The fundamental difference: integrated workflow or configurable knowledge base?

Amplenote connects ideas to scheduled work

Amplenote describes its approach as an “Idea Execution Funnel”: capture quick thoughts as Jots, develop them into Notes, turn useful material into Tasks, and schedule tasks in Calendar. Its Personal plan includes Jots, Notes, Tasks, and Calendar, according to the plan documentation. That structure suits someone who wants meeting notes and follow-up work to live together without assembling a separate system.

Obsidian starts with a folder of files

Obsidian’s core app gives you a local vault: a folder of files that you organize and extend yourself. You choose how to name and link notes, what metadata to use, and whether to add plugins for tasks, calendars, visualizations, or other workflows. The vault documentation explains the file-based model. It is a better starting point for people who want a knowledge base first and are willing to configure the rest.

Notes, writing, Markdown, and links

Both products support Markdown conventions, internal links, tags, and long-form notes. Amplenote offers Markdown import and export, while Obsidian stores notes as local files. Those facts do not mean that every feature behaves identically between them: a Markdown file can carry note text and links without preserving an app’s task behavior, plugin features, or publishing settings.

For routine writing, the choice is less about whether either app can hold an essay or research note, and more about how much control you want over the underlying files and workspace. Obsidian exposes the vault directly. Amplenote emphasizes a hosted workspace with capture, tasks, and scheduling close at hand.

Amplenote documents Obsidian import and Markdown export in its import and export help. Its import guidance and marketing page describe support for items such as images, formatting, links, tags, code snippets, and supported attachments, but that is not proof that every complex vault, embedded file, or plugin-specific convention will transfer perfectly. Test a copy of your data before committing to a migration.

Tasks: where the products diverge most

In Amplenote, tasks are part of the note workflow

You can keep an action beside the note that explains it, schedule the task, then return to its context while working. This is useful for a meeting workflow: capture decisions in a note, turn a decision into a task, assign timing, and review the task in the same system. Amplenote also promotes task prioritization and completion analytics as part of its productivity approach.

In Obsidian, tasks depend on the system you assemble

The core app is a flexible note platform rather than a prescriptive task manager. Users can build task and calendar workflows with community plugins or outside services, but that means choosing components and deciding how they fit together. Plugins may differ in data formats, mobile behavior, maintenance, and support for recurring tasks. Amplenote’s claim that matching its workflow can require several Obsidian plugins is a vendor comparison, not an independent benchmark; the relevant question for you is whether your own desired setup works reliably on the devices you use.

If task scheduling and calendar visibility are central to your day, Amplenote is the lower-configuration starting point. If tasks are secondary to research notes and you enjoy building a tailored workspace, Obsidian can be a better fit.

Calendar integration and time blocking

Amplenote lists two-way task synchronization with Google Calendar or Outlook as a paid feature; its help center also references Google, Outlook, and Apple calendar connections. See its plan details and help center for current availability. Do not assume that event display and task synchronization are the same thing, or that every calendar provider supports identical behavior for edits, recurring items, deletions, or time zones.

Obsidian can be extended with calendar-related plugins and external tools, but the official Sync service is about synchronizing vault data; its Sync page does not establish native two-way Google, Outlook, or Apple task-calendar synchronization. Before choosing either app for a calendar-critical workflow, verify the exact provider, mobile behavior, recurrence handling, and what happens when a task is completed or moved.

Storage, sync, offline access, and privacy

Local files and hosted accounts

Obsidian’s local vault means ordinary notes remain accessible as files on your device, including when you are offline. You remain responsible for backups and for whatever synchronization method you choose. Obsidian supports its own paid Sync service as well as other approaches; its documentation warns about synchronization considerations, including OneDrive Files On-Demand and mobile constraints. Avoid syncing one vault through multiple systems at once unless you understand how conflicts will be handled.

Amplenote is primarily an account-based hosted application, with synchronization across devices included in its plans. It also documents automatic live backups to a local directory and Markdown export. Hosted convenience brings dependence on account access and service availability; an export is valuable, but it is not automatically a complete restoration of every app-specific feature.

Encryption is not the same as storage location

Obsidian’s core local files are not hosted by Obsidian. Its optional Sync service advertises AES-256 end-to-end encryption. Amplenote’s pricing page describes Vault Notes as client-side encrypted using an access key its servers do not receive. Treat that as a feature for selected Vault Notes, not as a statement that every ordinary hosted note is encrypted in the same way. Neither a local vault nor an encrypted sync service replaces a separate backup plan, and losing an encryption key can affect access to protected content.

For confidential or regulated material, compare the products’ current security and compliance documentation against your organization’s requirements rather than relying on shorthand such as “private” or “secure.”

Plugins and customization: flexibility has a maintenance cost

Obsidian’s plugin ecosystem can support specialized queries, task systems, calendars, kanban boards, automation, and interface changes. That breadth is useful when your workflow is unusual, but each added plugin can bring configuration work, compatibility questions, mobile limitations, or abandonment risk. A system that depends on a few unofficial components may take more effort to troubleshoot or migrate later.

Amplenote also supports plugins, but its product pitch emphasizes getting more of the capture-to-execution workflow without building a large stack. That is a vendor positioning claim, not a universal verdict: a built-in feature is an advantage only if it matches how you want to work. Judge the apps by the amount of your preferred workflow that works on day one, and the amount you will have to configure and maintain.

Sharing, collaboration, and publishing

Amplenote advertises note and tag sharing, publishing, and embedding, with availability depending on plan. Obsidian Sync advertises collaboration on shared vaults, and Obsidian Publish is a separate web-publishing service. Those capabilities do not by themselves make either product a full team document platform: verify permissions, simultaneous editing, history, guest access, and administrative controls for your actual use case.

For public material, distinguish a published knowledge base or set of notes from a complete website or CMS. Amplenote includes publishing on paid plans, with Unlimited listing it; Obsidian Publish is a separate paid service with customizable themes, graph, and full-text search according to its pricing page. Check custom-domain, navigation, access control, analytics, and migration needs before treating either as a website platform.

A free-to-free comparison is fair for basic notes, but not if you need official Obsidian sync and publishing or Amplenote’s plan-gated calendar, publishing, or encryption features. Obsidian’s free local workflow may have no subscription charge, but setup and maintenance still take time. Amplenote’s listed annual prices may exclude tax.

Moving between Amplenote and Obsidian

Amplenote advertises importing an Obsidian vault from a zipped Markdown folder and supports Markdown export. These are useful exit and entry paths, but portability does not mean identical feature preservation. Plain note text may travel while plugin behavior, task metadata, calendar data, publishing settings, history, or encrypted-note behavior may not.

Before importing an Obsidian vault into Amplenote

  1. Make a backup and test with a copy of the vault, not the original.
  2. Check internal links, renamed notes, nested folders, Unicode filenames, and tags.
  3. Open images, attachments, embeds, code blocks, callouts, and frontmatter in the imported result.
  4. Inspect tasks, recurring-task conventions, and content generated by plugins.
  5. For a large vault, test representative sections rather than assuming every file behaves alike.
  6. Export the imported data back out and check whether the result is usable for your needs.

Before leaving Amplenote for Obsidian

  1. Export your notes to Markdown and retain the export as an archive.
  2. Check whether attachments, tags, links, hierarchy, and task details are present.
  3. Record calendar-dependent workflows separately; a Markdown export should not be assumed to recreate them.
  4. Determine how Vault Notes, published-note settings, and any other app-specific data can be retained before ending access.

Amplenote documents import and export options; its pricing page lists Markdown support. Test the actual export before cancellation if your data matters to ongoing work.

Which app should you choose?

  • Choose Amplenote if you want meeting notes, tasks, scheduling, and calendar connections in one workflow with relatively little assembly.
  • Choose Obsidian if local Markdown files, offline access, customization, and a broad plugin ecosystem matter more than built-in task and calendar behavior.
  • Start with Amplenote Personal if you want to try its basic capture-and-task model without paying, but check the non-commercial label and plan limits.
  • Start with Obsidian’s core app if you want a free local vault and are comfortable arranging sync and backups yourself.
  • Test both with real work if you rely on mobile capture, large attachments, calendar recurrence, migration, privacy controls, or public publishing.
  • Consider neither as your default team system if you require enterprise administration, approval workflows, or tightly governed collaboration; evaluate tools built for those requirements.
