Excel usually blocks row insertion for a specific reason: the worksheet is protected, an object would be pushed beyond the sheet edge, the target row is inside a legacy array formula, or the data is part of a special layout such as a Table or PivotTable. Check the exact message first; it points to the right fix.

Insert a worksheet row the normal way

  1. Select a cell in the row where the new row should appear.
  2. Choose Home > Insert > Insert Sheet Rows, or right-click the row number and choose Insert.
  3. To add several rows, select the same number of row headers first, then insert. Excel adds them above the selection.

In Excel for the web, right-click the row header and choose Insert Rows. Menu wording and shortcuts can vary between Windows desktop, Mac desktop, and web versions. Microsoft documents the standard procedure for current Excel editions in its row and column insertion guide.

A full worksheet row is different from inserted cells. Insert Sheet Rows moves all rows below downward. Insert Cells shifts only selected cells right or down, which can misalign a record spread across columns.

Diagnose the problem from what Excel shows

What you see Likely cause Start here

Fix a protected worksheet

Worksheet protection can allow or deny Insert rows separately from Delete rows. If the sheet is protected, insertion may be disabled even when you can type in some cells.

  1. Open the Review tab. If you see Unprotect Sheet, the current worksheet is protected.
  2. Select Unprotect Sheet and enter the password if Excel asks for it.
  3. Try inserting the row again.

If you do not have authorization or the password, ask the workbook owner to unprotect the sheet or enable row insertion. Microsoft says it cannot retrieve a forgotten worksheet-protection password; see its worksheet protection guidance. An owner who needs to preserve other restrictions can allow Insert rows when setting sheet permissions.

Do not confuse worksheet protection with workbook-structure protection. Workbook structure governs actions on sheet tabs, such as inserting, deleting, moving, renaming, hiding, or unhiding worksheets; it is not normally the reason a row cannot be inserted inside an existing sheet. Resolve “Cannot shift objects off sheet”

This specific error means Excel cannot shift worksheet content without pushing an object beyond the grid. The object might be a note or comment, picture, chart, shape, control, or another embedded item. Hidden objects can still matter even when the sheet looks empty. Microsoft describes the cause and troubleshooting in its current explanation of the message.

1. Show hidden objects

In Windows desktop Excel, press Ctrl+6 once and retry the insertion. In versions that provide the setting, use File > Options > Advanced > Display options for this workbook > For objects, show: All. These instructions are primarily documented for Windows desktop Excel; do not assume the same shortcut behavior or Options path on Mac or the web. Showing objects reveals them but does not remove them.

2. Inspect the worksheet edges

Press Ctrl+End to go to the last used cell, then inspect the bottom and right edges for objects. Check hidden rows and columns too. Microsoft’s detailed troubleshooting page discusses objects near the worksheet limits. Move or resize an object that is needed; delete it only if you know it is obsolete.

3. Adjust how an object follows cells

If the object should remain attached to the grid, select it and open its formatting or properties settings. Where available, choose Move and size with cells, then retry. The setting’s location and exact wording depend on the object type and Excel version. Microsoft’s detailed page describes this as a possible workaround, not a universal setting for every object.

Check for a legacy array formula

Older Ctrl+Shift+Enter (CSE) formulas can occupy a multi-cell array range. Excel does not allow row or column insertion or deletion through the middle of an active legacy array range. Signs include a formula displayed in braces, such as {=SUM(A1:A10*B1:B10)}, or a message that you cannot change part of an array. The braces are Excel’s display for a legacy array formula; they are not typed as part of the formula.

  1. Select the whole array range, not just the cell in the target row.
  2. Copy or record the formula before changing it.
  3. Remove or revise the entire range, then insert the row.
  4. Recreate the formula over the intended range and check its results.

Current dynamic-array-capable Excel versions can return multiple results from a formula in one top-left cell, with results spilling into neighboring cells. Legacy CSE formulas remain supported but have stricter editing rules. Check Tables, PivotTables, merged cells, and filters

Adding a record to an Excel Table

If the data is formatted as an Excel Table, add the record through the Table’s row workflow or enter it directly beneath the Table if that is the intended next record. Confirm that the new row is included in the Table range and that any calculated columns or structured references behave as expected; an ordinary worksheet-row insertion does not always express the intent to add a Table record.

Working near a PivotTable or spilled formula

Do not treat the generated output of a PivotTable as ordinary data to edit. If a spilled formula or PivotTable reports #SPILL! after a change, check whether its output area is blocked by existing content, merged cells, a Table, or the worksheet edge. Microsoft documents spilled-array behavior, general #SPILL! troubleshooting, and PivotTable spill errors. Merged cells are a possible spill obstruction, not a universal explanation for ordinary row-insertion failures.

Inserting while a filter is active

Decide whether the new row belongs in the underlying dataset or only among the records currently visible. A full worksheet row can affect hidden records too, so avoid inserting based only on what the filtered view shows.

Check the worksheet boundary

An Excel worksheet has a maximum of 1,048,576 rows and 16,384 columns. Excel cannot add another row below the final worksheet row. Microsoft lists these grid limits in its insertion and deletion guide. Put additional data on another worksheet, split the dataset, or move it to a database or other suitable data system. Remove existing rows only when you are certain their contents are no longer needed.

If the cause is still unclear

  1. Save a separate copy of the workbook before removing objects, formulas, or data.
  2. Open a blank workbook and try inserting a row there. This is an isolation test, not proof of a particular cause: if it works, focus on the affected workbook; if it fails too, investigate Excel itself, add-ins, or application-level issues.
  3. If only the original workbook has the problem, inspect its protection, objects, array formulas, Tables, PivotTables, and layout. If no blocker is apparent, copy the data to a new workbook and test whether the issue persists.
  4. If the file is shared or protected, ask its owner or your organization’s IT team before changing unfamiliar objects or formulas.

If an insertion or deletion produces an unwanted result, use Ctrl+Z immediately to undo it. Microsoft documents undo for row, column, and cell changes in its row and column guide.
