There is no single best cloud-storage service for every small business. Google Workspace is the strongest default for Google-based teams, while Microsoft 365 and OneDrive fit Microsoft shops. Dropbox is the best independent sync-and-sharing option; Box suits governed content workflows; Sync.com and Tresorit emphasize privacy; IDrive is built around backup; and pCloud is a storage-first alternative.

Choose according to the work you need to do—not just the number of gigabytes advertised. File sync, collaborative editing, secure file exchange, document management, archiving and backup are different jobs.

First decide what “cloud storage” must do

  • Shared working files: team folders with permissions and ownership.
  • Synchronization: the same files available on desktops, phones and laptops.
  • Co-authoring: simultaneous editing, comments and document history.
  • Client exchange: controlled links, upload requests, passwords and expiry dates.
  • Backup: an independently recoverable copy after deletion, ransomware or hardware failure.
  • Archive: retained, infrequently changed data.
  • Document management: metadata, approvals, retention, classification and e-signatures.

A sync folder is not automatically a backup. If ransomware encrypts a synchronized file, the encrypted version can propagate. Keep a separate, preferably immutable, backup and test restoration.

The eight best options

1. Google Drive via Google Workspace — best for Google-centric businesses

Workspace combines Drive with Gmail, Docs, Sheets, Slides, Meet, Calendar and identity administration. That bundle is often better value than buying storage, email, office software and meetings separately. The pricing page lists 2 TB for Standard and 5 TB for Plus, with Enterprise custom-priced; confirm the current regional allocation and whether storage is pooled for your organization.

Choose it when your staff already works in Google documents and browser-based collaboration. It is less compelling for a company standardized on desktop Microsoft Office or one requiring provider-controlled end-to-end encryption.

2. OneDrive with Microsoft 365 — best for Microsoft businesses

Microsoft 365 Business Basic lists 1 TB per user plus web and mobile versions of Word, Excel, PowerPoint and Outlook. Higher plans add desktop Office applications and stronger security controls, while SharePoint provides team sites beyond an individual OneDrive account. The accessed US page showed $5.40 per user per month paid yearly, excluding tax; Microsoft notes packaging and pricing updates from July 1, 2026.

Use it when Outlook, Excel, Teams, Windows and SharePoint are already central. Comparing OneDrive alone with a full Microsoft 365 bundle can misstate total cost.

3. Dropbox Business — best independent sync and sharing

Dropbox remains a straightforward choice when the priority is reliable file-centric workflows, desktop sync and external sharing rather than a complete office suite. Its current Business description starts with 9 TB of shared team storage, based on a three-license minimum and 3 TB per actively used license.

It can be more expensive than an existing Google or Microsoft subscription, and native editing is less integrated. Model guest access, link expiry, passwords and upload requests before buying.

4. Box — best for content management and compliance-oriented administration

Box business plans combine storage with integrations, e-signatures, workflow features and extensive administrative controls. The accessed page showed Business at $15 per user per month annually, Business Plus at $25 and Enterprise at $35, with a three-user minimum on listed business plans.

Box advertises unlimited storage, but maximum file sizes, bandwidth policies, fair-use terms and minimum seats still apply. Higher tiers add capabilities such as security classifications, threat alerts and support for programs including HIPAA and FedRAMP Moderate. A certification or agreement does not make your organization compliant without correct configuration, contracts and procedures.

5. Sync.com Teams — best privacy-focused choice for small teams

Sync.com Teams lists 1 TB at $6 per user per month, 2 TB at $9 and 10 TB at $15 when billed annually, with a three-user minimum and unlimited transfer shown on its comparison page. The page also displays promotions, so confirm the ordinary renewal price.

It is a strong fit for secure sharing, client folders and privacy-sensitive work, but it offers fewer native editing and productivity tools than Google Workspace or Microsoft 365.

6. Tresorit Business — best for encrypted sensitive files

Tresorit emphasizes encrypted storage and sharing, data-residency choices, administrator policies, SSO, auditability and data rooms. Business starts at three users with 6 TB total encrypted storage; Business Pro starts at five users with 15 TB. The Business page lists a 15 GB maximum file size (20 GB for Business Pro).

Select Tresorit when confidentiality and controlled exchange outweigh broad co-editing convenience. Its premium positioning is usually unnecessary for ordinary internal documents.

7. IDrive Business — best for backup-heavy environments

IDrive supports multiple computers, servers, NAS devices, Exchange and SQL, and offers business plans with unlimited users. The pricing page lists 500 GB from $19.99 monthly or $13.99 per month when billed annually, with larger tiers; discounted pricing applies to the first year and standard pricing afterward.

Do not buy it expecting a Dropbox-style collaboration platform. IDrive Cloud Drive is a separate synchronization function from endpoint and server backup. Use it when recoverability is the primary requirement.

8. pCloud Business — best storage-first alternative

pCloud Business is worth considering when you want cross-platform storage and sharing without adopting a complete Google or Microsoft office ecosystem. Its official page confirms a business offering and 30-day free trial, but the accessed page did not expose a dependable current numeric price. Verify encryption options, administration, sharing controls, compliance documentation and renewal terms before purchase.

Collaboration versus privacy

Google Drive and OneDrive provide the deepest native editing. Dropbox is optimized for file movement and sharing. Sync.com and Tresorit are stronger privacy candidates. Encryption in transit and at rest is not the same as end-to-end or zero-knowledge encryption: mainstream services may need to process files for previews, search, malware scanning, editing or AI features. Stronger client-side privacy can reduce those conveniences.

Security and administration

At minimum, require encryption, multifactor authentication, device/session controls, group permissions, version history and deleted-file recovery. For regulated or larger teams, look for SSO, directory provisioning, audit logs, data-loss prevention, legal hold, eDiscovery, retention, customer-managed keys, data residency and contractual compliance support. Test these features on the exact plan and in your region.

Price and total cost

Calculate storage licenses + productivity software + backup + security add-ons + migration and administration. A $6 storage-only seat is not a like-for-like comparison with a suite that also replaces email, office apps, meetings and identity management. Separate introductory prices from renewal prices, exclude tax where the vendor does, and include minimum seats.

Which service should your business choose?

  • Already use Gmail and Google Docs: start with Google Workspace.
  • Already use Outlook, Excel, Teams or SharePoint: start with Microsoft 365 and OneDrive.
  • Need an independent sync-and-share layer: choose Dropbox.
  • Need e-signatures, workflows and content governance: choose Box.
  • Need privacy-first team sharing: choose Sync.com.
  • Need encrypted, sensitive-file workflows or data rooms: choose Tresorit.
  • Need endpoint, server or NAS protection: choose IDrive, alongside a collaboration platform if necessary.
  • Need uncomplicated storage without a full office suite: evaluate pCloud.

Implementation checklist

  1. Inventory data, owners, duplicates and regulated material.
  2. Create team-owned accounts and group-based permissions; avoid personal accounts.
  3. Define client folders, approved sharing domains, password rules and link expiry.
  4. Enable MFA, device controls, version history and retention/recovery settings.
  5. Pilot with a small group, then migrate in batches.
  6. Verify file counts, representative files, timestamps and permissions while retaining the original source.
  7. Document employee offboarding: transfer ownership, revoke sessions and preserve logs.
  8. Maintain an independent 3-2-1-style backup, including an offline or immutable copy for critical data.
  9. Review permissions quarterly and test restoration before an incident.

Common failure modes

  • Ransomware: synchronized encryption can spread; isolate and restore from an independent backup.
  • Employee departure: files owned by a personal account can become inaccessible; transfer ownership and revoke devices.
  • Large media or CAD files: check maximum file size, desktop-client behavior and resumable uploads. Tresorit’s Business limit is 15 GB.
  • Poor connectivity: test selective sync, offline access, conflict handling and resume-after-interruption behavior.
  • External guests: verify whether guests need paid licenses and whether links can be revoked after delivery.

Frequently Asked Questions

Is cloud sync the same as backup?

No. Sync mirrors changes and deletions, while backup provides an independently recoverable copy. Keep a separate backup and test restoration.

Do external collaborators need paid accounts?

It varies by provider and plan. Check guest rules, upload requests, domain restrictions and whether external users consume seats before signing.

Is unlimited storage really unlimited?

Usually not without conditions. File-size limits, bandwidth, fair-use policies, minimum seats and API restrictions can still apply.

Can a small business move its data later?

Yes, but export quality differs. Verify bulk download, API access and preservation of permissions, timestamps and versions before committing.
