Excel usually freezes during copy and paste because the operation triggers more than a clipboard transfer. Recalculation, excessive formatting, add-ins, external links, network files, objects, or workbook corruption can all make Excel appear unresponsive. First save a duplicate of the workbook, then test whether the problem affects every workbook or only one file.
The steps below apply mainly to Excel for Microsoft 365, Excel 2024, 2021, 2019, and 2016 on Windows. Mac users can use the general workbook and paste tests, but Windows commands such as excel /safe and Office repair menus do not apply directly.
Try these quick fixes first
- Press Esc to cancel the moving-copy border.
- Wait briefly and check the status bar. Excel may be calculating rather than completely frozen.
- Try copying one cell or a small range in a new blank workbook.
- Use Paste Special > Values.
- Close and reopen Excel. If necessary, restart Windows.
- Copy the workbook to a local drive and test that copy.
Do not immediately force-close Excel if you have unsaved work. Look for a hidden dialog behind the active window and allow a calculation to finish where possible.

What the symptoms tell you
- Every workbook freezes: investigate Excel, add-ins, updates, antivirus, Office, or Windows.
- Only one workbook freezes: suspect formulas, formatting, objects, names, links, file location, or corruption.
- Only one sheet or range is affected: inspect that sheet’s formulas, conditional formatting, objects, and used range.
- Only cross-workbook paste freezes: test values-only paste, local copies, add-ins, styles, and external links.
- Only large ranges freeze: copy in batches and reduce unnecessary formulas, styles, and objects.
13 solutions, in the safest practical order
1. Make a backup and test a blank workbook
Save a duplicate before changing calculation settings, deleting objects, or repairing the file. Open a new workbook, enter a few values, and copy them within that workbook and into another new workbook. If this works, the original file—not necessarily Excel itself—is the leading suspect.

2. Wait and check whether Excel is calculating
Copying or pasting can trigger recalculation, especially when a workbook contains volatile functions, external references, array formulas, large dependency chains, queries, or PivotTables. Check the status bar and give the operation time to finish. Repeatedly clicking Copy or Paste can make a busy workbook appear worse.
3. Cancel copy mode and restart Excel
Press Esc to cancel the moving dashed border. Try a small copy from another application. If Excel remains unusable, close it normally and reopen it. After a forced closure, check Document Recovery when Excel starts again.
4. Copy less data or paste values only
Test progressively: one cell, a small contiguous range, a larger range, and finally the full selection. Use Home > Paste > Paste Special > Values when you only need the displayed data.

5. Test a local copy of the workbook
Close the file, copy it from a network folder, OneDrive, SharePoint, or a shared location to the desktop, and open the local copy. If copying works locally, investigate synchronization, permissions, file locking, network reliability, or simultaneous editing. A local copy is a diagnostic; do not create competing versions of a shared master file without coordinating with its owner. See Microsoft’s guidance on locked Excel files.
6. Start Excel in Windows Safe Mode
Safe Mode bypasses many startup customizations, Excel add-ins, and most COM add-ins.
- Close Excel.
- Press Windows + R.
- Enter
excel /safeand press Enter. - Open the workbook and repeat the copy/paste test.
If the problem disappears, an add-in or startup component is plausible—but Safe Mode does not prove which component is responsible. Microsoft explains this test in its Office Safe Mode guidance.
7. Disable add-ins systematically
- Open Excel normally and select File > Options > Add-ins.
- At the bottom, set Manage to COM Add-ins and select Go.
- Clear the checkboxes, restart Excel, and test.
- If the freeze stops, re-enable add-ins one at a time until the problem returns.
- Repeat the test with Excel Add-ins if necessary.
Relevant categories can include PDF tools, accounting integrations, reporting tools, data connectors, clipboard managers, antivirus plug-ins, and automation software. Do not assume a particular vendor is defective without evidence.

8. Switch calculation to Manual temporarily
- Select File > Options > Formulas.
- Under Calculation options, choose Manual.
- Test the copy/paste operation.
- Return to Automatic after testing.
If the operation works in Manual mode, recalculation is contributing to the delay. Manual calculation does not repair the workbook and can leave displayed values stale. Use it as a diagnostic, not a permanent solution. Microsoft documents this recovery technique in its corrupted-workbook guidance.
9. Reduce workbook complexity
Work on a copy and inspect:
- whole-column references such as
A:Ain large formula sets; - formulas copied far beyond the real data;
- excessive cell styles from repeated cross-workbook copying;
- hidden rows, columns, shapes, and objects;
- heavy conditional formatting;
- obsolete names in Formulas > Name Manager;
- external links, queries, PivotTables, and volatile formulas;
- used ranges extending far beyond the visible data.
Remove only items you understand. Formatting may carry business meaning, controls, or print-layout requirements. Microsoft’s workbook performance guidance discusses excessive formatting, objects, names, and complex content.
10. Update Excel and Windows
- Select File > Account.
- Choose Update Options > Update Now, where available.
- Install pending Windows updates and restart the computer.
If the issue began immediately after an update, check Microsoft’s current Excel for Windows fixes and known issues. Do not roll back Office blindly; record the version, build, workbook type, and exact reproduction steps first.

Outdated antivirus or document-scanning integrations can interfere with Office. Update the security product and ask an administrator before changing protection settings. Never permanently disable antivirus just to test Excel.

Also close duplicate Excel windows and check Task Manager for remaining EXCEL.EXE processes—but only after checking for unsaved work. Reporting tools, macros, RPA jobs, and add-ins that automate clipboard operations across multiple Excel instances can cause crashes or hangs. Where possible, automation should transfer values through arrays or another direct API instead of simulating parallel Copy/Paste operations. See Microsoft’s clipboard automation guidance.
12. Repair Microsoft Office
This repairs the Office installation; it is different from repairing a damaged workbook.
- Open Settings > Apps > Installed apps.
- Find Microsoft 365 or Microsoft Office.
- Select the three-dot menu and choose Modify.
- Try Quick Repair first.
- If that fails, try Online Repair.
Labels vary slightly by Windows release and installation type. Quick Repair is faster and less disruptive; Online Repair is more comprehensive, requires internet access, and may reset or reinstall more components. Microsoft’s Excel troubleshooting guidance recommends Office repair when other steps do not resolve unresponsiveness.

Preserve the original, then work on a copy. If the file is on a network, copy it locally first.

- Select File > Open > Browse.
- Select the workbook.
- Click the arrow beside Open.
- Choose Open and Repair.
- Choose Repair.
- If that fails, repeat the process and choose Extract Data.
Repair can remove damaged elements, so inspect formulas, formatting, charts, names, and links afterward. If necessary, create a clean workbook and transfer data in batches with Paste Values. Also check Document Recovery, backups, previous versions, and OneDrive or SharePoint version history. Microsoft documents Open and Repair and Extract Data.

The Office Clipboard can store up to 24 copied items, but a clipboard problem is not the usual explanation for every Excel freeze. You can press Esc, copy a small item from another application, restart Excel, and try Paste Special. On Windows, clear or close the Office Clipboard if available. Microsoft notes that the Office Clipboard cannot be viewed or cleared on Mac in the same way as on Windows; see its Clipboard documentation.
Windows and Mac limitations
excel /safe, Windows Office repair, and the Windows add-in menus described above are Windows instructions. Mac users should instead test a new workbook, smaller ranges, values-only paste, a local copy, updates, add-in isolation, and rebuilding the workbook in a clean file. A protected sheet may block editing or paste commands, but a warning or disabled command is not the same as an unresponsive Excel process. Protection controls modification of locked cells; it is not a complete security feature. Microsoft explains this in its Excel protection guidance.

When to contact Microsoft Support or IT
Escalate after recording:
- Excel edition, version, and build;
- Windows or macOS version;
- workbook extension, such as
.xlsx,.xlsm, or.xlsb; - whether the file is local, network-based, or cloud-synced;
- the exact copy/paste steps and selection size;
- whether a blank workbook reproduces the issue;
- whether Safe Mode changes the result;
- which add-ins were disabled;
- whether Office repair helped; and
- whether the problem follows the file to another computer.
These details quickly separate an Excel-wide failure from a damaged workbook, add-in conflict, calculation bottleneck, or storage problem.
