The right WordPress method depends on the result you want: upload a file and link to it for downloading, use a document viewer for an inline preview, or embed an Excel workbook from OneDrive when visitors need to sort, filter, and calculate. WordPress stores document and spreadsheet files in its Media Library, but its generic Embed block is not a universal renderer for every file URL.
Choose between a download, a preview, and an interactive workbook
Decide what visitors should be able to do before choosing a tool:
- Download or open the original file: use the Media Library and insert a file link.
- Read a PDF or view an Office document on the page: use a document-viewer plugin or another supported viewer.
- Work with spreadsheet data: embed the workbook through OneDrive so the embedded view can provide spreadsheet controls.
A file link and an embedded document are different. A link sends the visitor to the file; an embed displays a viewer inside the page, subject to the viewer’s format, access, and size limitations.
Add a downloadable PDF, spreadsheet, or Office file with WordPress
WordPress’s media system can store common document and spreadsheet files. This is the most dependable option when visitors simply need the original file.

- In the WordPress dashboard, go to Media > Add New, or open Media > Library and select Add New.
- Upload the PDF, Word document, Excel workbook, PowerPoint presentation, or other permitted file type.
- Open the uploaded item and copy its media URL, or insert it directly from the post editor.
- In the editor, add a File block (or select text and insert a link), choose the uploaded media item, and publish or update the page.
This creates file access, not a rich document viewer. Visitors may download the file or open it in their browser according to their device and browser settings.
Why the generic Embed block may not show your file
The WordPress Embed block is intended for content hosted by supported third-party services. It creates a link to that external content rather than uploading the content into WordPress. WordPress core maintains an internal whitelist of embeddable URL patterns for security, so pasting an arbitrary PDF, DOCX, or XLSX URL will not necessarily create a preview.
If a URL is rejected, do not assume the file is broken. Use a File block for a download, follow the service’s documented embed method, or install a maintained document-viewer plugin. Pasting arbitrary iframe code also depends on your account’s HTML permissions and can be removed by WordPress security filtering.

Embed an interactive Excel workbook from OneDrive
Microsoft’s documented approach keeps the workbook in OneDrive and inserts the iframe code generated by OneDrive. The resulting view can let readers sort, filter, and calculate data directly in the post, and changes saved to OneDrive are reflected in the embedded workbook.
- Upload or save the Excel workbook in OneDrive.
- Open the workbook in OneDrive or Excel for the web and choose its Embed command.
- Set the sharing and display options required for your audience, then generate and copy the iframe embed code.
- In WordPress, edit the post or page and switch to the editor’s HTML/code view. In the block editor, use a Custom HTML block; in the classic editor, use the Text tab.
- Paste the complete iframe code, preview it, and publish or update the page.
Microsoft Support describes the reader experience this way: “Your readers can sort, filter, and calculate data, directly in your post.” The workbook’s OneDrive sharing settings still govern who can use it. Test the published page while signed out or in a private browser window if the workbook is meant to be public.
Show PDFs and Office files with a document-viewer plugin
A document plugin can render formats that WordPress does not handle as a generic URL embed. One example, Embed Any Document, advertises a dedicated Document block for PDF, Word, Excel, and PowerPoint files. Its listed viewer choices include Google Docs Viewer, Microsoft Office Online, and a browser-native PDF viewer; its Plus-version integrations include Google Drive, OneDrive, and Box.

Typical setup
- Install the plugin from Plugins > Add New, then activate it.
- Open the post or page and insert the plugin’s Document block.
- Select a file from WordPress or provide the location required by the plugin.
- Choose the viewer and configure its dimensions or toolbar options, then preview the page on desktop and mobile.
The plugin publisher says externally rendered documents must be online and reachable by the selected viewer rather than hidden behind a password-protected environment. Its WordPress.org listing states maximum file sizes of 8 MB for Google Docs Viewer and 10 MB for Microsoft Office Online. Treat those as publisher-documented, service-specific limits and verify them against the current plugin and provider documentation before relying on them; viewer services can change.
Another shortcode-based option
EasyEmbed describes shortcode embeds for PDF, Google Docs, Google Sheets, Google Slides, Word, Excel, and PowerPoint files. It offers configurable dimensions and optional dashboard management. Direct-URL embeds do not require that dashboard, but the listing says Word, Excel, and PowerPoint URLs are sent to Microsoft’s Office Online viewer.

Privacy, permissions, and security checks
- Assume a public URL may be shared: an external viewer must fetch the document. EasyEmbed’s listing specifically says direct-URL Office embeds pass the publicly accessible document URL to Microsoft’s Office Online viewer.
- Do not use a viewer for confidential files: a password on the WordPress page may not protect a document that an external service can fetch directly.
- Review sharing settings: set OneDrive or other storage permissions deliberately, and test the page as an unauthenticated visitor when appropriate.
- Keep plugins current: plugin features, external services, compatibility, and limits change. Embed Any Document’s listing records a 2026-08-07 release fixing a stored XSS vulnerability in its bundled PDFObject library; that changelog entry is a reason to update, not a complete security assessment.
- Check HTML permissions: if WordPress strips an iframe, your role, site configuration, or security plugin may disallow that markup. Use the documented Custom HTML or Text workflow only when your account is allowed to publish it.
Troubleshoot a blank, blocked, or missing embed
The file appears only as a link
That is expected from the Media Library and File block. Use a document-viewer plugin or the file host’s official embed workflow when an inline preview is required.

The Embed block rejects the URL
The service or URL may not be on WordPress’s supported-provider list. Keep the link, use the service’s own embed code, or choose a compatible viewer plugin.
The viewer says the file cannot be fetched
Confirm that the file is online, the URL is reachable without a login if the viewer requires public access, and the file is within the viewer’s current size and format limits.
The iframe disappears after saving
Check whether your WordPress role or a security plugin filters iframe markup. Try a Custom HTML block with the provider-generated code, or ask an administrator to review the site’s allowed HTML policy.

The workbook shows old data
Confirm that the edited workbook was saved to the same OneDrive file used to generate the embed and reload the published page. Caching at WordPress, a CDN, or the browser can delay visible changes.
Which method should you use?
Use the Media Library when reliable downloading is the goal. Use OneDrive’s generated iframe when visitors must interact with an Excel workbook. Use a document-viewer plugin for an inline PDF or Office preview, after checking its current viewer limits and the privacy consequences of sending a document URL to an external service. Use WordPress’s generic Embed block only for providers it supports; it is not a general-purpose document renderer.
Frequently Asked Questions
Can I embed any PDF URL with WordPress’s Embed block?
No. The generic Embed block accepts supported third-party providers through WordPress’s allowlist; an arbitrary PDF URL may remain a link or be rejected.

Not with Microsoft’s OneDrive workflow. The workbook stays in OneDrive, and the WordPress page contains the provider-generated iframe.
Are external document viewers suitable for private files?
Usually not without careful review. The viewer may need to retrieve a publicly reachable document URL, so page-level WordPress restrictions alone may not protect the file.
