Asana, ClickUp, monday work management, Smartsheet, Wrike, and Jira suit different work styles—and coordinating tasks across projects is not the same as managing a project portfolio. If leaders need to compare priorities, capacity, investment, and strategic fit across projects, verify that a finalist offers those portfolio capabilities on the plan you would actually buy.
This shortlist is a starting point, not a claim that the products were tested side by side here. Comparison sources use different methods, and some are vendor-published. Treat plan features and prices as items to confirm with each vendor before choosing.
Project tracking or portfolio management: which do you need?
Multi-project tracking helps teams coordinate work spread across several projects: tasks, owners, deadlines, dependencies, and progress. Portfolio management adds a leadership layer for deciding which projects to fund, prioritize, pause, or staff. It can include cross-project capacity planning, resource allocation, financial rollups, and strategic alignment.
A shared dashboard may provide useful visibility without supporting those broader portfolio decisions. In particular, a workload display is not necessarily full capacity planning. Dupple’s 2026 portfolio guidance makes this distinction between lighter workload views and more complete capacity planning; confirm what a product actually does before treating a dashboard as a portfolio tool.

Best multi-project management software by use case
These are use-case matches, not a universal ranking. Compare the exact views, reporting, and plan entitlements your team needs.
Asana: task coordination and team collaboration
Consider Asana if your work is organized around team tasks and collaboration, especially in marketing or operations. A 2026 comparison positions it as an easy-to-deploy work-management option. Before committing, confirm which plan includes the multi-project and portfolio views you need; the product name alone does not establish that those features are included at your budget.

ClickUp: consolidating different kinds of work
ClickUp may suit teams trying to bring multiple work types into one platform. ClickUp’s own 2026 comparison describes tasks, documents, goals, sprints, time tracking, and whiteboards. That comparison is vendor-published, so use it as a description of ClickUp’s positioning rather than an independent verdict. Check whether the combination is useful to your team or creates unnecessary configuration and training.
monday work management: configurable, visual workflows
Consider monday work management when configurable boards and visual workflow customization matter. Confirm the seat minimum and the plan needed for the views and automations your team expects. Third-party comparison pages report seat minimums, but those figures were not verified directly with monday for this article.

Smartsheet: spreadsheet-oriented and structured planning
Smartsheet is a candidate for teams comfortable with a sheet-centered way of working, particularly when planning is structured or data-heavy. Evaluate its reporting, portfolio, and resource-management capabilities against the rigidity of that workflow, and include any required add-ons in the cost calculation.
Wrike: cross-functional coordination and governance
Wrike may fit cross-functional organizations with more complex workflows, permissions, governance, or resource-coordination needs. Its enterprise positioning and security claims in the comparison material are vendor-authored. Validate the capabilities, controls, and security documentation for the specific edition under consideration against your organization’s procurement requirements.

Jira: software teams using agile planning and issue tracking
Jira is worth considering when multiple projects are software-development efforts that already rely on agile planning and issue tracking. Its strength in development workflows does not, by itself, make it the right choice for nontechnical portfolio reporting. Test how stakeholders outside engineering will see status, dependencies, and priorities.
Compare the shortlist against the same requirements
Give each finalist the same real-world scenario—such as a set of active projects with shared people, dependencies, and a change in priority—then assess these requirements:

- Cross-project visibility: Can the people who need it see status, dependencies, risks, and milestones across projects without manually rebuilding reports?
- Capacity and resource planning: Does the tool model capacity across teams, or only display assigned work? Check whether it supports the decisions your resource managers make.
- Portfolio decisions: Can sponsors compare project value, investment, and strategic alignment so they can prioritize work, pause projects, or reallocate resources?
- Workflow fit and adoption: Can the team represent its current way of working without excessive configuration or training? Try the relevant board, grid, list, timeline, Gantt, or agile views with actual work.
- Reporting, collaboration, and integrations: Test the reports and connected systems your team uses. A general integration count does not establish that a particular connection or workflow will work for you.
- Governance and security: Larger organizations should check permission controls, audit and governance needs, compliance requirements, data handling, and administration with vendor documentation and procurement teams.
- Total cost and feature gates: Confirm billing interval, seat minimums, how guests and members are counted, add-ons, storage, plan-specific portfolio features, and implementation costs.
Price snapshots: use them to frame questions, not to choose a winner
The amounts below are third-party or vendor-published comparison snapshots, not verified current vendor quotes. They are not a like-for-like price comparison: sources differ on plan labels and amounts, and the billing basis, region, seat rules, and feature entitlements are not consistently established.

The University of Michigan ITS comparison says its 2026 ratings are averages of assessments by multiple AI models, with accessibility ratings still under review; those ratings are not controlled product-test results. ClickUp says its vendor-published comparison evaluated ten tools with a simulated ten-person team on a four-week project, measuring task management, collaboration, reporting, integrations, onboarding, and price value. G2’s 2026 article says it analyzed review data and presents monthly prices as guide snapshots. TechnologyAdvice reports hands-on testing and discloses that some vendors may pay it for traffic or sales opportunities. Wrike’s enterprise guide is vendor-authored and includes Wrike among the compared products.
Those methods offer different kinds of evidence, not a shared benchmark. Prices can also conflict across comparison sources. Confirm the current price and plan terms directly with vendors for your region and buying arrangement before budgeting.
Choose for the decision you need the software to support
If your main problem is keeping tasks and deadlines aligned across several projects, prioritize a workflow the team will actually adopt, then verify cross-project views and reporting. If the central problem is deciding which projects deserve people and investment, prioritize portfolio-level capacity and decision support, not just a roll-up dashboard.

For each finalist, have the people who will use it walk through the same sample portfolio. Include a project that shares staff with another, a dependency at risk, and a proposed priority change. Check whether the tool makes the resulting status and trade-offs clear to both the delivery team and leadership, then price the exact plan and seat mix required.
