The best business phone is the system that matches how your team works—not a universally “best” brand. For most small businesses, start with a cloud-hosted VoIP service that supports desktop and mobile apps, then add compatible desk phones only where a dedicated handset improves the workflow. Compare each provider’s complete plan, call features, integrations, support, device compatibility and network requirements before signing up.
What “business phone” should you buy?
A business phone setup has two separate decisions: the service that carries and manages calls, and the device employees use. Cloud phone services can place calls through browser or desktop software, smartphone apps, and physical IP desk phones. A team may therefore need no handset at all, while a receptionist, shared office or call-heavy user may benefit from one.

Published comparisons can help create a shortlist, but they are editorial recommendations rather than a controlled head-to-head reliability test. The source’s displayed starting prices are dated commercial claims, not guaranteed 2026 quotes. Confirm pricing directly with the provider, including billing period, taxes, fees, number porting, extra numbers, usage charges and add-ons.
Six checks that determine the right system
1. Call handling
List the functions your callers actually need: auto-attendant menus, business-hours routing, ring groups, queues, voicemail, call forwarding, recording, shared numbers and transfer rules. Do not pay for an advanced contact-center tier if a simple receptionist queue and voicemail are sufficient.

2. Users, locations and growth
Count licensed users, shared phones, locations and seasonal staff. Ask how numbers, extensions and emergency addresses work when employees move between offices or work remotely.
3. Apps and desk-phone support
Check whether Windows or macOS apps, iOS or Android apps, browser calling and physical SIP phones are all supported on the plan you want. A provider may support desk phones only on particular models, firmware versions or subscriptions.

4. Integrations
Verify connections to the tools your team already uses—such as CRM, help-desk, calendar or collaboration software—and confirm which features are included rather than sold as add-ons.
5. Support and administration
Compare support hours and channels, onboarding help, number porting assistance, admin controls, reporting and service-status communication. A low monthly price may not compensate for slow help during a number-port or outage.

6. Network and emergency calling
Ask for the provider’s requirements for bandwidth, firewall rules, quality-of-service settings and emergency-calling addresses. Requirements are service-specific. For example, TechRadar reports that GoToConnect recommends a business-standard router, a QoS-capable Ethernet switch and firewall configuration for relevant traffic; that advice should not be generalized to every provider. Choose a handset when someone answers calls continuously, needs physical hold and transfer keys, shares a reception position, or prefers a speakerphone and wired or wireless-headset workflow. It is optional: hosted service apps can cover many desk-based jobs without dedicated hardware.

Before buying, obtain the provider’s supported-device list and confirm provisioning method, required licenses, firmware, power (PoE or adapter), headset connector and return policy. Compatibility is not universal across providers.

If you specifically need a VoIP handset or base station with speakerphone and wireless-headset support, treat those as specification requirements. Confirm Bluetooth or DECT support, headset profiles, microphone behavior, and whether the service exposes hold, transfer and queue controls on that model.
A practical selection process
- Document the workflow. Record users, locations, business hours, current numbers, call volume, remote work and required routing.
- Create a must-have list. Separate essential features from desirable ones, and note required CRM or collaboration integrations.
- Shortlist two or three hosted services. Use independent comparisons for orientation, then read each provider’s current plan and device documentation.
- Request a complete quote. Include recurring licenses, taxes, fees, numbers, porting, recording, hardware, support and any one-time setup charges.
- Test the real call path. During a trial or demo, place inbound and outbound calls, transfer between users, test voicemail, apps, desk phones, headsets and mobile handoff.
- Validate the network and emergency setup. Follow the selected provider’s router, firewall, QoS and emergency-address guidance rather than a generic checklist.
- Buy hardware only after confirmation. Order supported phones from a source with an appropriate return window, then verify provisioning before deploying widely.
What the available comparisons cannot establish
The cited 2026 material does not provide a consistent, independently measured reliability test across providers or a complete, comparable total-cost-of-ownership calculation. Prices and plan terms change, and displayed starting prices are not all-in quotes. Your final decision should therefore rest on a current provider quote, documented compatibility and a workflow test—not on a universal “best” label.

Bottom line: Start with a cloud VoIP service that covers your call flow and existing tools. Add a compatible desk phone only for roles that genuinely benefit from a dedicated handset, and verify current pricing, network requirements, emergency calling and model support directly with the selected provider.
