Windows file sharing is not one feature. Use an SMB network share for a folder you access repeatedly on the same network, Nearby sharing for a one-off transfer to a device close by, OneDrive (or another cloud service) for internet sharing, and a private VPN overlay such as Tailscale for reaching a home or office share remotely. The safest default is to keep SMB on a trusted private network and never expose port 445 directly to the internet.
Choose the right Windows sharing method

The instructions below use Windows 11 terminology. Microsoft’s file-sharing guidance also covers Windows 10, but Windows 10 support ended on October 14, 2025; move supported PCs to Windows 11 where possible.
Share a folder over your local network
1. Put both PCs on a trusted private network
Connect both computers to the same home or office network. On the PC hosting the files, open Settings, search for Manage advanced sharing settings, and under Private networks turn on Network discovery and File and printer sharing. Leave sharing off for a Public network unless it is deliberately managed.

ms-settings:network-advancedsettingsDiscovery controls whether a computer appears in File Explorer’s Network view; it does not grant access to a folder. A share can be reachable by its address even when discovery is not working.
2. Create the share
- In File Explorer, right-click the folder (or file) to share.
- Select Show more options if necessary, then Give access to > Specific people.
- Choose a named Windows account and select Add, or choose Everyone for broad access on a trusted network.
- Confirm the share. Windows shares the files inside the selected folder.
Prefer a specific account. If you use Everyone, keep the share limited to a trusted private network and avoid granting more rights than needed.
Share permissions and NTFS permissions
Two permission systems apply:
- Share permissions control access over the network.
- NTFS (file-system) permissions control access to the files and folders locally and over the network.
The effective network access is the more restrictive result. Share-level Full Control cannot override a restrictive NTFS permission. A practical setup is a dedicated local or domain account with Read for viewers and Modify for collaborators; avoid Full Control for Everyone.

In File Explorer’s address bar, enter a UNC path:

\192.168.1.25ShareNameThe host must be powered on, connected, and not blocked by its firewall. Windows file shares use the SMB protocol; the host can act as both an SMB server and client. If prompted, use an account recognized by the host, often in the form HOSTNAMEusername.
Map the share as a network drive
- Open File Explorer > This PC.
- Select Map network drive from the toolbar or context menu.
- Choose an unused drive letter and enter a path such as
\Office-PCDocuments. - Select Reconnect at sign-in if appropriate, then Finish.
- Enter credentials when requested.
A mapped drive is only a shortcut. It does not copy, synchronize, or back up data, and it will be unavailable when the host sleeps, shuts down, disconnects, or changes network access.

Use Nearby sharing when you want to send a file, photo, document, or link—not create a permanent shared workspace. Open Settings, search for Nearby sharing, choose who can discover the PC, and ensure the required Bluetooth and Wi-Fi hardware is enabled. In File Explorer, select a file, choose Share, select the nearby Windows device, and accept the transfer on the receiving PC.

Microsoft documents Nearby sharing for Windows 10 and Windows 11. Exact controls and hardware support vary by version. It is not a solution for remote internet transfers or a departmental repository.
Share over the internet with OneDrive
When recipients are outside your local network, use OneDrive or another cloud service. Upload or sync the file, select Share, and create a link with the required viewer or editor permission. OneDrive supports browser and File Explorer access, cross-device synchronization, and collaboration; available storage, plans, prices, expiration controls, and organization policies vary by region and account. Check Microsoft’s current plan page and regional availability information.
Keep the distinctions clear: sync keeps copies current across devices, a share link grants another person access, and backup is a separate protection strategy. Cloud sync can propagate accidental deletions or ransomware, so keep an independent backup.
Remote access without exposing SMB
Do not normally forward TCP port 445 from a router to a Windows PC. Use OneDrive for link sharing or a properly configured VPN. A private overlay such as Tailscale can connect your remote laptop, home PC, or NAS privately; you still use SMB (or another file service) after the devices are connected. Tailscale is a networking layer, not a file-sharing protocol. Its plans and limits change, so check the official pricing page.

SMB, NAS, and legacy devices
Modern Windows file sharing uses current SMB versions over the network. Microsoft’s SMB overview also covers advanced SMB over TCP, QUIC, and RDMA scenarios. Do not enable SMB1 as a routine fix for an old NAS or printer. First look for firmware updates, SMB2/SMB3 support, or replacement; if an SMB1-only device must remain, isolate it on a controlled network and treat the exception as temporary.
A NAS is preferable when files must remain available while individual PCs are off and several users need centralized accounts, snapshots, or integrations. Hardware, disks, maintenance, and remote security become your responsibility, and a NAS still needs a second backup copy. Synology Drive, for example, provides Windows-compatible file management through a Synology NAS (product information).
Troubleshoot Windows file sharing in the right order
The other PC does not appear in Network
- Confirm both PCs are on the same local network.
- Set the active profile to Private.
- Enable Network discovery and File and printer sharing.
- Open
services.mscand ensure Function Discovery Provider Host, Function Discovery Resource Publication, SSDP Discovery, and UPnP Device Host are running and set to Automatic. - Ensure Windows Firewall is enabled with the file-and-printer-sharing exception.
- Test the UNC path directly instead of relying on Network view.
“Windows cannot access” the share
Check that the host is powered on, the computer and share names are exact, the share still exists, and the firewall permits file sharing. Test by IP address: success by IP but failure by name indicates name resolution. Then verify both share and NTFS permissions and that the credentials belong to an account on the host. - Cancel the prompt and open Credential Manager.
- Remove outdated Windows credentials for that host.
- Reconnect with the correct host-qualified username, such as
HOSTNAMEusername. - Confirm the account has the required password and permissions.
- For testing, create a limited local account specifically for the share.
Keeping password-protected sharing enabled and using an explicit account is safer for most networks. Disabling it may reduce friction on a tightly controlled temporary network, but it is not a universal fix.
The folder opens but files cannot be changed
Visibility and write access are separate tests. Check for Read-only share permissions, missing NTFS Modify permission, a file locked by another application, or an unexpected folder path. Some applications also impose their own locking rules.
Security checklist
- Use a Private network profile only on networks you trust.
- Share only the required folder, not an entire drive.
- Prefer named accounts and least privilege.
- Avoid Full Control for Everyone.
- Keep Windows, router, and NAS firmware updated.
- Do not expose SMB directly to the public internet.
- Maintain separate backups, including an offline or otherwise isolated copy.
For cross-platform cloud synchronization, Dropbox is another established option; review its current feature page rather than assuming plans or prices. Choose it, OneDrive, a NAS, or Tailscale based on whether your priority is internet sharing, local ownership, centralized storage, or private remote connectivity—not simply because a product advertises “file sharing.”
