If Excel’s Sort or Filter command is greyed out, first check whether the worksheet is protected. Protection settings can allow users to operate existing filter arrows while blocking sorting or the creation of a filter. If the sheet is not protected, check for grouped worksheets, an unsuitable selection, merged cells in the data area, or legacy sharing. Work through the checks below before copying or rebuilding the workbook.

Start with a quick diagnosis

  1. Click the affected worksheet tab, then open Review. If you see Unprotect Sheet, the sheet is protected.
  2. Check whether multiple sheet tabs are selected or the title bar shows [Group]. If so, ungroup the sheets before making changes.
  3. Click an ordinary cell inside the data—not a chart, heading, shape, or blank area—and try Data > Sort or Data > Filter.
  4. If the data is shared or online, check whether the file uses the old Shared Workbook feature or whether you are working in a local copy rather than the OneDrive or SharePoint workbook.

Excel’s controls and labels vary somewhat between Windows, Mac, and the web. Microsoft’s sorting instructions cover Microsoft 365 and Excel 2024, 2021, 2019, and 2016, with platform-specific differences. See Microsoft’s guide to sorting a range or table.

Check worksheet protection first

On the affected sheet, choose Review > Unprotect Sheet. If Excel asks for a password, enter it if you are authorized to do so. If the button instead says Protect Sheet, the sheet is generally not protected. Some Microsoft 365 versions also show protection controls such as Manage Protection or Pause Protection.

Worksheet protection controls what users can do within a sheet. Workbook-structure protection is different: it restricts actions such as adding, moving, deleting, hiding, or renaming sheets. For sorting and filtering cells, worksheet protection is usually the relevant setting. Protection is intended to prevent changes to locked cells, not to serve as a complete security feature. If you own the workbook and protection was applied accidentally, unprotect the sheet and try the command again. If other people rely on the restrictions, do not simply remove protection: ask the workbook owner to adjust the settings instead.

Why sorting may fail even when filtering works

Sorting changes the order of records; filtering only hides rows that do not match criteria. On a protected sheet, Excel handles these operations differently. The owner can permit sorting and use of AutoFilter when protecting a sheet, but checking Sort alone is not enough: Excel cannot sort a range that contains locked cells on a protected worksheet. This can affect a complete table that includes locked formula cells, even if its input cells are unlocked.

To let users sort while keeping the sheet protected, the owner should:

  1. Unprotect the sheet.
  2. Unlock the cells in the entire range that users need to sort. Review which cells contain formulas or other content that must remain protected; allowing sorting may require changing how those cells are protected.
  3. Choose Review > Protect Sheet and enable Sort.
  4. If users need to operate filter arrows already on the sheet, enable Use AutoFilter as well, then reapply protection.

These settings do not let users freely apply or remove AutoFilter on a protected sheet. They allow users to use existing filter drop-downs. Ungroup worksheets before troubleshooting

When multiple worksheet tabs are selected, Excel is in Group mode. Changes made on one grouped sheet may also affect the others. Grouped sheets can remain grouped after a workbook is saved and reopened, so check before sorting or changing protection settings.

  1. Look for [Group] in the title bar and for multiple highlighted sheet tabs.
  2. Right-click a selected sheet tab and choose Ungroup Sheets.
  3. Select only the sheet with the affected data, then try sorting or filtering again.

Select the actual data range

Sort and Filter are context-sensitive. Click a cell in the tabular data, then try the command. If Excel selects the wrong block, select the whole dataset yourself, including its header row. Check that each column has a clear heading and that the records form one rectangular range without unrelated titles or blank separator rows.

When the Sort dialog opens, confirm whether the range has headers. If you sort only one column by mistake, Excel may separate values from their associated records; use the full table or select a cell in it so Excel can identify the data block. A chart, shape, blank cell, or PivotTable is not the same as an ordinary data range, and selecting one can leave the expected commands unavailable or lead Excel to the wrong range.

Check for merged cells or irregular headers

Merged cells in the header or data block are a troubleshooting possibility, not a universal explanation for a greyed-out command. Their effect depends on the layout. If protection, grouping, and selection are not the cause, inspect the rectangular data range for merged cells.

  1. Select the header and data area, rather than unmerging decorative cells elsewhere on the sheet.
  2. Go to Home > Merge & Center. If the command offers Unmerge Cells, use it for merged cells within the data structure.
  3. Replace merged headings with ordinary cells and alignment or formatting, then try filtering again.

If the sheet is a print-formatted report rather than a clean table, avoid changing its layout indiscriminately. A separate data table may be safer.

Check sharing and the file’s location

Legacy Shared Workbook mode

Excel’s older Shared Workbook feature has documented limitations, including restrictions involving sorting or filtering by format. It is not the same as modern co-authoring. If you suspect the old feature is enabled, save a backup and coordinate with the workbook owner before changing the sharing setup. Co-authoring and Sheet Views

If colleagues are changing the same view, a Sheet View can let you sort or filter without disrupting their view. In supported versions, choose View > Sheet View > New, then apply the sort or filter inside that view. Sheet Views require the workbook to be stored in OneDrive or SharePoint; they are not available for a local copy. Excel for the web and desktop apps do not expose every control in exactly the same place. Opening the workbook in the desktop app can help determine whether a problem is specific to the web workflow, but it will not override protection or owner permissions.

Apply Filter or make the range a table

If the filter arrows are missing and the sheet is not protected, select a cell in the data and choose Data > Filter. If Excel does not identify the correct range, select it manually first. For a recurring rectangular dataset, you can instead select it and choose Insert > Table (or press Ctrl+T in Windows Excel), then confirm My table has headers if appropriate. Tables add filter buttons to their header row.

A table can make recurring sorting and filtering more predictable, but it is not a universal repair. It will not override sheet protection, resolve legacy sharing, or necessarily suit a report with a deliberately merged layout. Microsoft explains the range and table sorting workflow.

If data has changed and an existing filter or sort appears stale, choose Home > Sort & Filter > Reapply where available. Microsoft notes that tables save filter and sort criteria with the workbook; for ordinary ranges, sort criteria are not saved in the same way. See Reapply or clear a filter and sort.

If only this workbook is affected, isolate it safely

If the commands work in a new workbook but not this file, suspect workbook-specific protection, sharing, structure, or compatibility before assuming Excel itself is broken.

  1. Save a separate backup of the original file. Do not experiment on the only copy.
  2. Check protection, grouped sheets, the selected range, merged cells, and legacy sharing.
  3. If the data is in an older format, test a copy saved as a modern .xlsx file (or .xlsm if it contains macros). Keep the original: conversion can affect compatibility or workbook features, and is not guaranteed to fix disabled commands. See Microsoft’s sorting and filtering compatibility guidance.
  4. As an isolation test, copy the relevant data to a clean worksheet or workbook, preserving formulas if needed. Remove merged cells in the data area and test sorting and filtering before rebuilding other formatting or features.

A clean copy can help identify whether the original workbook structure is involved, but it is not a universal repair. Copying data may omit named ranges, external links, macros, data validation, conditional formatting, or other behavior. Keep the source intact and verify anything important before replacing it.

If you cannot modify the source data, formulas such as SORT, FILTER, or SORTBY may provide a separate view in Excel versions that support them. They do not enable the greyed-out ribbon commands or change the source table.

When you need the workbook owner

Contact the owner or your organization’s administrator if the sheet is protected and you do not have authorization or its password. Microsoft says it cannot retrieve a forgotten worksheet-protection password. Do not use password-removal tools as a default workaround; they can raise authorization, security, and data-integrity risks. Ask for an authorized unprotected copy or for the owner to revise the protection settings.

Frequently asked questions

Can I sort a protected Excel sheet without unprotecting it?

Only if the sheet’s owner has allowed sorting and the complete range to be sorted contains no locked cells. If either condition is not met, the owner must change the protection setup or unprotect the sheet.

Can I filter a protected sheet?

You can use existing filter arrows if the owner enabled Use AutoFilter before protecting the sheet. You cannot apply or remove AutoFilter on a protected worksheet, even with that option enabled.

Will converting the range to a table fix the problem?

It can add persistent header filter buttons to a suitable rectangular dataset, but it will not bypass protection, fix every irregular layout, or remove collaboration restrictions.

Does Excel for Mac have the same controls?

The basic sort and filter workflow is similar, but menus and protection controls can differ by platform and version. Follow the equivalent controls in the Mac app; if the file is shared, check its protection and storage state as well.

Will copying data to a new workbook remove the problem?

It may isolate a workbook-specific issue, but it does not prove the original is repaired and may leave behind important formulas or features. Back up the source and verify the copied workbook before relying on it.
