MyCase is the stronger value-oriented choice for solo, small, and midsize firms that want clear pricing and an integrated set of everyday tools. Both are broader legal practice-management platforms—not just databases for tracking court cases. They can bring matters, contacts, documents, deadlines, billing, payments, and client communication into one system.

In law firms, “case management” commonly means a wider practice-management system. Depending on the product and plan, it may combine matter and contact records, notes, deadlines, calendars, tasks, document storage, time and expense entry, invoices, payment collection, trust-account tools, intake, client portals, messaging, automation, reporting, and integrations. - Broad matter-management foundation: Clio lists matter, contact, and document management, time and expense tracking, mobile access, online payments, financial reporting, and trust and operating reconciliation in its plan information. The vendor also lists unlimited document storage; ask about any file-size, fair-use, or archival limits that could affect your use.
- Room to add controls and automation: Higher tiers introduce capabilities such as custom fields, conflict checking, client portals, templates, matter stages, custom roles and permissions, automated workflows, and custom reporting. The precise plan boundary matters, so compare the features against your firm’s actual workflows rather than the entry price alone.
- Large integration ecosystem: Clio lists more than 300 integrations. That can matter when a firm already depends on accounting, document, calendar, or communication tools, though buyers should confirm each required integration’s availability and any separate fee.
- Accounting tools across plans: Clio says its plans include accounting functions such as trust and operating reconciliation, bank synchronization, accounts receivable, and financial reporting. Confirm the exact functionality and workflow available in the plan you are quoted.
- Path to intake: Elite combines practice management with Clio Grow client-acquisition and intake capabilities, while some other functions and products may be separate or higher-tier options.
Pricing and trade-offs
The $49 starting figure is a floor, not a safe budget for every firm. Clio’s current plan information places more advanced permissions, reporting, workflows, client-portal features, and intake capabilities in higher tiers. Some higher-tier and add-on prices are sales-assisted. Payment processing is separate from the subscription, and court e-filing is listed as pay-per-filing. Optional products include Clio Grow, advanced document automation, and personal-injury functionality.

Clio is worth prioritizing if your firm expects to grow, values a wide choice of integrations, or needs increasingly sophisticated controls and workflows. It may be a poor fit if you need a fully transparent price for every advanced feature before speaking with sales or only need a simple, low-cost matter tracker.
Clio describes support and training as included and states that support is available 24/5. Its pricing page also describes self-service or guided migration depending on plan. Treat those as vendor-stated service details: ask what help is included in your quote, what data transfers, and what response and implementation commitments appear in the contract. Clio also describes cancellation and renewal terms on its pricing page; review the current agreement rather than relying on a general marketing summary.

- What is the full per-user price after required add-ons, payment processing, and any filing charges?

2. MyCase: best value-oriented fit for small and midsize firms
MyCase’s public pricing page gives a clearer annual-versus-monthly comparison across Basic, Pro, and Advanced. It is a strong option for firms that want matter management, billing, payments, client communication, and intake-related tools under one product family. The low-tier price is not the whole story: several capabilities that may be central to a modern firm are in Pro or Advanced, and MyCase Accounting is a separate add-on.

For example, three users on annual Pro pricing would cost $300 per month before payment fees, taxes, or other extras. Adding MyCase Accounting for all three would add $117 monthly, for a total of $417 per month before those costs. This is arithmetic from the listed prices, not a vendor quote.
MyCase can be the more straightforward buying path for a small firm that values visible prices and an integrated set of client-facing tools. But Basic may not be sufficient if you require texting, intake, workflows, or unlimited e-signatures. The Accounting add-on can materially change the total. The vendor lists LawPay Payments with no monthly fee, but transaction-processing rates still apply.

For a solo attorney, compare the entry plan with the actual need for trust accounting, mobile use, communications, intake, and migration help. For a small firm, evaluate shared matter visibility, permissions, calendaring, templates, billing, and support. For a midsize firm, make reporting, API access, SSO, custom roles, multi-office processes, and implementation commitments explicit requirements; do not assume either platform meets them simply because it has a higher tier.

The firm remains responsible for configuring the system correctly, reviewing transactions, reconciling accounts, and following applicable professional rules. Test deposits, transfers, refunds, split payments, and reversals before moving live accounting records.

How to evaluate a demo or trial
Before booking, prepare your number of users, practice areas, monthly matter volume, billing model, trust-account requirements, current software, required integrations, approximate migration volume, client communication channels, and must-have reports. Ask the vendor to demonstrate your real workflow—not only a polished sample matter.
Printable evaluation checklist
- Matters and access: Can a matter start from intake? Can we customize stages, deadlines, and task templates? Can permissions restrict specific matters or documents? Can the system handle multiple parties, related matters, opposing counsel, and co-counsel?
- Documents: Is storage unlimited in practice, and are there file-size or fair-use limits? Is full-text search included? Does document generation use Word templates? What happens to folders, metadata, versions, and deleted files during migration?
- Billing and trust: Which plan includes trust ledgers and three-way reconciliation? Can the system handle our billing models, multiple payers, split billing, and LEDES/UTBMS if needed? What are the card and ACH/eCheck fees, chargeback and refund rules, and deposit timing? Can we export accounting data?
- Client communication: Is texting included or separately charged? Is the number firm-owned or tied to an individual? Are calls and messages retained in the matter? Can clients upload documents securely and view invoices, payment history, and matter updates?
- Automation and AI: Which AI functions are actually included in the quoted plan? Can staff disable them? Is client data used to train models? How are extracted facts and generated text reviewed, and how are errors surfaced? Treat drafting, OCR, and case-assistance output as a starting point for attorney review—not a substitute for legal judgment.
- Security and portability: What encryption, two-factor authentication, SSO, audit logs, and export options are available in our plan? What data can be exported after cancellation, in what format, and for how long?
- Migration and support: Is migration self-service, guided, or paid? What records will not transfer? Can we run a test import and validate it before cutover? What training, support hours, escalation route, and implementation commitments are written into the agreement?
Request a written migration scope, test import, validation period, and rollback plan. “Migration included” does not guarantee that every old note, document version, custom field, email, or billing record transfers exactly as expected.
