current integration behavior (reminder documentation).

Organization limits and failure modes

Keep is visual rather than hierarchical. You organize notes with labels, colors, pins, and archives; Google currently documents a maximum of 50 labels (labels and colors). That is excellent for a modest archive but can become awkward for a large research library. Search helps, but Keep is not a database, wiki, full document editor, or project-management system.

Ownership matters in shared notes: deleting a note owned by one person deletes it for everyone (sharing rules). Google describes Keep as usable offline with changes synchronized after reconnection, but offline behavior is not necessarily identical for every feature or account type (Google Workspace Keep overview).

Export and migration

Google Takeout can export note content and attachments, including list items, voice recordings, drawings, images, labels, collaborators, and pinned or archived state (Keep export instructions). Export does not create a ready-made Notability or Obsidian vault, so expect cleanup when moving rich notes elsewhere.

Who should choose Keep

Choose Keep if your typical note takes seconds to write and is useful mainly because it has a reminder, checklist, or easy share. Do not choose it as your primary system for handwritten classes, serious PDF markup, or a deeply cross-referenced knowledge base.

Notability: the page-and-pen study workspace

Notability treats a note as a visual document. Its official comparison lists handwriting and annotation, PDF/document/slide import, scanning, audio recording, transcription, synchronized playback, handwriting recognition, handwritten-math conversion to LaTeX, collaboration, shared libraries, and AI features (Notability plan comparison).

Why students and tablet users prefer it

  • Ink and typing together: write equations or diagrams, then add searchable typed explanations.
  • Document workflow: import lecture slides, worksheets, readings, or PDFs and mark them up in place.
  • Audio context: record a lecture or meeting while taking notes, then use transcription and synchronized playback where your plan and platform support them.
  • Study tools: current comparison materials list features such as flashcards, quizzes, summaries, and chat-style interaction with notes, with availability varying by plan.
  • Shared work: link sharing, live collaboration, and shared libraries are listed for qualifying plans.

Organization and platform qualifications

Notability organizes information as subjects, folders, and pages rather than as independent Markdown files. Search can cover typed and handwritten content when recognition is available, but a page-oriented notebook is a different retrieval model from Obsidian’s links and backlinks.

Notability Cloud is presented as the synchronization system for applicable plans. The comparison page identifies platform-specific availability, including features marked for iOS, Android, or web. Do not assume that an iPad feature, an Android feature, and a browser feature are identical; verify the device and plan you actually use (current comparison).

Cost and plan risk

The official one-time pricing view displayed a Classic option at $39.99, described as a one-time purchase with unlimited note-taking, plus Business at $60 per user per year and Business Pro at $180 per user per year. Prices are shown in USD and may vary; included features and eligibility should be checked at purchase (Notability one-time pricing). A one-time purchase is not automatically identical to a subscription plan.

Export and migration cautions

Before committing a large archive, test export of handwriting, audio, transcripts, PDF annotations, templates, shared notes, links, and AI-generated material. Those elements are not guaranteed to migrate equally into another application. Audio-rich notebooks also deserve a separate backup plan.

Who should choose Notability

Choose Notability when the note itself is a page: a handwritten lecture, an annotated reading, a visual meeting, or an audio-backed study session. It is a weaker fit for plain-text ownership, Linux-centric workflows, or a personal knowledge graph that must remain ordinary files.

Obsidian: a local Markdown knowledge base

Obsidian stores notes as local Markdown files and adds wikilinks, backlinks, search, properties, tags, templates, daily notes, graph view, and community plugins. The core application is free without limits and does not require an account, according to its pricing page (Obsidian pricing).

What the local-file model changes

  • Portability: text remains readable outside Obsidian in ordinary file tools.
  • Durability: notes can be linked across projects, people, sources, and decisions for years.
  • Extensibility: templates, properties, queries, and plugins can shape the workflow around your subject.
  • Control: you choose folders, naming conventions, metadata, and backup tools instead of accepting one fixed notebook structure.

Portability is strongest for Markdown text. Plugin-specific fields, embedded media, canvas layouts, and complex formatting may need conversion or may not have an equivalent elsewhere.

Sync, backup, and collaboration

Official Sync adds end-to-end encryption, version history, selective sync, file recovery, offline work, and shared vaults (Obsidian Sync). At the prices displayed during the August 2026 review, Sync Standard was $4 per user per month billed annually or $5 monthly, with one synced vault, 1 GB total storage, a 5 MB maximum file size, and one month of history. Sync Plus was $8 annually billed monthly equivalent or $10 monthly, with 10 vaults, 10 GB, a 200 MB file limit, and 12 months of history. Confirm current limits before subscribing.

Synchronization is not backup. A local vault still needs an independent backup strategy. Third-party synchronization can create conflicts or platform-specific problems, and Obsidian’s help documentation notes that some operations, such as updating links after a rename, may require access to the entire vault (Obsidian synchronization guidance).

A shared vault is not the same as a collaborative document editor or enterprise wiki. Teams that need granular permissions, comments, approvals, and administration may spend less time in a dedicated workspace.

Who should choose Obsidian

Choose Obsidian if notes should become a connected body of knowledge: research sources, meeting decisions, project records, essays, or a journal you will revisit. Do not choose it merely because it has more features; setup, plugin maintenance, mobile capture, sync, and backups are ongoing responsibilities.

Head-to-head decisions

Keep vs Notability for students

Notability wins for handwriting, annotated PDFs, lecture recordings, and visual study. Keep wins for assignment reminders, checklists, and temporary capture. A student who mainly annotates PDFs should not choose based on Markdown support; a student building a durable research archive may eventually add Obsidian.

Keep vs Obsidian for personal productivity

Keep is better when the goal is a reminder in under five seconds. Obsidian is better when a task, meeting note, and reference should remain connected. Obsidian can reproduce task workflows with syntax and plugins, but it is not a turnkey reminder service.

Notability vs Obsidian for research

Notability is better for reading and marking up source documents with a stylus. Obsidian is better for synthesizing sources into linked claims, outlines, and long-form writing. Storing a PDF attachment in Obsidian does not automatically provide Notability-style annotation or extraction.

Handwriting, drawing, and PDFs

Notability is the clear choice for serious handwriting and document markup. Keep supports drawings and image notes for quick sketches (Keep note types), while Obsidian’s handwriting and canvas capabilities depend on extensions and should not be treated as a core replacement.

Audio and transcription

Keep can attach audio recordings to shared notes, but that is not the same as a synchronized lecture notebook (Keep sharing). Notability’s recording, transcription, and playback synchronization are central differentiators, subject to plan and platform. Obsidian can store media and be extended, but any capture or transcription workflow depends on the exact core version or plugin.

Sharing and teams

Keep is best for small shared lists and low-complexity notes. Notability can suit teams sharing visual documents where the relevant Business features are enabled. Obsidian Sync can share a vault, but teams needing mature permissions and document workflows should evaluate a dedicated workspace.

Privacy and ownership

Obsidian offers the most direct file ownership because the vault is local; you remain responsible for backups and synchronization. Keep and Notability use cloud-connected workflows, so export and plan terms matter. Keep has a documented export route, while Notability migration should be tested for rich content before a switch.

Migration and hybrid workflows

  1. Inventory the content: separate disposable reminders, handwritten/PDF notebooks, and durable text knowledge.
  2. Export before deleting: use Google Takeout for Keep; in Notability, export representative notes and confirm that ink, audio, transcripts, annotations, and links survive.
  3. Preserve originals: keep the exported archive and attachments outside the destination app until the migration is checked.
  4. Import selectively: move durable text into Obsidian as Markdown or attachments; keep complex handwritten notebooks in Notability if conversion would destroy useful context.
  5. Test retrieval: search for a label, a handwritten term, an audio timestamp, a PDF annotation, and a linked Markdown note before retiring the old system.

A hybrid setup is often rational: Keep for inbox capture and reminders, Notability for tablet study, and Obsidian for material worth developing over years. The trade-off is maintaining boundaries and avoiding three competing copies of the same note.

Decision checklist

  • Need a reminder or checklist immediately? Google Keep.
  • Use a stylus on slides, worksheets, or PDFs? Notability.
  • Record lectures and replay audio against your writing? Notability, after confirming plan and device support.
  • Want linked research and ordinary Markdown files? Obsidian.
  • Need the least setup? Google Keep.
  • Want maximum control and are willing to maintain folders, plugins, sync, and backups? Obsidian.
  • Need comments, permissions, revision workflows, or a team wiki? Choose a dedicated collaborative workspace instead.
