The most useful computer maintenance is simple: keep a verified backup, install supported security updates, protect the device from malware, manage storage carefully, and keep vents clear. These habits help prevent data loss and solve some common slowdowns, but they cannot fix failing hardware or make an unsupported computer secure. The schedule and steps below are practical guidelines; adjust them for your device, workload, and environment.
The essential computer maintenance checklist
- Back up important files to a separate destination and test that you can restore them.
- Install operating-system and application updates from the official vendor or your organization’s IT team.
- Keep built-in security protection and the firewall enabled; investigate unusual pop-ups, crashes, or slowdowns.
- Review storage and startup apps, removing only what you recognize and no longer need.
- Keep the screen, keyboard, and vents clean using manufacturer-approved methods.
- Watch for warning signs such as disk errors, repeated shutdowns, unusual heat, strange mechanical noises, or a swollen battery.
- Store encryption recovery information safely before relying on device encryption.
Maintenance is risk reduction, not a contest to remove as many files or processes as possible. Microsoft’s Windows performance guidance recommends practical steps such as updates, security scans, startup management, and storage cleanup, while noting that older hardware may not improve much through software changes alone.
A practical maintenance schedule
This is a starting point, not a manufacturer-mandated timetable. Dust, workload, age, and your backup setup all affect what makes sense.

Clean a computer without damaging it
- Shut down the computer, unplug the charger and peripherals, and let hot components cool. Remove a battery only if the device is designed for user removal.
- Use a soft, lint-free microfiber cloth on exterior surfaces. If a cleaner is appropriate for the model, apply a small amount to the cloth—not directly to the screen, keyboard, ports, or vents. Follow the manufacturer’s instructions.
- For loose keyboard debris, tilt the keyboard gently or use a soft brush. Do not pour or spray liquid between keys or force debris farther inside.
- Keep vents unobstructed. Use a laptop on a hard, level surface rather than bedding or carpet that can block airflow.
- Clean exterior vents gently. If using compressed air, follow the manufacturer’s instructions and use short, controlled bursts; careless use can drive dust deeper or spin a fan excessively.
Avoid abrasive towels, household glass cleaner, bleach, and solvents unless the manufacturer explicitly approves them. Do not disassemble a laptop just to remove dust if doing so risks the warranty, battery, or components. For a dusty desktop, unplug it first and use antistatic precautions; do not touch circuit-board contacts, let fans spin freely under compressed air, or put a household vacuum directly against components. Have a professional handle severe buildup or equipment you are not equipped to service. Dell’s maintenance guidance also covers cleaning, updates, security scans, backups, and hardware diagnostics.
If liquid spills on the computer
Power it off immediately if you can do so safely, disconnect power, and do not keep turning it on to test it. Follow the manufacturer’s spill guidance or seek service. A spill can damage a device even if it appears to work at first.

How to troubleshoot a slow Windows PC
Work through the likely causes in order rather than installing an optimizer or disabling processes at random.

A restart can clear temporary problems and allow an update to finish. If the slowdown returns, continue diagnosing.
- Install updates. On Windows 11, open Start > Settings > Windows Update > Check for updates. Install relevant updates and restart if asked. Use Advanced options > Optional updates only when an optional driver or firmware update is relevant to your device; optional does not mean every update is appropriate for every PC.
- Identify what is busy. Press Ctrl + Shift + Esc to open Task Manager. Review CPU, memory, disk, and network columns, and sort by the resource that appears unusually high. High usage is not automatically a fault: an update, video export, security scan, or large browser session can use substantial resources. Investigate unfamiliar processes before ending them.
- Reduce startup load selectively. Review Settings > Apps > Startup or Task Manager’s Startup apps. Disable only applications you recognize and do not need at login. Do not casually disable security software, accessibility services, touchpad or graphics components, or manufacturer utilities whose function you do not understand.
- Review storage. Open Start > Settings > System > Storage. You can review Storage Sense and Temporary files, or search Start for Disk Cleanup. Check selections before removing anything: Downloads may contain records or work, and emptying the Recycle Bin is not normally reversible.
- Check for malware. Open Start > Settings > Privacy & security > Windows Security > Virus & threat protection and run a Quick scan. For persistent concerns, consider a Full scan or Microsoft Defender Offline scan. Microsoft says malware can consume resources and affect performance; its home security guidance describes Defender Offline, which scans outside the usual Windows environment.
- Check for hardware trouble. Use diagnostics from your PC manufacturer if available. Repeated disk errors, unexpected shutdowns, persistent overheating, or clicking and grinding from a mechanical drive warrant prompt attention, especially if your files are not backed up.
Windows 10’s standard free software updates, technical support, and security fixes ended on October 14, 2025. As of September 2026, a Windows 10 PC should be treated as outside that standard support unless it has a separately documented support arrangement. Check your eligibility and options with Microsoft or your organization; installing available apps or cleanup tools does not restore operating-system security support. Mac maintenance basics
- Update macOS: On current versions, open System Settings > General > Software Update. Labels and availability vary by macOS version and Mac model. Install compatible updates from Apple.
- Find a resource-heavy app: Open Spotlight with Command + Space, search for Activity Monitor, and review CPU, Memory, Energy, Disk, and Network. A demanding app or background task can explain temporary high usage; do not force-quit unfamiliar system processes.
- Review storage: Open System Settings and look for the storage view; its location and labels vary by version. Review large files and unused apps before deleting. Do not remove unknown items from system or Library folders.
- Back up with Time Machine: Set up an external backup drive and check that it is completing. For important files, periodically restore a test item.
- Watch heat and battery condition: Keep vents clear, use the right charger, and seek service for a swollen battery, repeated shutdowns, or persistent overheating.
Cloud synchronization can be useful on a Mac, but iCloud Drive alone should not be assumed to be a complete computer backup. For Apple’s Time Machine setup, see Apple Support.
Backups: protect files and prove recovery works
Synchronization and backup are different. A sync service mirrors selected files between locations; a deletion, overwrite, corruption, or ransomware-encrypted file may also sync. A resilient plan keeps a separate copy and, ideally, a copy disconnected or otherwise protected when it is not being used.

Possible components include an external drive, a dedicated cloud backup, and cloud synchronization for selected working folders. Check what each service actually covers: some protect only chosen folders, and retention or version history varies. Cloud copies help with theft or local damage but depend on account security and provider terms. External drives can restore quickly without internet, but can be lost, damaged, stolen, or reached by ransomware if left connected. Test a backup
- Choose a noncritical file and confirm that it appears in the backup destination.
- Rename or remove the local test copy.
- Restore the backed-up copy to a different folder.
- Open it and confirm it works.
Do not conduct this test on your only copy of an important file. Before enabling BitLocker, FileVault, or another encryption feature, back up your data and secure the recovery key or recovery information somewhere you can access if the computer is lost or fails. CISA’s device-protection advice highlights these precautions. Losing a recovery key can make encrypted data inaccessible.

- Keep software current: Enable automatic updates where practical for the operating system, browser, and regularly used applications. Get drivers and firmware from the operating-system vendor or computer manufacturer, not an unsolicited updater. Businesses should follow their IT team’s change-control process.
- Use built-in protection: Keep Windows Security’s real-time protection and firewall enabled on Windows. Avoid running multiple real-time antivirus products together unless the vendors explicitly support that setup. On a Mac, install system and app updates and be cautious about downloads and permissions.
- Protect accounts: Use unique passwords, preferably managed by a reputable password manager, and enable multifactor authentication. Store recovery codes securely. Use a standard everyday account rather than an administrator account where practical.
- Lock the screen: Lock the device when you leave it unattended; a strong login password or other supported sign-in protection helps protect local access.
- Handle downloads and links cautiously: Be wary of unexpected attachments, fake software updates, browser warnings demanding a phone call, unsolicited remote-support requests, pirated software, suspicious browser extensions, and unknown USB drives. Do not install a tool just because a pop-up claims your PC is infected.
- Encrypt thoughtfully: Encryption can protect data if a device is lost or stolen, but only if you can recover access. Back up first and store recovery information safely before enabling it.
Microsoft’s security guidance recommends updates, current antivirus protection, a firewall, caution with links and attachments, and avoiding untrusted removable devices and pirated software.
Storage cleanup: remove selectively
Potential cleanup candidates include reviewed temporary files, old installers, duplicate downloads, and applications you no longer use. Large files can also be moved or archived once you have confirmed a separate backup. Check cloud-sync behavior before moving or deleting synced files.

Do not casually delete files from Windows, System, Library, driver, application-support, recovery, or other unfamiliar folders. Do not remove registry entries because a cleaner labels them unnecessary. A full drive and a failing drive are different problems: freeing space may help updates or daily use, but it does not repair failing storage. Let the operating system manage storage optimization; SSDs do not need the same routine defragmentation approach as traditional hard drives.

- Do not delete unknown system files, recovery partitions, or files just because they are large or old.
- Do not defragment an SSD as a routine manual fix.
- Do not use household liquids directly on a screen, keyboard, or port.
- Do not mistake a synchronized folder or a permanently connected drive for a complete ransomware-safe backup.
- Do not continue using a computer with a swollen battery or repeated signs of electrical or hardware failure.
Repair, upgrade, or replace?
