Yes. You can have two or more Microsoft accounts and use them side by side, but Microsoft does not let you merge two existing accounts into one. Each account keeps its own email, files, purchases, settings, and security details. The right setup depends on whether you need separate Windows users, extra mailboxes, work and personal storage, or a subscription for another person.
What counts as a Microsoft account?
A personal Microsoft account is the identity used for consumer services such as Outlook.com, personal OneDrive, Xbox, Microsoft Store, Microsoft 365 Personal or Family, and Family Safety. It can use an Outlook.com or Hotmail address, or a third-party address such as Gmail. A Gmail address used to sign in to Microsoft is still a Microsoft account for Microsoft services; it does not turn those services into Google services.
A work or school account is different. An employer or school usually creates and manages it through Microsoft Entra ID for access to organizational services such as Microsoft 365, Teams, SharePoint, and OneDrive for work or school. It is a separate identity, not an upgraded version of a personal account. Microsoft explains the difference between personal and work or school accounts.
One email address can sometimes be associated with both a personal Microsoft account and an organization’s account. If Microsoft asks “Which account do you want to use?”, choose Personal account for consumer services such as Xbox or personal Outlook, and Work or school account for your organization’s resources. Choose a setup for what you need

Using two accounts on one Windows PC
Windows supports multiple user accounts on a PC. A separate Windows user is the clearest choice when different people share a computer, or when you want stronger separation between work and personal activity. Each user has their own sign-in, desktop, settings, local files, browser favorites, and app preferences. Microsoft describes separate Windows accounts as a way for people sharing a PC to keep their sign-in information, files, favorites, and desktop settings distinct. One person can also stay in one Windows profile and add accounts to individual apps. That is convenient if you only need another mailbox or cloud location, but it is not the same as creating another Windows user: apps may mix personal and work activity in one session, and you can more easily save to or sign in with the wrong identity. Separate Edge profiles can also help keep browser settings and browsing activity apart; Microsoft account support describes using separate browser profiles for separate account contexts.
Use separate Windows users when the PC is shared, work data needs a clear boundary, or an organization manages the work account or device. Use one Windows user with multiple app accounts when convenience matters more and complete separation is not necessary. A separate Windows profile does not override an employer’s or school’s policies for its account and files.

Using two accounts in Outlook
Outlook can generally access multiple mail accounts, including personal Microsoft accounts, Gmail, and work or school accounts. The exact steps and available features differ across Outlook on the web, new Outlook for Windows, classic Outlook for Windows, Outlook for Mac, and Outlook mobile, so use the instructions for the version you have rather than assuming one menu path applies everywhere.
Adding an account to Outlook lets you use its mailbox in the app. It does not merge that mailbox with another one. An alias is different: it is another email address or sign-in identifier associated with the same personal Microsoft account. You cannot attach a second, already existing Microsoft account as an alias to the first. Microsoft distinguishes adding an account to Outlook from combining accounts.
Using two accounts with OneDrive
Personal OneDrive and work or school OneDrive remain separate storage locations, with different accounts and potentially different policies. You can use personal and organizational files side by side in supported setups, but organizational folders do not simply become folders inside personal OneDrive. Files may be copied or moved when the service and your organization permit it.

Before copying a work or school file to personal storage, check your organization’s rules. Administrators may apply access, retention, security, or other controls to organizational data. A copy or move can also fail to preserve sharing permissions, version history, retention labels, or collaborative links. Sharing a file is not the same as combining storage.
Do not assume the OneDrive desktop app can synchronize multiple personal accounts at once. Microsoft’s account guidance confirms personal and work/school use, while a Microsoft Support community response describes the desktop app as supporting one personal account and multiple work or school accounts. App behavior can vary by platform and version, so check the current OneDrive app and support information for your setup.
Using two accounts with Microsoft 365 and Office
A Microsoft account is an identity; Microsoft 365 is a subscription or organizational service associated with an identity. License ownership, Windows sign-in, the account signed into an Office app, the mailbox in Outlook, and the OneDrive location for a document are related but separate things. You may use a personal account that owns a Microsoft 365 subscription and a work or school account that provides access to organizational email or files. Microsoft 365 Family shares subscription benefits with up to five other people, for six users total. Each person uses their own Microsoft account; it does not create a shared family login or merge anyone’s files or email. Microsoft describes up to 1 TB of OneDrive storage per person, subject to the current plan and region. Check Microsoft’s Microsoft 365 home and school FAQ for current sharing details.
For U.S. buyers, Microsoft’s product comparison page listed Microsoft 365 Personal at $9.99 monthly or $99.99 annually, and Microsoft 365 Family at $12.99 monthly or $129.99 annually, when checked on August 18, 2026. Prices, taxes, promotions, plan names, and availability can change; check the current Microsoft 365 comparison page for your region. If you only need a second account, a subscription purchase will not merge accounts or transfer their data.

If you only want another address for one personal account, an alias may be the right choice. If you want distinct mail, storage, sign-in, or account history, create a separate account instead. To create or manage an account, start at Microsoft account management. Account creation options can vary by region and by address availability.

Can you merge two Microsoft accounts?
No—not in the sense of combining two account identities into one. Microsoft says personal Microsoft accounts cannot be linked, merged, or combined, and a personal account cannot be merged with a work or school account. There is no general migration button that transfers all of an account’s history and entitlements. Items such as Xbox progress, gamertags, Microsoft Store purchases, account balances, subscriptions, and account-specific OneDrive or Outlook identities generally stay with the original account. You can still reduce the inconvenience without merging accounts: add both mailboxes to Outlook, use separate OneDrive locations where supported, share files where permitted, create distinct Windows or Edge profiles, or share Microsoft 365 Family benefits rather than sharing a password. You may be able to download or export data from one account and upload or import it to another, depending on the service. That does not transfer purchases, subscriptions, Xbox progress, or other account-bound history.
Common problems and what they mean
- “I can’t add my second account as an alias.” That is expected for an existing Microsoft account. An alias belongs to one account; it does not link two independent accounts.
- “I keep seeing Personal or Work or school.” The email address may identify two distinct account contexts. Choose the one that owns or provides the service you are trying to reach.
- “My second account can’t see the same OneDrive files.” Storage is account-specific. Share files or move/copy them where permitted; adding an account does not combine its storage.
- “Office says I need a license.” The account signed in for a mailbox, Windows, or a file may not own a license for the desktop apps. Check which account owns the subscription and which account the Office app is using.
- “I bought Microsoft 365 twice but got no extra storage.” Multiple consumer subscriptions on the same account generally extend subscription time rather than increasing storage or device limits. Check the current plan terms before buying again.
- “I moved to the new account and lost access to something.” The old account may still own the subscription, files, purchases, or recovery options. Do not close it until you have checked them.
Before you stop using an old account
Keep the old account active until you have checked its subscriptions and recurring billing, Microsoft Store purchases, Xbox content and progress, OneDrive files, Outlook messages and contacts, and account recovery details. Update recovery email addresses, phone numbers, and multifactor authentication methods for each account. Never share a password just to share Microsoft 365; use Family sharing where appropriate. Treat work or school files as organizational data and follow your employer’s or school’s rules, even if you use them on a personal computer.
