For one invoice at a time, Airtable’s Page Designer extension is the quickest route: build an invoice layout from a record, choose Print, then select Save as PDF in your operating system’s print dialog. If invoices must be created automatically, attached back to records, or delivered by email, use a document-generation integration such as Airtable’s Create document with Formstack button action. For repeating line items and multi-page documents, evaluate a template engine or PDF API.
Choose the workflow that matches your invoice process
The important distinction is whether a person is exporting an occasional invoice or a workflow must generate files without manual printing.

Use Page Designer when the invoice is essentially a designed view of one record. Move to an integration when generation must happen after a business event, and investigate a PDF API when the document structure changes substantially from record to record.
Generate one invoice PDF with Page Designer
1. Add the extension and select the invoice table
- Open the Airtable base that contains your invoice records.
- Add the Page Designer extension.
- Choose the table that contains the invoice record you want to render.
Page Designer reads live values from the selected record. Keep the invoice data in clearly named fields so the layout is easy to maintain: invoice number, customer details, issue and due dates, line-item description, quantity, price, subtotal, tax, total and payment terms. Add any logo or static business information as image or text elements.

2. Set the paper and orientation
In the Page Designer settings, choose a paper size such as Letter, A4 or a custom size, then select portrait or landscape orientation. Decide this before placing fields; changing orientation later can require repositioning the entire layout.
3. Build the branded layout
Add text elements for labels and static wording, image elements for your logo, and field elements for the live values. Arrange the page in the order a recipient needs to read it:
- Business name, address and contact details.
- Invoice number, issue date and due date.
- Bill-to customer name and address.
- Line-item description, quantity, unit price and amount.
- Subtotal, tax, discounts if represented in your data, and total.
- Payment terms and instructions.
Keep labels separate from fields. This makes a later field-name change less likely to disturb the visual design. Leave enough vertical space for the longest values you expect, especially customer addresses, descriptions and payment terms.
4. Preview short and long records
Preview more than one representative record before exporting. Page Designer uses the actual record values, so long text can overflow a carefully positioned area. Large attachments can also exceed the space reserved for them. Test a short invoice and a deliberately long one, then adjust text boxes, font sizes, image bounds and page breaks. A layout that looks correct with sample data is not necessarily safe for every customer.
5. Print to a PDF file
- Choose Print in Page Designer.
- In the operating system’s print dialog, select Save as PDF (the exact wording varies by operating system and browser).
- Choose a filename and destination, confirm the page range and paper settings, and save.
This produces a local PDF for the selected record. It is a reliable manual path when a person needs to review the invoice before saving or sending it.
What Page Designer cannot automate
No batch printing
Airtable’s printing FAQ states that Page Designer does not support batch printing Page Designer records. You therefore cannot select a group of records and have the extension produce a PDF for each one in a single print operation. If you need one file per record at scale, use a document-generation integration or API workflow instead.

No automation print action with automatic attachment
Airtable also states that an automation cannot run a Page Designer print action and automatically take the resulting PDF back into the database. A Page Designer layout is therefore not, by itself, an automation-to-attachment pipeline. Treat the extension as a manual renderer unless you add a separate document-generation service.

Use the Airtable button action
Airtable documents a Button field action named Create document with Formstack. The action merges values from the current record into a selected Formstack Documents template and creates a PDF or Word document.
- Add or select a Button field in the invoice table.
- Configure the button to use Create document with Formstack.
- Select the invoice template maintained in Formstack Documents.
- Map Airtable fields to the corresponding template fields.
- Run the button on a representative record and inspect the generated file.
- Configure saving, emailing or downstream handling using the integration’s current options.
Keep the template as the source of truth for typography and layout, while Airtable remains the source of record data. Before committing to a production workflow, verify current Formstack pricing, limits, authentication requirements and partner terms; those details can change independently of Airtable’s documented button action.
Design the data contract first
List every value the template requires and map it to one Airtable field. Decide how an empty value should appear: blank, a fallback label, or a workflow exception. Test records with long names, long addresses, missing optional fields and unusually many line items. A successful merge only proves that the fields were found; it does not prove that the resulting PDF is visually correct.
When a PDF API or template engine is the better choice
Investigate a third-party template engine or PDF API when your requirements exceed a fixed Page Designer canvas or a simple merged template:

Evaluate the service against your real invoice
- Can it repeat a line-item collection and calculate or display totals correctly?
- Does it support page breaks and a header or footer on every page?
- Can it return a file that Airtable can store in an attachment field?
- Can it authenticate securely without exposing customer data in a public URL?
- Does it provide retries, an error response and an audit trail for failed jobs?

Troubleshooting invoice PDF workflows
Text is cut off or overlaps
Cause: the live value is longer than the Page Designer field area or template placeholder. Fix: test a long record, enlarge the area, reduce typography, or move to a repeating-table template for variable content.
The invoice needs several pages
Cause: a fixed one-page canvas cannot accommodate the record. Fix: use a document template or PDF API that supports repeated line-item rows and page breaks; verify headers, totals and payment terms on every page.

Several records must be exported
Cause: Page Designer has no batch-print function. Fix: invoke document generation per record through an integration or API, with a process for retries and file storage.
The PDF is not attached to Airtable
Cause: Page Designer’s print output is a local save and Airtable does not support running that print action in an automation to attach the PDF automatically. Fix: use a document-generation integration or API that returns a file your workflow can place in an attachment field.
The generated file has missing values
Cause: a field was not mapped, is empty, or uses a different field type than the template expects. Fix: compare the template map with the record schema, test an empty-value record, and define a deliberate fallback or validation step.
The design looks correct but production records fail
Cause: production data contains longer text, larger attachments or more line items than the sample. Fix: maintain a small test set that includes the shortest and longest realistic values, then review the rendered PDF before enabling unattended delivery.

- Confirm the invoice table and record used for generation.
- Define required fields and behavior for empty values.
- Choose Letter, A4 or a custom paper size and orientation.
- Preview short, long and attachment-heavy records.
- Check totals, dates, customer details and payment terms in the rendered PDF.
- For automation, document the trigger, template version, destination and failure path.
- Protect private invoice URLs, API keys and generated files.
- Keep a manual review path for failed or ambiguous documents.

Can the same Airtable data support both Page Designer and Formstack?
Yes. Both approaches can use the same record fields; the maintenance difference is whether the visual layout lives in Page Designer or in the external Formstack template.
