Microsoft OneNote is the best note-taking app for most Windows 11 users. It offers the most balanced combination of a mature Windows desktop app, handwriting, rich media, search, notebook organization, Microsoft 365 integration and cross-device access. The better choice changes with your workflow: use Obsidian for local Markdown files and linked thinking, Notion for team workspaces and databases, Joplin for open-source Markdown notes and flexible sync, Standard Notes for privacy-focused text, and Simplenote or Google Keep for quick capture.

“Best” is determined less by feature count than by how you capture notes, work offline, retrieve information, collaborate and retain ownership of your data.

How to choose a Windows 11 note app

Evaluate the daily workflow rather than counting templates. The following questions expose the important differences.

Windows experience

Check whether the app has a responsive native desktop client or mainly wraps a website. Startup time, keyboard navigation, multiple windows, monitor support, notifications and quick-capture commands matter when a note must be taken during a meeting. Also check the platforms you actually use: Android, iPhone, iPad, Mac, Linux and a browser.

Capture methods

Decide whether you need only typed text or also checklists, handwriting, pen input, images, PDFs, files, audio, video, web clipping, screenshots, OCR, voice recording or transcription. Surface owners and students annotating lecture slides should treat pen support as a primary requirement, not a bonus.

Organization and retrieval

Traditional notebooks use folders, sections, pages and tags. Knowledge-base tools add backlinks, graph navigation and plain-text links. Workspace tools add databases, properties, views and filters. Search quality, saved searches, templates and calendar or task integration often matter more than visual design.

Offline behavior

“Offline” is not a single feature. Confirm whether the app can open without a connection, read cached notes, create and edit notes, search its index, keep attachments available, and queue changes for later synchronization. Collaboration changes may need conflict resolution after reconnection.

Sync, portability and security

Identify who controls synchronization: the vendor, OneDrive, Dropbox, WebDAV, iCloud or a file-sync service. Ask whether conflicts have version history and recovery. Separate local storage, exportability, encrypted synchronization and end-to-end encryption; they are not interchangeable. A local file still needs encrypted devices, backups and safe synchronization.

Price and the real cost of “free”

Compare storage, attachment size, device count, upload allowances, version history, collaboration, AI limits and export formats. A free app may shift the cost to manual backups, third-party sync, migration work or maintenance time.

Microsoft OneNote: best overall

OneNote is the strongest default for most Windows 11 users. Its notebook–section–page hierarchy works for classes, meetings and projects, while its free-form canvas lets you type, draw, paste, position content and mix rich text with images, files, links, tables and recordings. Handwriting and pen input are particularly strong on Surface devices.

Windows 11 version to install

Do not select the retired “OneNote for Windows 10” app as your primary installation. Microsoft’s version guide distinguishes OneNote for Microsoft 365, OneNote 2024, older editions, web and mobile clients. Use the current OneNote desktop application supported on Windows 11, as explained in Microsoft’s version comparison.

Offline, sync and drawbacks

OneNote clients can keep notebooks available for reading and editing offline, then synchronize when connected. Mainstream use is cloud-connected through a Microsoft account and OneDrive. The free-form canvas can become untidy without consistent page names and tags, and OneNote is less natural than Obsidian for backlinks or Notion for relational databases. Users who require plain files outside the app, dislike Microsoft accounts or want strictly local storage should choose another model.

Cost

Standalone OneNote use is available at no charge, with optional Microsoft 365 benefits. Microsoft’s U.S. page displayed Microsoft 365 Personal at $9.99 per month and Family at $12.99 per month when checked August 16, 2026; annual billing, promotions, taxes and regional prices can differ. Personal includes desktop Office apps and 1 TB of OneDrive storage according to that page. Recheck the current plan page before buying.

Choose OneNote for handwriting, mixed media, Microsoft 365, meetings or paper-notebook replacement. Skip it if local Markdown ownership or database-style project management is non-negotiable.

Obsidian: best for local Markdown and connected thinking

Obsidian stores notes as local Markdown files. Backlinks, ordinary links, folders, tags, graph view, themes and community plugins support research, writing, programming and personal knowledge bases. Markdown remains readable in other editors, which reduces dependence on a proprietary archive.

The trade-off is responsibility. You design the vault, choose backup and synchronization methods, and test how plugins behave. Official Sync is a separate service; free local use, official paid sync, third-party synchronization and self-managed backups are different choices. The official entry points are Obsidian and its pricing page.

Obsidian is a poor first choice for frictionless real-time collaboration, primary handwriting or shared computers where a web app is required. If you synchronize a vault with a generic file-sync tool, avoid simultaneous edits from multiple devices and keep independent backups.

Notion: best for teams, databases and project pages

Notion is a workspace platform rather than a traditional notebook. Pages, databases, properties, filters, views, tasks, wikis and templates can connect meeting notes to projects and documentation. Its Windows desktop app and shared workspaces suit teams, freelancers and students managing assignments.

That flexibility creates configuration and maintenance overhead. Notion is not equivalent to a local-first app, and offline behavior varies by page and device; test the exact workspace you depend on. On the Free plan, the official pricing page states a 5 MB per-file limit for images, videos and file attachments. Plans also differ in collaboration, automation, administration and AI. Choose Notion when notes belong inside a shared project system. Skip it for fast offline text, local Markdown files or handwriting-first work.

Joplin: best open-source notebook alternative

Joplin combines open-source desktop and mobile apps, Markdown notes, notebooks, tags, attachments and web clipping. It is designed for offline use and offers multiple synchronization routes, including Joplin Cloud and compatible self-managed services. That makes it attractive to Evernote migrants and readers who want more control than a cloud-only workspace.

The interface is less polished than OneNote or Notion, and synchronization requires understanding the chosen provider. Handwriting and real-time team editing are not its focus. Joplin Cloud displayed a starting price of €6.69 per month when checked August 16, 2026; billing period, tax, region and plan limits can change. Verify the official plans page. Evernote: best when capture and an existing archive come first

Evernote remains relevant for users with a large existing library, heavy web clipping, scanned documents, receipts, PDFs and mature search expectations. It is less compelling as a default new purchase because subscriptions, free-tier restrictions and proprietary-cloud dependence affect the long-term cost.

Check current device, upload, storage and export limits at Evernote’s pricing page. Microsoft says its legacy Evernote-to-OneNote Importer was retired in September 2022; do not assume a one-click official migration route. Its guidance is at Microsoft’s Evernote migration page. Preserve the original archive until a sample migration confirms attachments, tags, links, OCR and formatting.

Standard Notes: best privacy-first text notebook

Standard Notes is aimed at private, encrypted text notes, journals, credentials and personal records. Its focused interface is less distracting than a workspace, but it is not the natural choice for free-form pen work, PDFs, large media collections or relational project planning.

Encryption claims must be read in context: distinguish end-to-end encryption, encryption at rest, local storage, account security and backup protection. Check current plan details at standardnotes.com and its pricing page before subscribing.

Simplenote and Google Keep: lightweight choices

Simplenote

Simplenote is a fast, low-friction choice for plain text, lists, drafting and short reference notes. It is not designed for handwriting, complex attachments, databases or a multimedia archive. Find the app and downloads at simplenote.com and its downloads page.

Google Keep

Keep excels at quick notes, checklists, reminders, labels and photos for Google-account users. On Windows it is primarily a web experience, with limited hierarchy and long-form organization. Use keep.google.com when capture speed matters more than a durable knowledge base.

Offline and sync checks before committing

  1. Disconnect the device and open several existing notes.
  2. Create, edit and search notes while offline.
  3. Open representative attachments, including PDFs and images.
  4. Reconnect and confirm that edits synchronize without duplicate or missing content.
  5. Edit the same note or file on two devices only after you understand the app’s conflict behavior.
  6. Export a small sample and verify that text, links, attachments and metadata remain usable outside the app.

Synchronization is not a backup. Keep an independent copy, especially before changing providers or importing a large archive.

Migration checklist for Evernote or another old app

  1. Export the original library before changing anything.
  2. Work from a copy and test a small set containing notebooks, tags, attachments, internal links and OCR content.
  3. Compare the destination search results and file attachments with the originals.
  4. Keep the old app and archive available until the verification is complete.
  5. Set up an independent backup and document the chosen sync method.
  6. Do not run multiple generic file-sync tools against the same local database or vault unless the application explicitly supports that arrangement.

Final decision tree

  • Need handwriting or a Surface-friendly notebook? Choose OneNote.
  • Need team databases, tasks and project pages? Choose Notion.
  • Need Markdown files and backlinks? Choose Obsidian.
  • Need open source with flexible synchronization? Choose Joplin.
  • Need encrypted personal text? Choose Standard Notes.
  • Need quick plain-text capture? Choose Simplenote.
  • Need reminders and short lists in Google? Choose Keep.
  • Already have thousands of Evernote notes? Measure migration risk and archive value before switching.
