A useful WordPress maintenance report tells a client exactly what happened during a defined period, what was checked afterward, what remains unresolved, and what decision you need from them. Identify the site and dates, separate completed work from failures or deferrals, and write outcomes in plain language rather than listing tasks without evidence.
What a client maintenance report must answer
Keep the report focused on four questions:
- Which site and reporting period does this document cover?
- What maintenance was completed, and what was the result?
- What checks were performed after changes, and did they find any problem?
- What needs attention next, who owns it, and what approval is required?
This is a practical framework based on WordPress.org maintenance and update guidance, not an official WordPress form.
Build the report from a repeatable maintenance workflow
- Set the scope. Record the client, domain, reporting period, report date, and maintainer contact before reviewing activity.
- Gather contemporaneous records. Use update logs, backup records, monitoring alerts, tickets, and notes. Do not infer work that is not recorded.
- Confirm the recovery position. Note whether a backup existed before updates and whether its restoration capability is known. A backup record is not evidence that a restore test occurred.
- Perform authorized maintenance. Update WordPress core, plugins, and themes only within the agreed scope. Record the installed versions and the outcome for each change when verified.
- Validate after changes. Check the pages, forms, log-in areas, commerce flows, integrations, or other functions that matter to that site. Describe the checks actually performed; do not call a limited spot-check a comprehensive test.
- Review support status. Compare the installed WordPress version with WordPress.org’s support policy. Only the latest major release is officially supported; older branches may receive security backports without a guaranteed timeframe.
- Write and retain the report. Put the plain-language summary first, then details, risks, and client actions. Store a copy with the maintenance record so later reports can show continuity.
Use these report sections and fields

Write a clear status summary
Start with the current result, not a list of software names. For example:
“During 1–31 August 2026, authorized updates were applied to example.com. A pre-update backup was recorded, and the home page, contact form, and checkout were checked afterward. One plugin update remains deferred because it produced a compatibility warning; approval is requested before retrying.”

Adjust the wording to the evidence. If you checked only the home page, say so. If a backup completed but no restoration test was run, state that distinction.
Record updates as outcomes
WordPress core
List the version before and after when those values are verified, whether the update succeeded, and any error or rollback. If the installed major version is not the latest officially supported release, label that status and give the follow-up rather than calling the site simply “up to date.”
Plugins and themes
Identify items updated, skipped, failed, or held for approval. Include the version change where available and explain the effect of a failure or deferral. WordPress update guidance supports backing up first and validating after updates; your report should show whether those steps occurred.

Backups
Record the backup date, scope or provider if relevant, and whether completion was confirmed. Say “restore capability not verified” unless a restoration test actually took place. If no usable pre-update backup was available, make that an exception and describe the mitigation.

Use a short checklist tailored to the site:
- Public pages load and display correctly.
- Navigation, search, and responsive layouts work where relevant.
- Contact, sign-up, booking, or checkout forms submit successfully.
- Logged-in roles can access required dashboards.
- Key integrations, email delivery, analytics, or payment callbacks respond as expected.
- No new visible errors appeared in the areas checked.
For each item, record pass, fail, not tested, or blocked, plus the date and a useful note. A “pass” means the stated check passed, not that every site function was tested.
Separate exceptions from recommendations
Exceptions: what changed the result
List a failed update, missing backup, error, compatibility warning, unsupported version, or client approval that prevented work. Explain the consequence and the current mitigation when known. Do not bury an unresolved issue in a general paragraph.

Recommendations: what should happen next
Prioritize each item and assign ownership. A strong entry states:
- Action: the specific change or investigation.
- Reason: the risk or benefit in client terms.
- Urgency: immediate, next scheduled window, or routine.
- Owner: maintainer, client, host, or another supplier.
- Decision needed: approval, content, credentials, budget, or maintenance window.
Keep recommendations separate from completed work so a client can distinguish the current deliverable from proposed scope.
Handle WordPress support status carefully
WordPress.org states that only the latest major release is officially supported. Security fixes for older branches can be backported as a courtesy, but there is no guaranteed timeframe. Report the exact installed version and use precise language such as “older major release; upgrade planning recommended,” rather than implying that every older version is immediately abandoned or fully covered.

Decide whether reporting software is worthwhile
You can create a reliable report from maintenance records without special software. A management platform may save time when you operate many sites, but evaluate the workflow rather than assuming automation equals accuracy.
Compare whether a tool:
- Records core, plugin, and theme updates with outcomes.
- Captures backup, monitoring, or security checks relevant to your service.
- Produces a client-facing report that you can review and correct before sending.
- Handles multiple sites without obscuring site-specific exceptions.
- Lets you control the wording, evidence, and sensitive information shown to clients.
WordPress.org’s directory includes listings for site-management platforms that advertise automated pre-maintenance and client reports. That directory description is a feature claim, not an independent comparison or quality assessment.
