Apple Preview brings everyday PDF and image tasks into one iPad app. It can scan documents, fill and sign forms, annotate PDFs, make basic image adjustments, export files, and password-protect PDFs. That makes it a useful free tool for routine paperwork—but not a full replacement for a professional PDF editor, a notebook app, or Mac Preview’s broader document workflows.
The practical change is consolidation: tasks that might otherwise send you between Files, Markup, Notes, and a scanning app now have a dedicated home. Whether that saves you time depends on how often you work with documents and how much control you need over them.
What Preview changes on iPad
Before Preview, an iPad document workflow could involve opening a file in Files, using Markup for a quick note, scanning through Notes or another app, and finding a separate tool when a form needed a signature or a PDF needed a password. Preview brings many of those everyday jobs together in one place.

Apple describes Preview as an app for viewing and working with PDFs and images, with scanning, Apple Pencil markup, form AutoFill, signatures, image adjustments, export, and PDF password protection. Its documented strengths are completing and marking up documents—not comprehensively rewriting a PDF’s original text and layout. Apple’s iPad Preview guide is the clearest reference for the available controls and workflows.

That distinction matters. Adding a highlight, text entry, drawing, or signature is annotation or form completion. It is not the same as editing the original paragraphs, rebuilding a complex layout, or managing a document review process.
Finding files and getting started
Preview’s starting screen includes Recents, Shared, and Browse. Browse provides access to PDFs and images through Files, including files in locations that Files exposes. The app is therefore a document workspace, not a separate storage system that requires importing every file into a new library.
That arrangement should feel familiar if you already use Files: locate a document in a storage location, then open it in Preview for a task that calls for more than a quick glance. Apple also positions Preview within iPadOS 26’s windowing system, which supports multiple app windows. That can be useful when comparing documents or keeping a PDF beside Mail or Notes, although the exact experience depends on the iPad model and how you arrange windows.

Scanning: one of Preview’s most useful jobs
To start a scan, open Preview and tap Scan Documents. Apple says Preview can capture multiple pages, crop and rotate them, adjust scan colors, and save the result as a searchable PDF. This makes it a natural option for receipts, school handouts, signed paperwork, and other documents you want to keep as files rather than as images in a note.
For a clean scan, place the page on a contrasting, evenly lit surface and keep the iPad steady. Review the page boundaries before saving; automatic edge detection can need correction when paper is skewed, the background is similar in color, or shadows obscure an edge. Add each page to the same scan before finishing if you want a multi-page PDF.
“Searchable” is useful, but it should not be read as a guarantee of perfect text recognition. A page can look clear while OCR still misreads small print, unusual typefaces, tables, colored backgrounds, or handwriting. After scanning an important document, try searching for a distinctive word and inspect the result. If the text is not found or is wrong, the scan may still be visually usable, but you should not rely on it as an accurate text record.

Markup and Apple Pencil
Preview supports document annotation, including highlighting, underlining, strikethrough, and drawing. To mark text, select it and choose Highlight, then select the desired treatment. Apple Pencil is helpful for handwritten notes, signatures, and sketches, but is not required for basic viewing, scanning, typed form entries, or many markup tasks.

This is a good fit for marking a passage to revisit, circling a figure, or adding a quick note before sharing a PDF. It is less suitable as a complete academic annotation system if you depend on extensive comment threads, structured review, or long-term notebook organization. Preview’s document-centered approach also differs from a freeform canvas: it works on a PDF or image, rather than replacing apps designed for notebooks or brainstorming.
When sharing an annotated document, check the exported or shared copy in the viewer your recipient will use if the annotations are important. The supplied Apple documentation establishes that Preview supports markup, but does not establish every annotation’s behavior across all third-party PDF readers or every export format.
Filling forms and adding a signature
For a PDF form, open the document and tap AutoFill. Select a field to enter information or choose a suggested contact detail. Apple also documents adding a signature with a finger or Apple Pencil.

A properly constructed PDF form has fields that software can identify. A scanned page or a PDF with no interactive fields may require placing text manually, if the available controls allow it; do not assume AutoFill can turn every printed blank into a recognized field. Review the completed document before sending it, especially where text needs to fit a narrow box or a signature must sit on a particular line.

Think of the signature feature as placing a visual signature on a document. The documented workflow does not establish that Preview creates a certificate-based digital signature or provides a business e-signature audit trail. If a recipient or organization requires a specific signing standard, confirm that requirement before using a simple visual signature.
Basic image tools, not a photo editor
Preview can handle lightweight image tasks such as cropping, rotating, flipping, resizing, markup, and removing an image background. Apple documents background removal through More → Remove Background while an image is open. These tools can be handy for a quick cleanup of a scan, screenshot, or other image you are already handling as a file.
That is different from a full image-editing workflow. Preview is not positioned as a substitute for a dedicated photo editor when you need layered work, detailed retouching, or extensive color control. Before using an adjusted image as a final asset, check its appearance and transparency in the destination app or export format.

Exporting and protecting PDFs
The App Store listing names export formats including HEIC, JPEG, JPEG-2000, PDF, PNG, and TIFF. The available choices can depend on the file and operation; a list of export formats does not mean that every format can be opened and edited in the same way. Exporting a PDF page as an image also changes what the recipient receives: image output does not preserve the PDF’s selectable text as text.

To password-protect a PDF, open it, tap the actions menu beside the filename, tap Lock, enable Require Password, then enter and verify the password. This is PDF password protection—not redaction, enterprise rights management, or a substitute for a required signing and compliance system. Keep the password somewhere safe: if it is lost, access may be difficult or impossible. Also verify whether you are protecting the intended copy and whether any unprotected original remains elsewhere.
Where Preview fits—and where it does not
- Files and Markup: Still convenient for a quick look or one-off annotation. Preview is more appealing when scanning, form filling, export, or a document-focused workspace is part of the job.
- Notes: Better suited to collecting scans alongside written context and organizing them as notes. Preview is more direct when the end product is a PDF or image file you need to complete and share.
- Freeform or a notebook app: Better for a large, open canvas or organized handwritten notebooks. Preview’s blank-page drawing is a utility, not a reason to treat it as a full whiteboard or notebook replacement.
- Dedicated PDF apps: Consider tools such as PDF Expert or Adobe Acrobat if your work depends on deeper PDF editing, advanced review, collaboration, or business signing workflows. Their capabilities and plans vary; compare the specific features you need.
For students, Preview can be enough for occasional reading, highlighting, and submitting a form. Students who build handwritten notebooks or heavily annotate course materials may prefer an app designed around that workflow, such as Goodnotes. For office users, scanning, signing, and simple form completion are the strongest reasons to try Preview; complex approvals and compliance needs call for a more specialized process.
Availability
Preview is listed as free and requires iPadOS 26.0 or later in the U.S. App Store listing. It is not available on every iPad: check Apple’s current iPadOS compatibility guide for supported models. Apple announced Preview as part of iPadOS 26 on June 9, 2025; compatibility and individual feature availability can change with software updates, region, and language.
Verdict
Preview’s value is less about inventing new document capabilities than making common ones easier to reach together. If you occasionally scan, mark up, sign, or fill a PDF, it can simplify an iPad workflow without requiring a separate app. If you need advanced PDF production, structured review, extensive handwriting organization, or certified signing, treat it as a useful companion—not a replacement for the specialist tool you rely on.
