WP Mail SMTP is a WordPress plugin that connects your site’s outgoing mail to a mail provider you configure. It can make password resets, form notifications and store messages use an authenticated provider instead of relying on the web host’s default mail function. It is not an inbox, a mail provider or a guarantee that every message reaches the recipient’s inbox; provider authentication, sender reputation and recipient-provider policies still determine delivery.
What WP Mail SMTP does—and does not do
The plugin supplies the connection settings WordPress needs to hand off email. You select a supported mailer, enter or authorize the required credentials, and WP Mail SMTP sends the site’s messages through that service.
- It does: configure a primary mail connection, provide provider-specific setup fields, report connection errors and (on supported plans) add logging, alerts, reports, backup connections and routing.
- It does not: provide an email mailbox, replace your provider’s account or domain authentication, or prove that every later message will be accepted or placed in an inbox.
The official documentation describes the Setup Wizard as configuring the primary connection. Any additional connection must be configured separately.
How do I set up WP Mail SMTP?

Install and open the wizard
Install and activate WP Mail SMTP, then go to WP Mail SMTP » Settings and launch the Setup Wizard. This first run is for the site’s primary connection.

Choose a mailer
Select a provider that matches an account you already use or are prepared to create, your expected sending volume, regional requirements and the plugin tier available to you. There is no universally best mailer.

Collect the provider’s current requirements
Have the necessary details ready before completing the wizard. Depending on the mailer, these can include an API key, region, OAuth authorization, an authorized redirect URI, a sending domain or a precisely formatted username. Requirements and eligibility can change, so check the provider console and its current WP Mail SMTP guide while configuring the connection.

- Some providers require API keys.
- Some require a region selection.
- Google, Microsoft and Zoho options use authorization and redirect-URI steps.
- Brevo and SendGrid options require a sending domain.

Configure optional features deliberately
Enable only the features the site needs. Detailed email logging is a paid feature. If logging stores message content or attachments, that information is kept in your WordPress database or uploads folder and may contain passwords, personal details or order data; define retention and access rules accordingly.

Send the test message
Use the plugin’s test-email function after saving the settings. A successful test confirms that this connection worked at that moment. It does not establish that every recipient provider will accept future messages or place them in the inbox.

Which mailer should you choose?
Compare candidates against the same practical questions rather than choosing by brand recognition:

Provider pricing, limits and account eligibility are volatile. Verify those terms directly with the provider before committing.

Microsoft 365 and Outlook example
The Microsoft 365/Outlook mailer guide documents requirements that do not apply automatically to Gmail or other mailers: it requires WP Mail SMTP Pro or higher, an SSL-enabled site, Microsoft account setup and attention to sender-address restrictions. Treat these as Microsoft-specific prerequisites, not general SMTP rules.

A small site that only needs one working connection may not need Pro. A store or membership site with consequential transactional mail may find logs, alerts, redundancy or routing worth paying for. An SMTP authentication failure means the server accepted the connection attempt but rejected the supplied username or password. Work through the likely causes in this order:
- Confirm the exact username format. Some providers require a full email address rather than a short account name.
- Verify the current credential. Re-enter a known current password or API credential and check whether it was recently changed or revoked.
- Check app-password requirements. A provider may require an app password instead of the normal account password when additional security controls are enabled.
- Review the provider’s authentication policy. Legacy sign-in methods may be disabled, or the account may require OAuth, an approved application or another policy change.
- Check for lockout. Multiple failed attempts can trigger a temporary lock. Stop retrying rapidly and follow the provider’s recovery or waiting procedure.
- Save and test once more. After correcting the relevant setting, save the WP Mail SMTP configuration and send a new test message.
Use the error text and the selected provider’s troubleshooting guide. Changing unrelated WordPress settings or repeatedly submitting rejected credentials is more likely to obscure the cause than fix it.
How do I test WordPress email delivery?
- Finish the mailer’s required authorization, API, region, domain and sender settings.
- Save the connection in WP Mail SMTP » Settings.
- Send a test email to an address you can inspect.
- Confirm both the result shown by the plugin and whether the message arrives, including spam or quarantine folders.
- If it fails, record the exact error, identify the selected mailer and follow that provider’s troubleshooting path.
The test is a connection check, not a deliverability guarantee. Later messages can still be filtered, rejected or delayed because of sender authentication, reputation, content, recipient rules or provider limits.
Who should use WP Mail SMTP?
It is a sensible fit when a WordPress site depends on routine transactional messages and the owner wants those messages sent through a controlled provider rather than an unconfigured host mail function. The decision is less compelling if the site sends little mail, has no provider account and does not need operational records beyond a basic connection.
